BigTime - Time & Billing Software

BigTime Software provides user-friendly practice management tools for tracking time and managing expenses. The system is flexible and scalable, making it a great choice for growing professional service firms.

Named a top time & billing app by Accounting Today in 2012, BigTime’s cloud-based practice management solution is designed to integrate within small and mid-sized firm’s unique workflow. The software delivers time tracking capabilities that can be tailored to a specific industry, simple invoicing, customizable reporting and Quickbooks integration. And recently the company released a mobile app, BigTime Mobile available in the Apple App Store, that gives users the option to track time, log expenses and manage projects remotely.

Within the suite, BigTime supports integrated project management, billing and invoicing, and document management capabilities. Its invoicing engine features printed invoice styles, industry billing formats and adjustable rate tables. Included in the software are over 150 reports that can be customized and exported to an Excel file or a PDF.

Recognized as a Gold Certified Developer by Intuit, BigTime is the only one of it’s kind with Intuit’s practice management suite built right in. We recommend BigTime to professional service firms looking for a comprehensive suite of applications to track billable hours against projects for their clients.

BigTime combines a wealth of functionality in a very user-friendly and simple to use package. Even if you're not using all of the features, you can repurpose some of them for other requirements. It also doesn't try to incorporate every piece of functionality into one place - focusing instead/first on having a great interface that's easy to use and building on features. BigTime's support is also very available and responsive.

Likes Least

The only thing I wish it had was the ability to cross-tab report data by time period - all of the reporting is very customizable, but flat - if you pull data for a multi-month period, you can't organize the results by month. At least you can get the data and export it easily though.

Recommendations

Engaging in a demo and using the free trial was very helpful. Do the best you can to define your requirements, both current and near-term up front... we picked the "right thing for right now" knowing that it may not have everything we would need for the long-term future because getting up to speed quickly and easily was important to us. The best system for right now is something that you will use.

The best thing about BigTime time and billing software is its easy interface. It was easy for me to understand the set up and daily use features.

Likes Least

It allowed a client to be set up multiple times, which confuses the user and the biller.

Best software to manage projects for A/E firms that we've come across - and we've looked extensively!. Handles accounting, project management, time and expense tracking, scheduling, progress reporting - all integrated and visible to everyone you want to see the information on your team.

Great handling of phases and progress billing. We run our projects in phases, and use fixed-fee percent complete invoicing.

Also good for tracking costs in order do see how profitable we are per project, and even per staff member.

We couldn't have asked for a better fit :)

Likes Least

"Submit timesheet" link was hard to find. Once we got the help and figured it out, it was pretty easy.

Recommendations

If you're an Architecture firm, definitely have a rep help you set up your account for fixed-fee percent complete invoicing. You won't look back from there.

The program is intuitive and quick to set up. Our employees were able to get up and running after a one hour training session

Likes Least

The support provided is poor. They have a horrible support phone system that they seems like an issue with VOIP. They do not respond to emails promptly. When we found some bugs in the software, they said that they have made a note of it, but they have not fixed them in several weeks. This affects the performance of the program based on the category you give each project.

Recommendations

Keep looking...Bigtime has some big time issues in the software and they don't seem too anxious to fix them.

What we like best about this product is its easy use and great integration with Quickbooks. The timesheet entry is very easy to learn and the reports are very detailed helping us streamline our invoicing. If we ever have a problem customer services is very attentive and responds quickly.

I have been using BigTime for about 6 months now and could not be happier. In my previous company, I purchased a time tracking software for my employees and bookkeeping and it was a disaster. It didn't integrate with Quickbooks, was cumbersome to use, fouled up our taxes and was extremely expensive. Conversely, BigTime has been a huge breath of fresh air. It integrates seamlessly with QuickBooks, allows me to easily track my time, expenses, and create invoices. I can readily see where I am with project budgets verses time spent and can easily gauge when it is time to bill. I am now a sole proprietor and have to wear all of the hats of the business. Having BigTime has been an indispensable tool in being able to manage the "business" side of the business easily and efficiently.
The customer service (specifically through my personal Account Manager) is outstanding. If I ever have a question, he has solved it through timely and knowledgeable feedback or it has been resolved with a quick online chat with support.
As you can tell, I can't say enough about this software and am so glad that I found it (and wish I would have found it sooner).

Likes Least

I honestly can't think of anything that I would change

Recommendations

If you are looking for an easy, but robust, time tracking software, BigTime is at the top of the list. Before I purchased, I researched many different options, looking at things like mobile availability, QuickBooks integration, budgeting tools and the ability to manage multiple clients and multiple tasks/phases within each client/project. I "test drove" many software programs and found the hands-on experience with each to be very helpful. You are able to do a trial version of BigTime to see if it works for your needs - something that I highly recommend prior to purchasing any similar product. BigTime had everything I was looking for and more. After using the software through my trial and going back and forth a bit with my Account Manager to discover more of the features of the program, I purchased BigTime confidently and am so glad that I did.

The product is great for tracking my hours, and staying on top of my pricing on projects. There are some specific ways I track clients and QuickBooks classes, and Jacob at BigTime was able to help me customize the app to do everything I need it to do! Very well done.

Likes Least

The only thing I would add if possible would be the ability to add QuickBook classes and clients to QuickBooks directly from the app while creating a timesheet. This would make the process even more streamlined for me. Usually the first time I enter a new class in QuickBooks is when I'm booking my first hours against a project. As it is now, I just have to make sure the class is setup in QuickBooks and linked to the app before entering any hours against it.

Recommendations

Make sure you talk to the staff at BigTime if there's anything you think won't accommodate your needs. They were extremely helpful at finding a solution that would work for me.
