Overall our experience has been really great. There were some serious issues when we decided to use Brightwheel billing. I'm certain those issues have been documented, but we seem to be good now. I have been a big fan of Brightwheel and sincerely look forward to what's next!

PROS

I love how much Brightwheel has improved since we first joined the program. Administration, Parents and Staff love all of the features. I am very happy with the way Brightwheel has fostered "community" between home and school, and even school and extended family. Grandparents love seeing their grandchildren and being in the loop. Community is very important to our program! I appreciate the level of professionalism Brightwheel adds to my program. Touring families always have great comments about Brightwheel.

CONS

I wish multiple accounts could be under one umbrella login. I do not like having to log out and log in to my three programs. We have an account with ADP and use just one login for all 3 programs. I simply just have to click which program I need to see. I wish I could access a simple version of a class list with birthdays and just parents names and emails without all of their personal information. Parents request class lists quite often for birthday party invitations. Perhaps even an "opt-in" directory for parents to see would be a great feature. Parents could choose to include email/phone numbers in the "public" directory.

Review of Brightwheel for Royal Gorge Christian Preschool

Overall, it has been a large help with my day to day activities. Our teaching staff is struggling with how to incorporate into their daily teaching regime. I hope they can work with the program over the summer.

PROS

As administrator I use Brightwheel daily for most administrative jobs. The sign-in and sign-out has been a blessing. No more typing up sign -in sheets and tallying who is hear and who is absent. We also use the messaging for parent and staff. No more having to add parents and or staff to my personal phone.

CONS

The set up and getting started has a learning curve that takes time to learn. I would be nice if we could just hit the road running. I still struggle adding students to waitlist, enrolled, disenrolled..etc. I would like it to be more streamlined.

Good but would like to see 2 other features for ease

It really is a wonderful tool to have for communication with parents. It makes sending pictures really easy. I love knowing that our parents can easily receive pictures of their child throughout the day. As a parent myself, I love receiving pictures of my son!

PROS

I love the ability to post multiple pictures at the same time. All the options are easy to find and labeled really well (ie. nap, food, potty, etc.).

CONS

First, I really don't like how difficult it is to edit a note, photo, or custom message if we spot an error after sending it. We have used another platform before that you could easily click on which students had the note that was sent out and you could edit it one time instead of having to go through each child. For example, to edit a "note" that was sent we would have to edit it 19 times to fix it. That's a lot! If you could update this I would really, REALLY love Brightwheel. Secondly, can we please have a "Sent" message page separate from just the one page that groups the sent and received all in one. I am missing incoming messages because they're getting lost in a bunch of other messages. And one more thing about messages. This would help out SO much! Can there be an option to mark a message as "Unread"? Sometimes my morning assistant will check a message but forget to tell me and unfortunately I won't see the notification that a message came in. But if it could be known that if anyone reads a message before the lead teacher they can easily indicate it as Unread and then no one will miss it.

Best Decision Made All Year

Our business has been impacted by having more time to improve care for our kiddos and costumer services to our parents using Brightwheel. Brightwheel saves you time after you have set up the program. They have great little video's online to help you out and costumer services is great also when my 65 year old brain is saying what? I will say because of my 65 year brain and technology that speaking to a person would be a little easier but hey I'm still getting it and understanding. Invest in the product!

PROS

Billing!! What a time saver! Attendance & Staffing time saver! Communication with Parents time saver! Easy to learn and this is from a person that's not the brightest person on technology. (I was 63 years old now 65)

CONS

Make longer videos to send to parents. That's it.

Reason for choosing brightwheel

To tell you the truth I saw it on Shark Tank on a rerun saw the [sensitive content hidden] invested in his program and new it would always improve these men saw their daycare struggling they understood I connected with them in that short moment. Then with the walk through of the product I was sold.

Awesome child care management app!

In all Bright Wheel as been an added plus to our program and our families are very happy with it!

PROS

Ever since we started using Bright Wheel in our school, parents have been communicating more and faster! The ease of billing is definitely worth the price and saves time with tracking down payments and late fees.

CONS

The only cons I have found using Bright Wheel is in the Subsides category trying to add and change child payments mid month as some agencies tend to do. They are working on it and plan on coming out with an update soon!

Brightwheel Review

The customer support is outstanding. They make setting up the system easy and always there if you need support. Our parents and staff enjoy using it's many features.

PROS

The ease that the billing options work for our program.

CONS

Generating deposit reports could be a little easier. There are not always dates attached to each report when we download the report.

Best Parent App

I love having all the features at my fingertips, easy to manage, parents love it!

Love the features , bill pay and parent communication

CONS

I wish there was a 1-800 number to talk to someone in customer service instead of making an appointment. The billing feature delays payments by a few days so it's not deposited into your account immediately.

Exceptional Accountability for Staff and Families!

I absolutely love Brightwheel. The newer billing system has been hard to learn, but it still is an amazing addition to our center overall.

PROS

The alert system that tells families what is happening in their billing and with their children in real time keeps the center very accountable. It is also easy to catch and correct any mistakes right then.

CONS

I do feel there are a few things that could be integrated to make it even more efficient - like an alert that tells you when someone is clocked in more than 8 hours or 10 hours (or whatever the user sets). Also, being able to alert teachers when a child has not been updated in their class after 2 hours or 3 or whatever the user preference is. I would also like to be able to input staff vacation into the system somewhere. It would be helpful with payroll.

Reasons for switching to brightwheel

The procare version we had was a basic version that way extremely junked up by a previous [SENSITIVE CONTENT]. It was not connected to families and billing was messy. We just needed something fresh to start new with families that gave them access to what was going on in their billing and with their children throughout the day.

Brightwheel is great!

We use Brightwheel at our center to chart each child's daily activities; we easily attach pictures, meal information, and times of diapering, etc.

PROS

I love how easy Brightwheel is to use - the parents also enjoy the format that they receive information

CONS

If I had to choose one thing to improve on, it would be to add a "zoom" function when taking a picture from the app

Brightwheel proved to be more user-friendly and more of a time-saver. There are quick drop-down options for users to go to, as opposed to writing everything out. When the focus has to always be on the children, any time-saving tool is appreciated.

Easy solution for Educators

As an active user of brightwheel, I have found the platform to be an essential tool for managing my classroom and communicating with parents. Make the transition to paperless!

We do not otherwise incorporate tech into our business, we use Quickbooks and simple excels, Brighthweel has not had a crazy learning curve and its just a great product.

PROS

We use Brightwheel chiefly for its billing functionality and to meet State licensing requirements regarding records of attendance, ratios, sign in and out, etc. These are records you have to keep for years and the stacks of Bankers boxes were towering! Now we can upon request create and print any report, for instance our licensor could request sign in and out records from a certain classroom on a certain date--it can be provided way faster than digging through those old paper files. Name to face attendance can be achieved confidently with the picture bubbles for all your students--you can feel confident as an admin that all transitions and ratios are covered For billing it is clean and streamlined--you can create plans, parents can establish autopay, they have constant access to their receipts and invoices, end of the year statements, your EIN, etc. It is a win win for both us as bookkeepers and for our parent clients. The interface is very clean--sign up is a breeze for new children and it would be very challenging to get confused on the parent screen. Brighthwheel saves us time AND paper.

CONS

Here is the thing--Brightwheel is constantly developing. So if you were to have a con you can feel assured your feedback will be heard. We have been with them nearing 3 years and have watched so many features get added on and updates made. They take customer feedback seriously and want to understand the industry's needs--we have had conference calls with developers and participated in a lot of dialogue about what we need and what works well.

I was hesitant but so glad I tried this. Never going back!

The onboarding for this software was better than any other company I have worked with. They were not going to take my money and leave me alone. They "forced" me to learn how to use it and that is really important. I would have kept pushing it off "until next week" and never done it. I have 2 children that are computer scientists for a top tier company and they are both impressed with it. That says a lot!!

PROS

The customer support has been spectacular. I am a small school and don't pay much but I'm always treated like I could be their biggest client. I get a quick response when I have a question and they are always polite and professional. This has made my job so much easier on a daily basis. The billing would be my second favorite aspect. So much less check handling, deposits, chasing down parents that owe money, etc. The overall professional appearance this software gives my school. Okay, the grandparents don't always love it but everyone else does. :)

CONS

There are a few things that changed with the billing that I don't like as much. I liked going to the overview page and seeing recent transactions without having to click on other links. Also, ALL of my children are billed the first of the month, billing ends May 1, notice goes out 3 days prior to bill being due. There should be a way to "lock" these features and change them only when needed. I have to go on and click these for EVERY child. I would like to see more of what a parent sees. For instance: what does a parent see when a payment is past due? Do they see something daily when they check in? How often are they reminded? It's probably hard to do but I would love to have a feature that had a time stamped late fee for late pick up. Example: children have to be picked up at 12:30. At 12:35 they are billed a certain amount, at 12:45 another amount, etc. I would LOVE to be able to set a "don't check in yet" warning. Example: Check in is at 8:30. If they try to check in at 8:27 something flashes "oops, 3 more minutes. Proceeding will charge you for early drop." I can't always stop them. This is a big problem at my center and probably many of the smaller centers. The ability to print a more detailed breakdown of deposits. Every 2 weeks the treasurer prints out the deposit report and I have to break it down by: tuition, registration, book fees, etc. Every fee is broken down when it is charged. It would be nice if that showed up.

Reason for choosing brightwheel

The employees at the company. The same person would call and email me. If another person was going to call me, the first person would tell me that and give me his/her name. It gave me the feeling that this was a personal company that actually cared to help me- they didn't just want my money. Please don't change this as you grow.
