Outstanding Customer Support

PROS

Aside from the superb customer support, Potentiality provides a great deal of functionality - most of which is intuitive and easy to set up. It meets its dual aims of assisting you to maintain a sense community among your alumni and fostering the correct environment to facilitate philanthropy. In the middle there are a series of tools to run events, distribute communications and generally run things.

CONS

There are occasional mismatches with documentation owing to the rapid development of the product, but these are usually resolved promptly. Of course it does a lot, so it is going to take some effort to establish and work to maintain - but you will be rewarded for the effort.

Nudgee College's Giving Day 2022

Their product is affordable with a high level of support. Now that we have the platform we can use it for future campaigns and that is a win win for us. The team at Potentiality were endlessly helpful and nothing was ever too much trouble for them. Particular note of Priya and Mahdi who are superstars and truly valuable to the organisation. They ensured I had clear guidance every step of the way and I felt supported and safe in their hands!

PROS

Potentiality is an easy to use software, once you have navigated around a few times it's smooth sailing. If stuck, tech support is always there to help you out. It is explained clearly and with great patience which meant a lot. I liked being able to schedule email comms in advance, and I liked being able to handle payments manually in the back end when needed. I also liked the control room for the campaign where you could be on top of how you are tracking and note how donations increase or decrease during the day.

CONS

We had a few small issues with the system lagging a little during the day, due to the volume of activity on it, but once this was addressed with Potentiality they fixed it immediately.

Reasons for switching to Potentiality

Charidy are overpriced for the support you get and for the capabilities of their software.

Outstanding service got us launched to our Old Girl Community very easily.

PROS

Having never worked in a database system before I found Potentiality took a little time to get to know. Once I was familiar with it I quickly got to know my way around. The more I use it, the more I understand it. The best thing about working in Potentiality is the excellent customer service. The Potentiality team provides us with a dedicated team of helpers, when we need different skills, for example; designers, developers, and tutors. They are just an email away and every query is answered clearly (often with photos of 'how to'.) Leading up to , and after, our launch to go live to our community we had weekly video calls with our team. These were invaluable as we tested and checked that everything was just right. The technical team were very obliging in changing anything in the system to suit our needs and worked many hours to get everything connected to our website. Our Potentiality team are a pleasure to work with and they seem just as proud of our database as we are! I look forward to our continuing relationship as Potentiality helps us reconnect with all our Old Girls.

CONS

Like all new systems there was a lot to learn and so many different parts of Potentiality to understand. Webinars and the helpful team soon let it become familiar.

Comprehensive alumni database

PROS

Potentiality is a great database that does everything that a School Development Office needs- from holding alumni details; events management; fundraising pages; donor prospecting; enewsletter creation and sending; bulk email and communications; careers; mentoring; payment processing and reconciliation; archives; merchandise selling. There is a good search facility too which is very useful. It's easy to export data via excel. Our database holds over 10,000 individuals' records. Whilst I haven't moved from another database, [SENSITIVE CONTENT HIDDEN], Potentiality support manager is great and helps me to upload bulk leavers' data. The overall client support provided is brilliant and quick.

CONS

The Team at Potentiality are constantly upgrading the features (which is great proactivity) and this sometimes causes bugs- unintended consequences. However as soon as they are aware of them, they are sorted.

Easy to use with excellent functionality

We've now used Potentiality for 10 years and are very happy with the product and exceptional customer service. The programme has developed considerably over the time we have used it, with lots of training provided by the Potentiality team.

The amount of information the software collects, Ease of use, Members' ability to build their profile, Creation, organisation and payment of events, Fundraising capabilities, Member engagement (competitions etc...)

We were using the database function of Donor Strategy alongside the social media side of Potentiality. When Potentiality introduced their database function we made the switch and have never looked back.

Absolutely amazing! every single member of the team was a pleasurer to work with!

PROS

The software is easy to use and very self explanatory. If there is something you don't understand you can reach out to the team and they will respond within 24 hours. Multiple times I have worked with potentiality to create a new feature of their program. Not task is too big or too small for them. The software was also a central location for all our data and we knew it was kept in a secure and safe location. We were confident that no data breaches would occur.

CONS

There is a lot to learn and it can be very overwhelming at first. However, Ptly have created webinars and will have weekly calls with you to make sure you understand how to use the software.

The Potential is unmatched

The team at Potentiality is very helpful, agile and responsive. Nothing is too much trouble and they like to work with their clients to improve their product, their service and their functionality. They were extremely patient with us as we were learning.

PROS

This is more than a CRM - it is an engagement tool that will increase in value the longer you use it. Linking just about everything to each record allows you to measure, track and report on engagement, propensity and revenue and assists in tailoring our communications. It is very customizable and the more you use this tool, the more valuable it becomes.

CONS

Because it is so customizable and every interaction is trackable, the potential (no pun intended) can be a little overwhelming at first and there is a steep learning curve because of that. The key is to just use it.

Excellent Experience with Potentiality

We were able to quickly understand, manage and benefit from our alumni database, directly benefitting from the system for donations particularly during the aftermath of the August 4th 2020 Beirut explosion. Over the last 18 months, knowledge of the system has grown and grown, aided by worthwhile webinars from the customer support team. We are now at the stage of investigating other opportunities within our package such as the business membership directory.

PROS

Customer support is top notch - very quick response time, knowledgeable and worthwhile advice. In-depth membership details is helpful, and even more helpful is the communications log and donations details and we are looking forward to discovering the propensity to donate functionality. Event management is a very worthwhile extra feature to the package.

CONS

The user interface took a little time to understand and navigate successfully, probably due to all the varied and rich functionality.

The functionality is amazing. So many feature relevant to my specific needs (Alumni Relations). If I have a need that isn't catered for, the team at Potentiality often do their best to implement it. The product continually improves.

CONS

Not many cons to speak of. Sometimes new features will create some bugs, but these are quickly fixed once brought to Potentiality's attention.

Perfect CRM for our school

I would highly recommend Potentiality to other organisations who are looking for an adaptable and user friendly system with an excellent support team.

PROS

System is very easy to use and navigate. Having one system to manage alumnae relations , communications and events is ideal for our school. It is easy to configure, add or move content and adapt to your needs.

CONS

There is very little not to like about this software. Even for someone with limited technical skill the system is very manageable with plenty online support available through webinars, guides and a responsive help desk.

Great software and great team to work with

It is great working with the product, and great working with the support team. The software is very clever and the team extremely friendly - one can ask for help at any moment and be sure their problem resolved next day.

PROS

Use friendly software and great support from the developers - I started building our school CRM website from scratch and with the great features it has and the ongoing support the team provide now it looks good and makes life of many admins much easier.

CONS

Occasionally might stumble across a bug, but they get sorted almost immediately. And if we request a feature to be added, the team are very keen, always looking for ways to improve their product for the end user.

We have used Potentiality for our Foundation site which has gone live and our Alumni site which will be launched shortly and the process has been incredible. The functionality and nature of the product means that there is an almost seamless transition from our existing site to the Potentiality platform. The technical support we received has played a massive part in the ease of shifting from one site to another.

PROS

Personally, one of the best features of Potentiality for me is the ease of use as an administrator. The software is very intuitive which makes learning how to set up pages and load content whether it be text, images or links and to make changes to formatting, just so simple, easy and quick to implement. The customer service is second to none. Sue and the team are always so quick to respond to any questions or issues that may arise and give clear and direct guidance. Nothing is too much trouble for them.

CONS

I can honestly say that at this point in time I cannot think of anything that I don't like about this software. It really is an excellent product with fantastic functionality and so many amazing features that assist in all aspects of administration for our Foundation.

St Mary's Music School

We are in the fairly early stages of using Potentiality but I'm sure it will live up to its name and provide us with a great platform for us to connect with our communities in a meaningful and efficient way.

PROS

I love that we can store, manage and build our donor profiles through tracking their engagement with our communications and event attendance. There seemed to be a lot of options and flexibility in tailoring the database to our needs. The seamless interface with our main school website is brilliant too. As a fundraising tool so far it's been a very positive experience - easy to set up and monitor campaigns, receive notifications so we can thank donors promptly. All these things help us do our jobs better and reflect well on our organisation.

CONS

I have a lot more to learn about using all the different features Potentiality offers but so far there hasn't been anything that has been especially negative.

Potentiality is like having a second person in the office.

PROS

The connectivity with the programs we use at work. It is also progressive and innovative. The programmers are open to change and constantly work to improve the service.

CONS

Very little if anything. The help desk is a phone call away. The only tricky thing is learning all the new things implemented on a regular basis. It's just a matter of keeping up and using the software on a regular basis.

Excellent Database for Schools

My experience with the PTLY has been second to none. Their support team have always went above and beyond to help me. Issues are resolved very quickly and they are happy to guide me through any process I am unsure about. They have also created countless video tutorials along with wiki guides that makes learning the system super simple.

PROS

I like how this software has multiple uses from creating fundraising pages, organising events, creating mail outs and how all the data is recorded against each user automatically.

CONS

Anything I come across that I feel could be improved or I am unsure about I pass onto the Potentiality support team who always resolve my issues or create new features in response to my queries.

Exceptional Personal Service

The team at Potentiality were proactive, patient, enthusiastic and supportive throughout the onboarding process and beyond. They are super approachable, responsive and nothing is too much trouble. They were a delight to deal with.

The Potentiality system offered me everything I needed in setting up our Development Office and Alumni engagement. It offered a flexible approach where we could start small and bolt on the additional features as and when we needed them, avoiding huge investment before we were ready to use all functionality. It is a simple, user friendly platform that allows us to achieve all our engagement goals.

The platform took some getting used to but that could be said for all new software.

Giving Day Service Provider

Potentiality have helped us build a customer engagement tool that relates uniquely to our community.

PROS

The Potentiality team empower team members at our school to design their giving day pages. We loved the customisation offered including donation trackers specific to different constituents. The software syncs with out school enrollment database making data uploads efficient and giving us integrity over our data.

CONS

The mobile site for our Giving Day when looked at on a handphone did not look great however Potentiality were really receptive to our feedback and literally improved it over night.

Very good and always improving

The support is exceptional, truly exceptional. Well worth tipping Potentiality over their competitors on that scale alone.

Great value for money

The team are highly responsive to feedback and work very hard to deliver tailored solutions. The product is designed to empower users rather than generate leads for upsell, so a lot of effort is put in to providing DIY systems and if you need training, you just need to ask.

Potentiality has all the core features required for fundraising for a small organisation like ours, at a price far more affordable than any other competitor.

Integration of long-form note capture and recall (required for major gift work) with other product features is ongoing.

Superb customer support and a solution that rivals far more expensive options

The best customer support I have experienced anywhere. Fast, reponsive and not just going the extra mile but leaping marathons ahead. A complete pleasure to work with the team.

PROS

Excellent out of the box solution with all the core functionality for fundraising and supporter engagement and alumni relations. Options for bespoke configuration on top seemingly endless. Data charts, tracking and reporting intuitive and easy to use.

CONS

Like all comprehensive systems you need to use this daily to get the best out of it and to be familiar with its scope but that's par for the course. No complaints .
