I can dump any thought straight into the Inbox the second it occurs to me, then process and clear that Inbox every day so nothing slips through the cracks. The recurring tasks feature is excellent — the things I need to do daily for clients show up automatically, so I always know exactly what's on my plate and trust that it all lives in one place. Organizing tasks across projects keeps each client's work cleanly separated and easy to navigate. The standout for me is the keyboard-driven quick-capture shortcut on Mac: I can fire up a capture window instantly without breaking focus, which is huge for staying in flow. Setup was very easy, integrations and connections were simple to get running, and on the Pro plan the value is well worth it for how much mental overhead it removes. #### Cons Honestly there's very little I dislike. My main wish is for richer, note-style capture inside each task. Today a task has a description field, but I'd love a proper notes area on each item to go deeper — attaching files, links, and longer-form context rather than leaning on the description or comments. It's a new feature, so I expect it to improve. I'd also love for the Todoist assistant to be able to read the contents of files and emails forwarded into a task — when I email something in, a lot of the real work lives inside the attachment, and having the assistant actually see that content instead of me opening it manually would make it far more powerful. #### Reasons for choosing Todoist I researched Things 3, Apple Reminders, and a few other task-capture tools before settling on Todoist. One thing I appreciate about it is its ability to function well using a variety of pre-set and custom productivity systems. In my case, I needed it to work with projects involving everything from academic administrative tasks to teaching and grading, writing web content to podcast and video production, social media management to freelance editing, and so on. It can be set up to support all of these tasks through kanban boards, calendar/time blocking structures, tags and priority lists, and project setups you can repurpose at will. All of this make it both well worth the price of admission AND a system I can't imagine myself replacing. Honestly, I wish I had known about Todoist a long time ago. I was originally using two different free competitors, and neither had the reliability and functionality of Todoist even in its free plan (I paid for the pro plan, and it is worth every penny). Learning more complex setups has a learning curve, but it is not as steep as one might think and isn't even required to get the most out of the software. I see this as a huge plus. 2) The interface is fairly intuitive and the integrations (phone app, browser extension, etc.) are easy to use (and useful). Additionally, it syncs across devices, making your tasks accessible from anywhere, which was something I wanted in a task manager when I went looking. All this is seamless. 3) If you have no idea what you're doing with Todoist beyond "use it to manage your projects and tasks," there is a massive wall of help documentation and inspiration in their knowledge database. This helped point me in the direction that, thus far, has worked best for me. They also have numerous templates that you can use as-is or modify for your own use. #### Cons Personally, I would like more help documentation for the more complicated syntax and a better way to automate repeatable projects such as podcasts or video content with set times for creation, editing, and release. You can sort of do the latter with a Kanban board, but not without a few extra clicks that a quick automation could solve. The former is something they do have documentation for, but it would be helpful to provide a stronger range of introductory materials for those who lack experience with syntax that is similar to markdown, etc. I would consider this a minor con, though, as you don't NEED to use the complex syntax or NEED to have a fuller range of automations to effectively use Todoist for most forms of task management. #### Reasons for switching to Todoist Microsoft's system, while useful, made integrations with Google Calendar unnecessarily complicated. Since I have two projects that I do not fully own using the Google ecosystem, manually adding tasks to calendars in two different ecosystems didn't make much sense to me. I set up to find an alternative that could do what I needed it to do, and Todoist came out on top for features. I knew going in that I would likely need to pay for a service, and Todoist also won that fight by providing everything I needed at the lowest paid plan.
