# Calendly User Reviews

## Reviews summary

- Overall rating: 4.7/5
- Total reviews: 4,146

### Secondary ratings

- Ease of use: 4.7/5
- Customer support: 4.4/5
- Value for money: 4.5/5
- Functionality: 4.5/5

### Rating distribution

- 5 stars: 3,032 reviews (73%)
- 4 stars: 943 reviews (23%)
- 3 stars: 131 reviews (3%)
- 2 stars: 18 reviews (0%)
- 1 star: 22 reviews (1%)

### Most mentioned pros

- I did find that it is highly efficient but its free plan is limited to one event type, and advanced features like workflows, SMS reminders, and removing Calendly branding require paid subscriptions.
- Calendly has become a very useful addition to the collection of our work management tools and we use it to streamline our experience in scheduling and planning our team meetings. Since we hold most our meetings virtually, Calendly helps us to easily find the convenient time that everyone is available for us to schedule those meetings.
- It also integrates well with calendars like Google Calendar, so everything syncs automatically and prevents double bookings. Plus, the ability to create buffers between meetings, set limits, and automate reminders helps keep our schedule manageable without having to think about it constantly.

### Most mentioned cons

- In addition, using Calendly may involve the risk of storing and transmitting personal data, including the names and contact details of the company’s customers.
- The free plan doesn't quite cover everything you need for professional client use, but the next paid tier has more features than I'll ever use—so it feels like overpaying for functionality that isn't relevant to me.
- We've also found the reporting features to be a bit limited, which can make it difficult to track meeting attendance and follow-up actions.

I like using it better than any other appointment system. I love digital appointment calendars, for business.

#### Ratings breakdown

- Ease of use: 5/5
- Value for money: 5/5
- Customer support: 5/5

#### Pros

It’s easy to use to set appointments. The system sends a text before time of the appointment, so you are ready.

#### Cons

I don’t always see the reminder, perhaps should include some other tool to alert the user a day before start time.

#### Ratings breakdown

- Ease of use: 5/5
- Value for money: 4/5
- Customer support: 5/5

#### Pros

For the way I am currently using it I am on the free version but I have used the paid version before. I love using this as it makes booking and keeping my schedule organized very easy. It saves me lots of time instead of going back and forth with customers all the time. I get compliments all the time from customers that they love booking and using my system as it makes it very easy for them too

#### Cons

I wish the free version allowed a little more. Maybe to be able to have 2 types of meetings available at once, or be able to have 1 group option. When I was working with a bigger company and we did have a subscription these features were very useful

#### Reasons for choosing Calendly

The free version works for what I need and as a small business being able to save money is always a win

### Easy-to-Use Scheduling Tool That Saves Time and Reduces Back-and-Forth

Overall, Calendly is a reliable and highly effective scheduling platform that has saved me a considerable amount of time and improved the overall scheduling experience. It is simple enough for anyone to use, yet powerful enough to handle complex scheduling needs. I would highly recommend Calendly to individuals and organizations looking for an easy-to-use, professional appointment scheduling solution.

#### Ratings breakdown

- Ease of use: 4/5
- Value for money: 4/5
- Customer support: 3/5
- Functionality: 4/5

#### Pros

Calendly has been an excellent tool for simplifying the scheduling process. One of the features I appreciate most is how intuitive and user-friendly the platform is. Setting up appointment types, availability, and meeting preferences is straightforward, and the system integrates seamlessly with my calendar to prevent double-booking. The customization options are another major strength. Calendly allows you to create different meeting types, add custom questions, set buffer times, and send automated confirmations and reminders. This has significantly reduced the back-and-forth emails that typically come with coordinating meetings and has created a much more professional experience for clients and candidates. I also value the integrations with tools such as Zoom, Microsoft Teams, and Google Calendar, which make it easy to automatically generate meeting links and keep everything organized in one place.

#### Cons

My only criticism is that some of the more advanced customization and workflow features are only available in higher-tier paid plans. Additionally, making changes to existing bookings or managing certain settings can occasionally be less intuitive than expected.

#### Reasons for switching to Calendly

I found Zoho was not as user friendly and inconsistent with reminders and meeting quality.

### A perfect online appointment scheduling and meeting management platform

- Overall rating: 5/5

Overall, as an employee of a company that uses Calendly, I can say that using this service has been beneficial for me and my colleagues. Firstly, the program enables us to conduct many online meetings with other companies. Secondly, it has helped us to optimise our time and manage our workloads more efficiently. Thus, I would like to recommend using this software to all businesses and companies.

#### Ratings breakdown

- Ease of use: 5/5
- Value for money: 5/5
- Customer support: 4/5
- Functionality: 4/5

#### Pros

I had the opportunity to use the Calendly service in my work as a Sales Executive for Hackett & Hackett International Group Limited. I used the software for scheduling online meetings with other members of the company, who are based in the UK. One of the main benefits of this service is the intuitive and convenient interface, which helps to save time and manage one’s schedule more effectively. Another advantage of this software is that it enables businesses and individuals to digitise and automate the scheduling process, cut down on administrative tasks, and improve the overall customer experience. Moreover, using services such as Calendly helps avoid double-booking and schedule overlapping meetings with ease.

#### Cons

However, I have also found a number of disadvantages in using this software. First of all, the free version of the program is very limited, whereas the premium versions are quite expensive. In addition, the program’s automation may be overly robotic and lack the personalisation and flexibility necessary for use in businesses. Another significant problem is the lack of personalisation and control over the details of the scheduling process, which does not allow creating a unique design, booking page, and individual customer journey and managing complex booking scenarios. In addition, using Calendly may involve the risk of storing and transmitting personal data, including the names and contact details of the company’s customers. Thus, this software may have potential security and privacy issues.

### Finally, a booking tool that actually works with my website

As someone who relies on Calendly specifically for client-facing scheduling via my website, it delivers exactly what it promises. Setting it up wasn't complicated, and once it was live, clients took to it immediately without needing any guidance from me. Customer support has been responsive whenever I've had questions, and the platform has been rock solid — no bugs or downtime that ever disrupted a booking. The value for money on the paid plan is solid given how much time it saves on both my end and my clients'. If you work with clients and want a professional, frictionless booking experience on your website, Calendly is the tool to get.

#### Ratings breakdown

- Ease of use: 5/5
- Value for money: 5/5
- Customer support: 4/5
- Functionality: 5/5

#### Pros

Honestly, the biggest win for me has been the time it saves. Before Calendly, I was going back and forth with clients just to find a meeting time, now they just click a link on my website and pick a slot that works for them. It's so easy to use that I've never had a client complain they couldn't figure it out, which says a lot. The features like automatic reminders and setting my own availability mean I rarely deal with no-shows or last-minute surprises anymore. For what you pay, the value is genuinely there, especially once you start using it daily. The platform has also been very stable, I haven't run into any bugs or technical issues that disrupted a client booking. When I was getting set up and had a couple of questions, customer support got back to me without much fuss. Being able to include information in the confirmation email also helped with sharing what clients need before our meeting.

#### Cons

The free plan is quite limited if you want more advanced features like multiple event types or deeper integrations. Some of the more useful customisation options — like removing Calendly branding or adding routing forms — are locked behind higher-tier plans, which can feel restrictive for small business owners. File sharing or sending documents alongside a booking confirmation isn't natively supported, which would be a great addition for client onboarding workflows.

#### Reasons for choosing Calendly

Calendly felt the most straightforward to embed directly into my website. Acuity Scheduling seemed more geared towards service businesses with complex booking needs, and Doodle was better suited for group polling rather than one-on-one client bookings. What won me over with Calendly was how clean the booking experience looked on my site and how quickly I could get it up and running without any technical knowledge. It just made the most sense for what I needed.

### Simple scheduling with real operational impact is the definition of Calendly

- Overall rating: 5/5

Calendly has become one of the tools that quietly delivers major operational value. We introduced it to simplify how meetings are planned across project teams, finance functions, leadership, clients and external stakeholders, and it has improved how we manage time and coordination. Instead of spending unnecessary effort arranging calendars and confirming availability, we now have a more efficient and predictable scheduling process that keeps projects moving and helps everyone stay aligned. The result has been better meeting attendance, faster decision cycles, fewer scheduling conflicts and more time spent on execution and financial oversight rather than administration.

#### Ratings breakdown

- Ease of use: 5/5
- Value for money: 5/5
- Customer support: 5/5
- Functionality: 5/5

#### Pros

The biggest advantage has been how effectively Calendly has eliminated scheduling friction. It has completely removed the endless back and forth emails that usually come with finding suitable meeting times by allowing our teams, clients and partners to book directly based on our real time availability. In a role where coordinating project reviews, budget discussions, governance meetings and stakeholder updates happen constantly, this automation has created incredible efficiency. Its sync with Google Calendar and Outlook ensures our schedules reflect actual workload and prevent overlapping bookings. We also appreciate how clean and uncluttered the platform is. Setting up availability, sharing booking links and managing schedules is straightforward and our clients have found it equally easy to book meetings without confusion . The onboarding experience was also excellent. Calendly's customer support team was responsive throughout the deployment and helped our team adopt features quickly across the business.

#### Cons

After using Calendly for 3years now, we genuinely have very little to criticize. The platform has been reliable and stable throughout our usage and we haven't experienced notable glitches or disruptions. It has consistently helped us to manage scheduling efficiently and remove administrative burden. At this point, it feels less like a scheduling tool and more like a personal assistant that quietly handles coordination in the background so our teams can stay focused on delivering IT projects.

We are using Calendly and it takes care of 99% of our scheduling needs, making it easier to schedule appointments with outside parties and other teams in our Administrative department. It does have some minor bugs and lacks some functionality such as being able to share files with participants, but its simplicity and ability to sync with our calendars make up for these. Overall, the platform offers good value for money, particularly given the wide range of scheduling needs and the size of our IT company.

#### Ratings breakdown

- Ease of use: 5/5
- Functionality: 4/5

#### Pros

The process of setting up a meeting with clients, vendors, or internal teams has been greatly streamlined with Calendly, cutting down the back-and-forth emails. I really like the option of setting specific availability time so that I don't double book myself. Since it integrates with Google Calendar, I have everything synced, and the options for the type of meeting means I can use it for formal and informal meetings. It's helped our department to be more productive, and it's great.

#### Cons

Sometimes guests find problems to use some of the booking-links, which needs follow-up. Plus, there's no built-in way to send extra documents right through the booking process, such as an agenda or updates, which may come in handy. That makes it so that often we had to use a different tool for this. Not a major concern but these gaps can very slightly complicate the workflows in an environment like ours that moves fast.

Very positive. I would recommend this to anyone who had a need for a separate calendar schedule management app and wanted another avenue outside of the low cost/free usage of Google Calendar/outlook.

#### Ratings breakdown

- Ease of use: 5/5

#### Pros

What I liked most about calendly when I was using it was ease of use. Immediately there was an understand for the use case of the product. I could easily send prospects my booking link, they could view the available times I created (within around of minute), select and provide a link to all required attendees. It’s easy, intuitive, and all the features are laid out in front.

#### Cons

What I grew to least like about calendly I think mainly falls to what competitors were able to do for less. It is a great product for what it does, but as my usage grew - I wanted a way to handle incoming meetings or booking/sending meeting links directly from my workspace/suite. That’s really where Google Calendar came into play while I was in google workspace.

"Life-changing" is a big promise for any product, especially software, but that is my honest description of Calendly. As an independent tutor, managing my schedule before Calendly was one of the most tedious and complicated parts of my job. Now, I basically don't have to think about it. That's the short version. If you'd like to know exactly how many problems Calendly solves, read on. Scheduling without Calendly: Every session required back-and-forth communication to see what time might work for both parties. Any time I had to offer multiple student a set of hours to choose from, inevitably they would end up choosing the same hour, necessitating going back to the beginning of the process with one or both. Otherwise, I had to arbitrarily offer them only part of the list of possible times, so as not to overlap, and then they wouldn't find what they needed. If I offered students a window (anytime between 4 and 8), they would choose awkward times (such as 5:30) that meant I could fit fewer total sessions in. If students forgot to come to sessions, I had no proof that they had scheduled, which meant I couldn't hold them accountable. Confirmation via email, or over the phone, had to be manually transferred to my own calendar lest I double-book or fail to remember a session. Finally, I work with students across three time zones, and I regularly forgot to say "Eastern time" when scheduling, leading to students showing up at their local time instead of when I was there. Scheduling with Calendly: I set up Calendly with specific session times for each day of the week, giving me complete control over my schedule. I schedule a 15-minute buffer between sessions for the most efficient use of my available time. I share my Calendly link with new and prospective students. Calendly checks my Google calendar to ensure there are no unusual events interfering with my available times on any given day and offers students only times that I am actually available--and the times are displayed in the student's local time zone. The student chooses a time, registers for it, and both they and I get an email--and Calendly sends the event directly to my Google calendar. Seamless.

#### Ratings breakdown

- Ease of use: 5/5
- Value for money: 5/5
- Functionality: 5/5

#### Pros

Calendly's best features are perfect integration with Google calendar, idiot-proof time zone correction, and the ability to set session-specific working hours.

#### Cons

I think the sign-up experience is easy and intuitive, but I have had students fail to take the final step to confirm an appointment (thus it doesn't reach my calendar) but they still think they've confirmed, and sometimes the confirmation email goes to Junk and gets missed. But these are not the norm.

Calendly customer support is friendly and they are always updating their product with more features and making it even easier to use. It was easy for the students we had to book their class spots online during covid when we had limited space. It's excellent for trouble shooting and there's no major bugs or issues. It's also nice to be able to share some files with attendees.

#### Cons

I don't have much negative to say about calendly. it worked easily and i like how often they update their features.

A really good and popular calendar booking tool. For the extra cost, you do get a nicer looking tool with more features and customization over something that is natively built into M365 (Microsoft Bookings)

#### Ratings breakdown

- Ease of use: 5/5
- Value for money: 4/5
- Customer support: 5/5
- Functionality: 5/5

#### Pros

Easy to use and modern looking scheduling tool. Integrates well with Outlook and/or Gmail. Setup is easy to connect to your calendar and then you can either generate a booking link and send it out or embed it into your email signature. Its nice you can generate different booking links for different events or for groups of people. Intergrates with other 3rd party apps well (Zoom, Salesforce, LinkedIn, etc.)

#### Cons

You need to upgrade to at least the mid tier subscription before you can integrate it with other business apps such as Salesforce and Hubspot. Also need the higher subscription if you want to configure SSO with your IDP (Entra ID or Google Workspace). Pricing is competaitive when compared to other vendors.

### A Must-Have for Client Scheduling — Pricing Could Be More Flexible

Calendly is genuinely one of those tools that quietly improves your workflow without you having to think about it. For client-facing scheduling, it's hard to beat. My only hesitation is the pricing structure — I'd love a leaner paid option for users with simple, basic needs. That aside, it's a 5-star tool that I'd recommend to anyone who manages external meetings regularly.

#### Ratings breakdown

- Ease of use: 4/5
- Value for money: 3/5
- Customer support: 5/5
- Functionality: 5/5

#### Pros

Calendly has completely eliminated the back-and-forth of scheduling client meetings. I just share my link, and clients book directly based on my availability—it's seamless, professional, and saves real time. Setup is straightforward, and the experience for clients on the receiving end is smooth and polished.

#### Cons

The pricing tiers feel like a gap. The free plan doesn't quite cover everything you need for professional client use, but the next paid tier has more features than I'll ever use—so it feels like overpaying for functionality that isn't relevant to me. A middle-ground option would make it much easier to justify the cost.
