The Valant Behavioral Health EHR


 

Valant’s EHR for behavioral health offers tools for providers to streamline documentation, increase efficiency, and enhance the productivity of their practice or agency.

The fully integrated suite includes secure patient records, documentation, scheduling, practice management, and a patient portal. Because Valant focuses exclusively on behavioral health, users don’t have to navigate through billing codes and documentation templates made for other specialties.

Valant offers a library of outcome measures for clinicians to utilize and track overtime. Patients may complete these assessments from the comfort of their own home via the Patient Portal, or in session with the clinician. Either way, results are documented in clinical notes and securely stored in patient records.

Documentation templates include click-to-narrative technology to reduce typing and simplify the creation of a structured note. Because the software is completely integrated, information like diagnosis and medication is pulled directly into the note from the patient chart.

The practice management suite allows users to generate charges directly from the calendar, eliminating manual data entry. The extensive reporting feature allows users to manage all aspects of the revenue cycle as well as other clinical and appointment reports. Patients are able to view their balances and receive statements electronically in their patient portal.

Valant appeared to be a better program than what was actually delivered. The billing sector does not work well and caused many delays in payments.

Pros

Relatively comprehensive program overall, had appointment reminders, multiple options in documentation and connected notes through the schedule.

Cons

Customer support was not consistent, difficult to make accommodations, no ability to use your own forms, a glitch that you could not accept payments or do anything else in the system until a diagnosis was entered, billing of secondary insurances did not work.

I liked that this software has a patient portal. The intake form is quick and worked well and the group notes were great. Customer service was very helpful!

Cons

We ended up not using this software for very long. It is pretty expensive for my small practice and did not make sense as there are cheaper alternatives out there. I was not a huge fan of the reports and billing.

If you are an applied behavior analyst or you need to bill in a time-based way (e.g., units) the scheduling software does not "understand" this process and therefore auth tracking and claims, etc. is not as easy as it could be.

Pros

The EHR is relatively complete in terms of features, and the claims submission process is simple. The software provides a level of configurability in terms of user access that is unafforded by many competitors.

Cons

The system utilizes Microsoft Silverlight, and although the company is adamant that it has a solution that is web-based "in the pipeline," I have been a Valant user for over 2 years and the new system has not been made available to me. I can only assume it is because we are a very small practice and do not meet their bottom-line requirements for moving my data to the new system. I will be moving on once my contract is up.

I feel that our engagement leader should have been more forth coming with information regarding the importance of having the patients entered before our go-live. We should have had a soft go-live.where we entered the patient information then had a hard go-live.

I would like to see photo for client on dashboard. I really like the way it all comes together despite this fact. I really feel like the photo would putr it over the top. I would like to see a Quick Books type billing program integrated with the system.

Pros

I loved the secure patient portal, the integrated scheduling, and the dashboard. I also like the color coding and bright eye catching reports. The system was very easy to figure out- even without training.

Cons

Price. I feel the whole system was great, colorful, awesome, good - even for the money. Unfortunately a lot of smaller businesses and non-profits cannot afford it even though it is a great system.

Buyer beware.

Valant unilaterally extended us for 12 months, when we were a few months away from closing out our account with them (with Valant's tech team assisting our switch, and business side aware) - and they sent the "renewal notification" to a random person who was not ever a part of our practice. We are contesting their charges with the bank, filing a complaint with the better business bureau, and will proceed to court if necessary. It has been an unfortunate and unprofessional experience dealing with Valant, not to mention we were also dissatisfied with the product. Buyer beware.

Pros

We found the product lacking overall. The functionality of the documentation side is too limited, including features related to MACRA/Meaningful Use.

Cons

We found the EMR to be lacking compared to more robust alternatives, and therefore decided to change to another product. Then we also had very serious issues thereafter, with Valant unilaterally extending us for 12 months, as we were about to close out our transition to the other EMR vendor. (Valant's tech team was assisting us with the switch, and business/customer-service side was aware). This was an unprofessional, despicable money grab. Why would we extend with Valant for 12 months, when we were a few months away from closing our account?

This ehr system is complete with all the necessary tabs to help the users navigate it more easily. It is customizable such that users dont necessarily need to fill in all the tabs. It also has a built in electronic prescribing ability that allows users to send both controlled and regular prescriptions. Customer service is amazing if you need any assistance with the program.

Cons

To open a patients chart, one has to go to the open chart tab instead of being able to see notes by right clicking on the patients name from the schedule page.

It’s certainly not the Cadillac but it’s better than middle of the road. You get used to the quirks, but it being designed around psychiatry can really make a difference. Some of the Cadillac EHR’s were just too expensive for what you would actually use.

Pros

It’s geared specifically toward psychiatry. The notes are set up to be very thorough. Intakes will take you forever for some time, though you should be able to bill at the highest level if you fill the entire intake out. Once you get the hang of it, the features are pretty handy.

Cons

The learning curve could be better. The deal you work out to offer “training” leaves a lot to be desired.

We have had problems with getting any customer service and help with technical issues. They have told us for at least 2 years that an upgrade was coming to the system so we did not change after the first year because we were holding out, but now it has been too long and we are seeking a new provider.

If you ever want to add a user, make changes, have questions for support they take weeks to respond and typically do not resolve your issue. We have had problems with the e-prescribe since day one (3 years ago) and it has yet to be resolved. We have also been told since day one that they were upgrading the system soon so that other features like payment online could be taken and we are still waiting on this.

Graphically appealing.

Cons

Practice of 7 locations each location and each location had issues with client appointments disappearing. Tech support kept blaming us. After a year of this non sense we are moving on. Also, their treatment plans do not incorporate into the soap notes. The treatment plan tool is clunky. Also, their prices are expensive. I was surprised how much more we could get from their competitors for half the cost.

I like that it's MH specific but hard to use overall

Pros

The pros is that the software itself was detailed, and the note section was very good. It is designed for MH providers which makes it easy although it seems more built for psychiatrists not counselors.

Cons

It is not really integrated. Any denials have to be billed through Navicure which is a nightmare. Not as seamless as they make it sound. Also on the more expensive end of things!

The customer service is great. Negotiating around site is user friendly. I like the word add on. Wish it worked with more browsers.

Cons

Old templates. Writing prescriptions is a problem because of limitations. It does not allow me to use ranges, for instance: 1-2 tabs po qhs. I also receive a lot of calls from pharmacies for clarification because of this problem. Additionally, I wish there was an ICD section to remind me to add for controlled substances due to new laws. I never received the 3 personalized templates I contracted for.

Great notes, cloud-based integrated notes and billing

Pros

I really like the way the therapy notes are laid out. Check boxes make charting easy and professional, especially when remarking on suicidality. I have had positive comments from MDs and attorneys.

Cons

This year we have had frequent Silverlight errors. We have had to uninstall and reinstall Silverlight, reboot Firefox and the computer, and find that solution sometimes works, but sometimes doesn't. It won't work on Chrome. It's expensive and I've lost a lot of productivity dealing with these errors. We are looking forward to the end of our contract so we can switch.

I have been a practice manager for a psychotherapy practice since 1998. I have worked with 3 different practice management softwares. My practice switched to Valant in 2014 because we wanted to go web-based. I have had issues with them from the start. The reporting is not very good. We are not able to run accurate reports of % collected per month. When you run an aging report it shows the full charge balance but not the expected amount owed based on the fee schedule. Once the appointments are saved they become separate from the transaction so if a change is made in the appointment is is not updated in the transaction automatically. This has caused many billing errors. There is not a copy from bottom to copy patient demographics to the responsible party or to the subscriber or to another family member. Therefore you have to re-enter the address, phone #s and insurance information when entering other family members. It does not have a zip code library so that when you enter the zip code it automatically filled in city and state. If you enter in an authorization after a client has been seen it doesn't not count down based on the sessions you attach it to so you have to remember to count down manually. We initially used the patient portal but stopped using it because the patient forms were not customizable therefore we had to upload our paper forms onto the portal and the patients ended up having to print them out anyways. I know that it is possible to do all of these things because our old software Therapist Helper has these features. They just are not web-based yet.
I have sent my suggestions to Valant customer service however they keep telling me that they are not able to make significant changes to the software but they will keep it mind. They also have been saying that they are working on another version of the software so their focus is on creating the new software instead of fixing the current software.
The customer support was decent and the tech support reps usually know what they are talking about and are able to fix any issues that we have (other than the above issues). The electronic billing works pretty good and ERAs are easy to apply.

I have used Valant for almost 3 years and I am considering moving to a different EHR system. I have been told a complete redesign is in the works, however, they offer no details, time table or roadmap. Here are some of my thoughts

Pros:
The claims submission/reporting process is very reliable and easy and the primary reason I still use them. The online measures are very good and helpful although many of them have bugs. Pricing is OK. Customer service is fantastic and their training is excellent. They will have you up and running quickly.

Cons:
It is primarily oriented towards psychiatrists, so many of the templates and features a focused on psychiatrists, not psychologists or therapists. Many of the other features have bugs, limited usefulness and the program is slow and the interface is very outdated and inconsistent. In many ways it reminds of of Windows 98, that is how outdated it is. The mobile notes feature is cumbersome and has no ability to customize it to your usage; the calendar syncs one-way only with external calendars so you must log in to Valant to make changes; reminders only work in the Valant system and only remind you on the dashboard with a note (there are no reminders at all really and they must be tied to a client so you can't add reminders for things that are not directly related to a client which requires you to maintain two separate calendars); the "mobile" application is little more than a webpage with basic information in a text format, it's is not designed for mobile devices, the interface is horrible and looks and functions as if it is 15 years out of date and has little functionality, it is more of an afterthought; you can't customize mobile notes templates or choose which ones you want to use, whenever you use a mobile note you are blasted by 30 different tabs 25 of which won't apply to therapists and which makes a confusing and messy experience; claims processing is expensive (.60/claim by my calculations) and the competition is charging between .14 and .25.

In general most of the basic features you need are there and work, but they are frustrating at times and lack many additional features that are natural to need. My primary concern is after 2+ years there has been little change in the software and the value is being reduced as they are falling behind in features and functionality.

We have been using Valant in our private practice for about 16 months now and love it! It is easy to use, very intuitive, and the IT support is FANTASTIC!! Initial set up was smooth with a great deal of support. Also easy up upload your own support documents. I highly recommend it!

I am an APRN so I prescribe medications. This program does not support medication reconciliation and the treatment plan does not include medication. I did not know this until I was weeks into the training - which is complex. Valant let me out of the contract because I made my case. I think is it a good program if you are not prescribing. I went back to Therapy Notes which is simpler and includes everything I need for meds except e-prescribing.

Not good for solo practitioner. 5000 clicks to get a 5 minute task done. No tech support, they don't even respond; if they do they can't fix it because it is a developer issue and they are focused on the billing side of their development. Valant is not a user friendly charting experience. Patient port very limited. Locked into contract with a Valant program that I really have strong negative feelings about. Think twice before you sign up and commit to a year with Valant. I cannot wait to transfer to a new system and I'm trying to claim breach of contract for their lack of customer support that they promised.

Professional looking progress notes

Using Valant mobile notes has made keeping organized, professional appearing progress notes so much easier. I don't have to worry about filing the notes and actual file. It's convenient to be able to do notes and have access to them wherever I'm able to connect to the Internet. There's a few minor cons in layout, for example, only being able to see the past few dates of servic. Also, once a name is entered you can't delete it, not a big deal except I have a few duplicate entries (not sure why) so it gets confusing when scheduling.

As the CEO of a mental health billing company we have been through the wars with EHR vendors. One experience with a vendor was horrifying. A fake demo with fake data to make the software look perfect and that was not how it actually worked. Billers spend the most time with support when it comes to an EHR. If we can't use it and our clients also complain there is a problem. Valant came to our rescue and have not only made our providers happy but our billers as well. Their support is professional, courteous, and they have a large staff to make sure our needs and our providers needs are well taken care of. The software is easy to use and our clinicians love it.

Valant is what our providers choose 9 out of 10 times after reviewing 3 to 4 EHRs. The reviews that are negative here are old. No software is perfect but a company started in 2005 that has grown to have over 70 employees dedicated to the difficult market that is behavioral health is quite impressive. This is a company that is devoted to behavioral health, has obtained over 11 million in funding to enhance their software even further, and led by an actual clinician that uses his own software in his own successful mental health practice. My firm is run by independent consultants to help behavioral health providers choose which system is best for their practice. We appreciate the providers that look to Capterra's top 20 lists based on EHR popularity as those are the real numbers when it comes to the best EHRs for Behavioral Health on the market. Valant is on that list. They have certified billers and coders on staff, behavioral health providers on staff, former insurance/Medicare auditors on staff, degreed software engineers on staff. There are many EHRs that have a handful of staff with zero to no credentials handling your patient mental health records. Valant is NOT one of those companies. Again, it is ONE of the EHRs we recommend highly but it is the one our clients choose after careful review of many systems most of the time.

Very attractive format, and electronic billing is easily, quickly and accurately done with just a few keystrokes. The reports for submitted bills are excellent.
TheElectronic prescribing is cumbersome and takes too long to switch into that sector and out of it. The clinical notes section I found incomplete unless you want to write your own notes each time, or set up your own boiler plate. It has reached a point where I am handwritng notes because the system as a whole is too slow and cumbersome, at least with a Mac. One can use an Ipad but that too is cumbersome to learn. I would not recommend this program.

Pros

I have used this EHR for about six months. I found their electronic billing the best I have experienced after using 4-5 EMR systems. It gets an A. Unfortunately the rest of the program gets a C.

Cons

Clinical notes aspect is poorly done, unless one desires to write their own boiler plate. E.G. It fails to cue you for important aspects for the Mental Status exam and essentially expects you to write your own boiler plate. It is incomplete in areas, and the customer support while very good in some ways, it is poor in others. For example they characterize both 90791 and 90792 as "psychiatric codes " and then describe 90791 is for "all practitioners" and lists 90792 as only for "prescribers" which is inaccurate and confusing.

We used Vallant EMR for almost a year, after paying for 3 years. I give it one star all over. These are my main concerns, not all of them:
Lack of integration with the labs; almost everybody else has them
If you copy and paste from Word, the format it creates is awful, making the documents difficult to read and follow
You can open only one window at a time, making it difficult to look at old notes/labs.etc while writing a new note
Printing prescriptions was free (difficult but free) on previous versions, it became impossible in the "improved" version, unless one pays extra
one cannot customize simple things such as colors on the calendar mode in order to be able to differentiate at a simple view the type of patients/procedures for the day/week.
Also the customer support is bad, definitely worse than they promise. I switched to a free EMR (practice fusion) and the quality is incredibly better.

I would definitely recommend this database to other Behavioral Health providers.

Pros

Easy to learn and satisfies our needs. Because it is web-based it can be accessed from anywhere, which is definitely a plus. The ability to have special office forms added as needed is nice. Customer support is wonderful.

Cons

Would like to see less steps or keystrokes to get to where I'm going sometimes. But this has been improving, slowly.

Excellent system!! While the EMR and billing module are great, the best part of purchasing Valant is the phenomenal customer service!!! The training and support are exceptional!!

Pros

Customer support is excellent!!!
Product is easy to use and intuitive.
Web-based solution is great for providers who need access from home and/or multiple locations.
System is very reliable and secure.
EMR makes keeping up with chart notes a breeze.
Billing module is excellent to link with EMR. And the electronic claims option is invaluable for submitting and getting paid in a timely manner.

Cons

Wish they had an integrated credit card solution. Also, it would be helpful to have an ERA option which would allow for receiving payment information to populate the billing module electronically. Hopefully that will be coming.
