I really like all the things that eTapestry can do and all the help that I can get with all the questions that I have while I am learning the ropes! The people who have been with me from the moment I started looking into eTapestry, through the conversion process, through the training, and now as my team and I are getting our feet wet trying to get into the many facets of using eTapestry are very knowledgeable and so very helpful!

I wish that the conversion specialist had done a few more things for us, or at least had prepared me for how much was still left for me to do after he was done.

Recommendations

Take a look at how readily available the IT crew the software company (chat line people) has. At eTapestry these people are available within seconds as soon as you login with a question. They can answer just about anything you need and give you the help you need when you need it. I've found eTapestry (and Blackbaud - the parent company) and their chat line support to be one of the very best support teams I've ever worked with on any website ever!

For basic use, eTapestry is very efficient. I love that I can send out personalized email updates and it will automatically record that communication in each accounts journal. The program also comes with excellent customer support- I've gotten speedy, in-depth answers every time.

The queries don't always find the group I'm trying to capture. I find the queries to be clunky and not entirely intuitive. The program also doesn't have a ticketing module, so I'm stuck having to merge info from Brown Paper Tickets into eTapestry.

Recommendations

The manuals and videos that come with this program are very helpful-- most questions I have can be answered simply by the manuals or by customer service.

Pulling queries and reports has been a challenge. Without phone support, I spend a lot of time watching webinars and reading instructions before I can get the data I need.

Recommendations

Check on the level of service you are getting before you commit. We thought we had phone service which turned out to not be included in the package.

There are a multitude of functions eTapestry provides and the customization is endless. Essentially, you can adapt eTapestry to fit exactly what your organization wants to do.

With the above said, you must be essentially a Ph.D in eTapestry before you can customize it to do exactly what you need. Their terminology, user interface, and site organization is not intuitive at all. The learning curve is massive. Sure, they offer help and tutorials, but rarely do these answer the specific question you might have.

Make sure you take your time to test it out before committing!

I get excited when I get eTapestry to do what I want. I wanted a product that would easily print 'ask' letters based on previous donations and then use that new donation to create thank you letters. It's going to do that easily and neatly.

I don't think the free videos cover all aspects well enough. I think you need some for people who have absolutely no idea what a query and merge field are.

Do use the CHAT feature. The techs there have additional videos and material to help you find tune a solution to your problem.

To many steps to add data. I have to constantly watch video's to see how to do things. It is even harder for our staff to learn. It needs to be simplified, dramatically. I like the simplicity of Donor Perfect. But that program does not capture enough data. Something in between these two software systems would be great. And i have ideas if someone would ask! I do like that there ARE video tutorials.

Recommendations

It's great for Benevon users, but expect complicated data entry and switching to many different screens for one person's data. To much work. However, it is the only database that i have found that captures our needs for Benevon. I just wish it was not so complicated. There are many video tutorials but you have to pay for the live session classes.

It'd be helpful if there were suggested ways of doing things. Sometimes I don't know the right questions to ask. For example, when someone gives to 2 programs using one check--I didn't know it was called a split transaction so I wasn't inputting it appropriately into the database.

Training, training, training!!! Play with it to see if it'll do what you want.

The data is all available, and the constituent records and custom fields have been set-up to our specifications. It seems like the team at eTapestry is committed to keeping clients and offering discounts for multi-year contracts.

eTapestry feels like it's not as important to Blackbaud as Raiser's Edge. The tool is clunky for casual users, and it is difficult to find/create helpful reports.

Recommendations

Look into the costs of labor for importing data, and make sure you are selecting a tool that will not only keep your data accessible, but will be easy for you and your board to figure out and use effectively.

eTapestry has a responsive customer service team. Whenever I had an inquiry, someone was there to answer my questions. Once I was speaking with a sales associate and had a question the associate could not answer. The associate passed my question on to a customer service representative and the rep called me within a day to help solve my problem.

eTapestry has many options for managing large databases. This is wonderful for large organizations, however, ours is a small non-profit. We have two fundraisers and fewer than 1000 prospect records. eTapestry was too complicated for our needs and therefore ended up only being useful for data storage. Another issue arose when we had staff turnover. Product knowledge left with former staff and training for eTapestry would have cost 150% more than our annual eTapestry costs. Training was just too expensive and, as a result, we did not utilize eTapestry as much as we could have.

Recommendations

It is important to know your database needs when selecting software. While it is appealing that eTapestry has multiple functions and can manage multiple users, a small, growing non-profit is unlikely to benefit from these functions. I suggest making a list of your organization's goals and the methods you will employ to reach these goals. Seek out software that will help you achieve your mission and goals. If you outgrow that software, you can always change providers as your needs change.

I wish they had a manual "check box" for individual donations for thank you's to be excluded from the data pull if they were acknowledged in a different way or don't need acknowledgment. The transfer of my old files from previous database did take about six weeks to complete which I thought was a little on the long side and would have liked it to be completed sooner. But now that I have the database up and running it was worth the wait because its light years better then Giftworks or some of those other programs.

Recommendations

Definitely do the tutorials and workshops you really learn a lot and their staff is very friendly and helpful. Also they dont nickle and dime you for any help you may need. It seems very up to date with the current trends in non-profit fundraising.

I really like the email templates. I know they have the ability to link with Constant Contact, but the email templates they have look quite professional and are easy to brand for my business.
I also really like their Do It Yourself (DIY) Forms. They're very easy to create and it's important that our donors don't have to leave our website to securely give via the form. Many other CRMs require that the user go to their site to enter the information which confuses donors and probably results in a lot of drop-offs. The DIY Forms themselves are worth the cost alone.
I am a fan of their credit card processing service. I hardly had to do any work to set it up, the fees are reasonable, and it seems easy to make changes as necessary. They also provided TWO credit card processing swipers (for iPad, I think) for free with the service! I haven't used them yet but I am very excited to have that option.
They offer the ability to separate your giving by Campaigns and Approaches. This is super helpful for tracking which fundraising efforts have the most impact.
I love the option to set reminders to follow up with specific people as well as the ability to track all contacts with supporters/volunteers. I have a lot of people to contact and am grateful for the ability to have all their information and history in one place.
Although I complain about the Reports below - they do offer a great deal of pre-set reports that are really helpful and save a lot of time since I don't have to figure out how to create them on my own. These also provide a great way to think of new ways to look at our data. For example - they have a report that allows you to see all the donors that gave last year but haven't given this year. I never would have thought of that as a fundraising technique, but it will come in handy to contact lapsed donors.
Lastly - I like the dashboard view that has all sorts of good information whether I'm in my main view or looking at a specific donor. Both are very helpful snapshots of necessary details and easily adaptable with a drag and drop feature.

I don't like the User Defined Fields and Queries/Reports. Let me rephrase - I LIKE that they have User Defined Fields and Queries/Reports available for use; I need and use those valuable tools. I just DON'T like having to wrap my brain around the database concept in order to determine how to best configure the information so it is easily used later. Fortunately, their customer support is very competent and quick to help me understand. It is a steep learning curve, but I am slowly getting the hang of it. I did hear that they have upgraded the Queries & Reports but I haven't had a chance yet to dig in to see if they're better or less confusing.
Many of the training videos were super helpful and got me off to a good start. However, I didn't love their live training webinars. The women teaching them seemed like she didn't know what she was doing and didn't answer my questions well. I ended up re-asking the same questions to my sales rep who gladly helped me out. I believe the live webinars are "required" for new users and they're a bit of a waste of time, but helpful enough that you may as well stick 'em out.
Lastly, while the system does allow for "scheduled emails" it doesn't allow for them to be sent to the most-up-to-date list of people (for example, you write your June Newsletter in April and schedule it to send in June. If anyone signs up to receive your newsletter between the time you scheduled it and the time it is scheduled, the new sign-ups will not receive the newsletter). This is very difficult for events - if you want to send a reminder email to the latest sign-ups the night before the event, you need to physically go in and send it at that time, otherwise the late registrations won't be included in the email.
Also - they don't have a ton of automation. If you want to set up a series of emails based on a "trigger" event (like, they sign up for your newsletter and automatically get a 10-email series), eTapestry can't do that. It can send ONE automatic email, but not a series. I'm not sure if maybe Constant Contact can do that though... But even this is fixed with a work-around, so I'm not too bothered.

Recommendations

I have been using Salsa Labs for another non-profit I work for. I thought for sure I'd love eTapestry way better and was really excited to get to know a new program and thought maybe I'd be able to switch my other non-profit to eTapestry if it worked well. What I learned is that a CRM is a CRM. There's a learning curve no matter which one you use (at least for these two). While I was struggling with many aspects of Salsa and assumed eTapestry would do them better, I found that eTapestry has just as many faults as Salsa, just in different areas. The best thing you can do is determine what exactly you need your CRM to do and then find the CRM that does THAT ASPECT well. Then, "grin and bear it" with all the patience you can muster through the aspects that aren't as great. Awesome customer service sure helps!

eTapestry is the Jr. version of bigger, badder products so there are a few limitations. DIY forms aren't very eye catching.

We went with eTapestry because our fundraising efforts are in the beginning stages and it was the best fit for our budget. As I have learned more and explored user defined fields, I have come to realize what a great product eTapestry is. When shopping around, take the time to do demonstrations, and come to the table with a list of functions you NEED, and a list of things that would be nice.

Online data base was great. Product was easy to log into from any machine whether pc or MAC.
