Certify is a web-based expense management solution recommended to companies in any industry. The solution can be used to track, approve, and reimburse expenses; book travel; and analyze spend.

With Certify Mobile, users can capture receipts using the camera on their iPhone, Blackberry, Android or Windows Phone. The offline-syncing mode enables travelers to log every expense instantly even when they are in areas with no or limited internet connectivity. A receipt parse feature will automatically extract data from receipts and an auto-fill feature automatically fills out the expense report with that data. Electronic receipts can be scanned, uploaded, faxed, or even text-messaged into the system. The system will generate expense reports on specified dates and reimbursement can be automated.

Certify integrates with accounting systems such as QuickBooks Pro and Enterprise, SAP, Oracle, and Microsoft Dynamics. The system also receives data directly from credit card platforms through a PCI-compliant connection.

In the long run this will definitely pay for itself in production hours as well as copying and postage expense. This has also streamlined our process.

Pros

The mobile app is the best part. The screens are user friendly and easy to follow. The customer service team during implementation was great. We had a template issue with our software and they were able to make it all work once we provided the correct template.

Cons

We received a bill starting from the time we signed the contract. We weren't even through implementation for another 30 days so we weren't using the product yet. We had to dispute the charge to get a grace period while our employees were getting setup in the system.

This program is a great improvement to the old way of submitting paper receipts via inner office mail. By scanning receipts as soon as I incur the expense, I can worry less about losing receipts.

Pros

Easy to use - and multi-ways to access the reports. Also, as a supervisor, I can quickly approve and correct expense reports on my iPhone without having to open my computer.

Cons

There are several steps (work a rounds) we have learned to access old expense reports via the iPhone. Another concern is I often forget if I submitted certain monthly expenses (i.e. cell phone bills) and finding them in the archives is not always fast and easy.

Advice to Others

For sales forces with smartphones, this is a great way to reduce paper, increase speed and reduce lost receipts.

No More T&E Pain

I have used numerous T&E tools over the past 30 years of business travel and nothing has done such an amazing job of simplifying receipt management and account categorization as Certify.

Pros

Receipt capture with the Auto-Fill feature is great! It removes the pain of the post-trip expense report process. The product is intuitive making it easy for anyone to get it right the first time.

Cons

You still have to log on to the web portal to complete the expense report but this isn't all bad. Everything is there so this is more of a personal approval before submitting the report for management approval.

Advice to Others

Plan your budget accounts out well before launching. So long as you have good "purpose" accounts set up like Sales, Promotions, Support, etc. the T&E data should not require support after the fact.

I have implemented a number of different T&E systems, but Certify hit the nail on the head! They are easy to use and understand and they have training videos that your employees can use whenever it is convenient for them! I love their latest update of their system! Not only did they let us know about the change months before it went into effect, they even set it up for me to switch my entire company over early once we had tested it!

The support is amazing and cannot be compared to any other! There has never been a time that my support team has failed me! Did I mention that Certify never goes down? If you have used Concur, you know that there are daily issues with their system! Certify's sign on screen shows you the status up front.

Pros

Easy to use for both the user and administrator. Certify is always taking suggestions for improvements and actually implementing them.

Advice to Others

Talk to others that have used Certify because you will hear how seamless the transition is from your current system to Certify. It was scheduled for three weeks, but took maybe two. They did everything for us!

Very user friendly! I conduct five different expense reports each month. I rarely have any problems; the only problem that I have come across is forgetting to turn in a report. I think Certify should have a notification of drafted reports that haven't been turned in after a certain number of days of it being created.

Can't upload pictures from the My Expense Report Screen.

Advice to Others

We found Certify very adaptable and easy to implement even with the unique structure of our company. Certify is continually working on enhancements, most driven by customer request and/or suggestions. Their customer service and support have been wonderful, over the time it feels like you are dealing with an old friend.

Cons

Our Auditing team would like the ability to move receipt image over to our second screen and have it change to the next receipt, especially for our larger expense reports. I realize the team is currently making improvements on this.

Advice to Others

If dealing with International and multiple currency credit cards, be sure your credit card companies have ability for data transmission to Certify. We work with employees one on one or in small groups for training. Our auditors find it easiest to work with new employees while their report is in draft mode to make corrections.

Since joining my current company I have used Certify over the past 2+ years. It makes keeping track of business expenses while traveling a breeze. We have other systems to track some of our other expenses and I try to stay away from them and use Certify - it's just so much easier to use.

Pros

Ease of use and simplicity. It's very fast, sign-on is simple & quick. I usually have my meal expenses recorded before I leave the table. Once a trip is over, putting expenses together into a report is also very simple and the receipt wizard is very helpful. I'm able to take a hotel folio and break out my meals from lodging in just a few seconds. I can get receipts entered from my phone's camera, upload from a PDF or sent in by email.

Cons

I can't think of anything. I don't pay for it, my organization does, so I cannot rate cost or value.

Advice to Others

Think about how this product could save time and avoid aggravation for you and your team - it's a big win in my mind.

Easy to use once you learn it. I like you can upload your receipts but I do not like the new process of Certify trying to identify the amount of the receipt and the name on it. You have to do extra steps to edit the receipt amount or name, it was easier for me to do it right the first time.

Company I work for was bought by another large corporation and we have to to use Certify. For the past 8 years I have never had an issue getting expense reports in but now here comes certify. I find the purpose of this program is to make the user frustrated and confused so as to NOT expense anything. I really feel it's just a small way to get companies to deter their employees from using credit cards. This program is vague, it's asks the same question repeatedly. I mean do I have to state a reason AND a justification for parking somewhere? Add to that several of my reports have been declined, questioned, etc. And certify doesn't say when or IF an expense report has been paid. They sit there in a pending state and I'm left to wonder if it's been paid. Great system guys, did you hire a monkey to program it?

Im going to make this kind of short....

I was lied to in the sales process, implementation dropped the ball continually. They have zero followup when you have an issue. My implementation coach and even the implementation manager I had to speak with never followed up with me. Oh did I mention they have an implementation fee they bring up just before you sign with them? Its not cheap. But they'll "discount" it.

Due to being lied to during sales, I had to figure out how Certify worked instead of it just working for me. I had to re-enter my credit cards 3 times, and I had 15 credit cards. I had to call the bank to get individual logins for all my credit cards. I have 25 very unhappy users and one irate admin (me).

The import into quickbooks did not go as promised as well. Due to all of this I now feel as if I know more about Certify than my salesman did when he sold me this crap.

The app for the phone is pretty good, Android better than IOS I think. The Web application though is horrible, just horrible. The Layout is bad, you have to confirm simple things, but you can delete an expense with no more scrutiny. They have no way for you to recover deleted expenses. The have a Wallet and a Report, you cannot edit most fields in the wallet, you have to move expenses into a "draft report" then move them back into your wallet! Its about a 10 click process just to change the amount of a receipt or change a category- very important things, heres the procedure lol.

1) Check expense(s) in wallet
2) Click Add to report,
3) Chose whether you want a new or existing report.
4) Confirm that you want to do that.
5) Wait for the expenses to load(which can take a while if you have a lot)
6) click edit
7) Edit the expense, click save (I'll give them this one)
8) Click the icon to open a menu
9) Click Send to wallet.

So 9 steps. There is an alternate way but you get to chose from a little window and you cant select multiple.

So why do I have to leave the wallet to edit an expense?

Oh and if you have a lot of receipts they remove the "merge" option. This matches your receipts with your CC charges automatically! But you cant have more than 100 or 150 lines of charges/expenses, they cant decide on which number, but its between there. So why would you make my life harder if I have MORE expenses?

I hope this saves you from some hassle, expenses are tricky, this is my second go around wasting dozens of hours.

Their salesmen dont know the ins and outs.

My company just recently made a business switch to Certify Travel and Expense Company from our prior company. At a cursory glance, Certify did not look user-friendly nor easy to use. Not only was I wrong, Certify was extremely easy to use and even auto-fills a lot of your receipt data. It took me only minutes to learn how to use this and have had zero issues.

It is very straight forward. I like the fact that you can take pictures of the receipts. And pulling up expense reports to reconcile my receipts and credit card statement is easy to do.
