Overall, I've had a very positive experience with Owl Practice. It has been reliable, user friendly, and has helped streamline many aspects of running my private practice. I appreciate having scheduling, documentation, invoicing, secure messaging, and video sessions all in one platform. The interface is intuitive, and it has saved me time on administrative tasks so I can focus more on client care. Everything is on one platform, and the program is tailored to the needs of therapists (notes, measures, billing..)

#### Cons

1. Video session issue When I'm waiting for a client to join a video session, I will sometimes receive a pop-up stating that the session has already ended, even though I'm still in the session and nothing has changed. When this happens, the client is unable to join, despite the session still being within the scheduled time window. The only workaround I've found is to delete the session and create a new one for that day, otherwise the client cannot access the video session. 2. Session location field It would be very helpful to have a checkbox or dropdown menu to indicate the location where each session is being held. I work in private practice and travel between multiple rural communities in Canada. Some clients attend sessions at different office locations, so having the session location included in the appointment details, especially in the automated text reminders, would help reduce confusion and ensure clients know where to attend.

OWL EHR was good in the beginning, but it has declined to the point where it is no longer reliable or cost-effective for a group practice. They recently made changes with their clearinghouse without notifying providers in advance, which caused a wave of rejected and denied claims. We had to spend hours updating addresses, PO Boxes, and resubmitting claims, all because of changes they never communicated. Customer service is another major issue. It often takes a couple of days to get a response, and when they do reply, the instructions are extremely basic, things any user already knows. It feels like they’re buying time while practices absorb the financial impact of their mistakes. Meanwhile, we end up manually fixing claims one by one, costing time and revenue. The reporting features are essentially useless for a group practice. There are no meaningful reports by diagnosis, by clinician caseload, or by active vs. inactive clients. You can technically pull this information, but only by downloading raw lists and manually cleaning them every single time, which completely defeats the purpose of having an EHR. The financial reports are inaccurate and unhelpful. They don’t separate actual profit from insurance denials, write-offs, rejections, or pending claims, so you never get a true picture of revenue. For a group practice, this is a major limitation. Reviewing associate notes is also inefficient—you can’t send a note back for revision inside the system. Instead, you have to email the clinician separately to request changes, which is a ridiculous workaround for something that should be built in. The workflow has become so inefficient that I now have to submit some claims through OWL, others through the Blue Shield provider portal, others through Availity for Anthem, and Optum’s provider portal for that insurance. This completely defeats the purpose of paying for an EHR with billing capabilities. They also submit only one claim per CMS-1500 form, instead of batching six claims per page. At $0.25 per sheet, this may seem small, but with 10 clinicians and 100+ clients, it becomes expensive very quickly. It also creates eligibility checks and charges you for that every time. The copay is then deleted when this happens, and I have to go one by one to charge the copay for every client. They been "working" on this fix since May 2025. Add to that the growing amount of manual work, and the cost savings of OWL disappear fast. Telehealth is another frustration, the system frequently doesn’t work, forcing us to use Zoom or Google Meet instead. The platform also requires excessive clicking for basic tasks, slowing down workflows even more. Overall, OWL might be fine for a solo provider, but for a group practice, it is not worth the time, stress, or hidden costs. We are actively looking at other options, and frankly, paying a little more for a system that actually works will end up costing far less in admin time, lost revenue, and repeated claim issues.

#### Pros

Owl streamlines my practice, making connections between calendar, video links, and billing. It saves me a lot of time. Each client has their own area in which I can see the sessions, financial information and other data that is important to know. I can save documents for clients (e.g. referral information, letters). I can either type or handwrite notes (if you have touchscreen). I particularly like that it send out automatic reminders for clients of appointments. Since I started using it, I would guess that it has paid for itself by having more clients show up for appointments. It provides a way for clients to make credit card payments (for additional fees). The video platform usually works well and is initiated from the calendar. I like that there are clinical measures I can send to clients from the platform.

#### Cons

I do wish it cost a bit less. There are occasional issues in which a certain feature does not work well. The team is fairly quick to respond to concerns but sometimes it takes awhile before the actual bug is worked out. It doesn't quite have the flexibility to adjust to the way I use it, which is to also help me track the room use of other therapists in the building (they are not in my practice but the room use still has to be organized). I wish there was more flexibility in the appearance of the calendar so that I could designate colours according to the criteria that is most helpful to me. While I like access to the clinical measures, the scoring of those measures is often unclear.

The SmartNotes is limited compared to other options like GraceNotes. I'd appreciate the ability to record and summarize group sessions and for the AI to be able to recognize more kinds of interventions. I'd also like a way to adjust therapist availability right in the calendar view instead of having to navigate to the therapist profiles.

#### Pros

I appreciate Owl Practice was quick to learn, intuitive and user friendly. They have great online help guides and their tech support is timely. It's nice to have the option of getting help with a real person if you can't figure it out on your own. They assisted me in my transition from using the Moneris payment system to their integrated Stripe system, and it was quick and easy. I was up and running in minutes.

Overall it was functional and good. But the kinks in the system outweigh the benefits. Forms should be much more easily integrated. I shouldn't have to click into every note separately to read it (should have preview or scrolling option to see all).

I like the calendar set up. It's clear, easy to understand, easy to toggle providers on and off, easy to schedule.

#### Cons

If you send the form again to them as a reminder, the first link is then invalid. They cannot see forms due when they log in. And they can't see completed forms and download them themselves. These all factored into my decision to switch EHRs. The absolute worst? The form creation system has multiple choice and single choice mislabeled. So when you create your forms, you have to choose radio buttons if you want people to be able to check multiple options. When you later realize this, there is no way to simply switch the format. You have to create each question again by scratch. They enver fixed this bug in the 2 years I've been using it, despite me telling them about it multiple times.

I've been using Owl Practice since 2019. I find it very user friendly and intuitive (as a non-tech person). It seamlessly supports my notes, scheduling and invoicing, and makes it easy as a group-practice owner to manage both clients and associates! I'd recommend using Owl to any therapist practice owner.

#### Cons

Once in a while (less then once per year) there has been a video glitch. This was resolved quickly, but was a nuisance when it happened.

Owl is a simple, easy software to use for my private practice. I have attempted to switch to competitors like Jane, and found them much less intuitive and lacking certain features like booking recurring appointments.

Owl can be a bit buggy and clunky around invoices, specifically around how an invoice has to be deleted in order to go back and change the payment amount of the session.

What I love the most about Owl Practice is that it “remembers” for me. “Did I send that invoice?“ “How many sessions did I have with that client?” “What forms do I need filled out still?” It’s all there! I’ve been with Owl Practice since the beginning and I can trust that they will continue to evolve into the best resource for my practice because the folks at Owl Practice truly want my experience to go well. While I have attended many webinars to learn about all the features, it’s still a learning curve to remember where all the settings are to make adjustments to things. I also don’t understand “Macros” stuff and how to change auto messages. I’m still waiting for Smart Notes evolutions to align with my style of note taking and not sound repetitive in its session summary.

Great support and customer service. If I ever have an issue or a question, I get a quick and clear response. I also like that the product is Canadian made and follows all the required security and privacy rules of my license. It is also easy to manage all of my clients and documentation.

#### Cons

I wish it was more user friendly for my clients, especially for booking an appointment. The calendar and seeing my availability for the week is hard to navigate. I like the interface of Jane where clients can see the week and the availability on one page, rather than having to click each day.

Keeping track of documents, reminders, and helping to organize client information more efficiently. Allows me to carry my schedule digitally. Adding practitioners to my account when I choose to take on students is wonderful.

I like how you can easily change the length of sessions and this also adjusts the price. I think it is easy to use. I like how it produces an excel file detailing all of the monthly billings.

I love the ease of using OWL to set up calendars for appointments, invoicing, and progress notes. Staff are highly responsive and helpful. I have learned how to set up my forms electronically to send clients. Very helpful software!

As a person not technology saavy, it takes some time to learn, however the staff are so supportive and have guided me each step of learning.
