NeonCRM Software

NeonCRM by Z2 Systems, Inc. is a cloud-based CRM solution designed for small to midsized nonprofits. It contains a full suite of applications, including fundraising, donor management, membership management, marketing and outreach, and more.

This system is suitable for many types of, including animal welfare, human services, and philanthropic foundations. It is designed to offer growing and established nonprofits a scalable, relational-based platform to help raise more revenue and track nonprofits' most important constituent data.

With integrated online fundraising capabilities, NeonCRM was designed to keep up with changes in donating trends by offering a solution that can accept donations from multiple channels. These built-in, online fundraising tools allow for email blasts, instant automated tax receipts via email, event registration tracking, and automated membership renewal management.

Customized online donation pages mimic the exact look and feel of the nonprofit’s website, offering the ability to create unlimited, targeted donation campaign forms quickly and easily. Offline fundraising options are not sacrificed, however, and all donations are added to each constituent record, including the amount given and a complete history of all past donations.

Several features within NeonCRM provide tools to improve event planning, including customizable event pages that also mimic the look and feel of the nonprofit's website and automated event notifications for registered attendees.

Switching to Neon has been a good move for our organization. We are able to better organize our information in a more comprehensive way. After 1 year of use we are still figuring out how to use all the functions of neon to our advantage. Customer service is quick to respond and pretty amazing.

Pros

It is very user friendly and it is accessible anywhere.

Cons

The formatting platform for system letters, system emails, and online forms is ridiculously bad. It looks like it might work like Word but it does not. It is so limited in its ability that I find we had to revamp everything we've always done with communication flow. This is very frustrating. There are so many good platforms out there - I wish neon would improve this feature. It would make life much easier with neon.

Advice to Others

When you complete the conversion, make sure you buy the comprehensive training package. We did not have live customer service when we went live with Neon and it forced us to fumble our way through those beginning months. I don't even think we knew that we wouldn't have someone to call when we had a problem. That said - the online support is amazing.

So far I love NEON and as our organizations brand new development coordinator I'm glad I've been able to start using it right away. It's taken more time to get used to than I thought it would, but it's a big, very capable program with lots to offer my biggest concern is I won't know how to use it to its full potential! While there isn't a ton of ongoing live support there are dozens of training videos and how-tos available online. I have no doubt I'll be really up and running with this soon! Such a great switch from our old, cumbersome, outdated CRM from last year!

Pros

Good price, able to get started right away, some handy integrations, very friendly staff, tons of online webinars and recorded how-tos

Cons

Could use a few MORE integrations though I've heard more are in the works. Is taking me just slightly longer to figure out than anticipated.

Advice to Others

Really put the time in as soon as you get going with NEON. There are a few start-up phone calls and a configuration session, but if you already have some working knowledge of the program before you go through these you'll be in way better shape. Watch all the webinars and take notes!

Neon has been a very helpful for our start-up non-profit. With very prompt, detailed, and kind help from the support team (they have been fantastic), we have been able to get NEON up and going to do our most important tasks quickly and we are now working on growing into more of the many features it offers. We are a small team and do not have a person dedicated to working solely on the database, so the webinars and support have been crucial to our early success with NEON. I would highly recommend to any non-profit looking to better organize all of the many details it takes to run a successful organization.

Pros

o support
ease of basic functions
reports

Cons

- outgoing communication and forms is not very intuitive

Working in NeonCRM and working with the NeonCRM team has been absolutely wonderful. While no database or CRM is perfect, Neon checks off more "must have" and "would love to have" boxes than other databases I've worked with, or the database our organization used prior to Neon. Having a small (1.5 person) fundraising shop, it was imperative that we found a database that was intuitive and had features that were easy to use and easy to understand -- Neon hit the nail on the head. Having only 1.5 FTEs dedicated to fundraising has made implementation of all of the different features take a bit longer, but every time we put a new piece in place (i.e. the event module or the online store) it makes our lives easier and helps us be more efficient and effective with our time. Now, instead of using one platform for fundraising, another separate software for events, and a third for our store, everything is neatly packaged into one amazing database.

Pros

- Easy to use and understand
- Amazing support staff
- Regular updates to improve the product
- Easy to set up with the help of Neon staff
- Affordable
- Custom reporting features are intuitive

Cons

- The fundraising dashboard isn't as customizable as I would like (i.e. you can feature campaigns, but you can't compare campaigns year over year on the dash)
- I wish there was a way to manipulate some of the stock reports to get a better output for what we need

Advice to Others

Take full advantage of their free 30-day trial and use real data to discover all of the features.

I have only used Neon for my organization's trial period, but so far, my experience with has been terrific. My organization runs a variety of unique programs, so I was worried that I would have to do a lot of convoluted workarounds to make Neon functional for us. I was pleased to find that this was not the case. It is flexible and customizable enough to meet all our needs. It is intuitive to use and has a helpful knowledge base to explain anything that is not immediately apparent. And customer support has been great for any lingering questions.

One thing I would love to see, and that other have requested, is the option to collapse all fields by default on individual and organizational accounts. You can hide fields entirely, but not set the default view to collapse the fields you don't want to be hidden. That is my only significant complaint so far.

Our organization was using spreadsheets to keep track of everything. Running reports was a nightmare. Now with just a few clicks we can run reports, send emails and accept money. You can't go wrong with choosing NEON.

After researching several other CRMs that seemed overwhelming to use and implement, I was pleased that NeonCRM is already up and running within a couple of weeks of implementing it. I was able to import our previous donor history, set up distribution lists, send group emails, and customize our donor page. I can usually find answers I need in the Knowledge base, and have watched many of the training videos. After just using it for 2 weeks it seems like a good fit for us.

Pros

Many features and a bit more intuitive than others I've seen. The WYSIWYG feature is a great help.

Cons

I wish I understood HTML more so setting up web pages and emails was a bit easier/quicker for me personally. Still, have much to learn to use it more effectively.

Advice to Others

Make sure to figure out what you hope NeonCRM can do for you so you can ask the right questions during set up and get the help you need on the front end.

Cultural Council of Indian River County is a very small (2 employee) non-profit with a limited budget. After thorough research, balancing our CRM needs with product cost, we chose Neon. The program is vastly superior to juggling Excel spreadsheets and Word documents. Our everyday management of memberships, donations, fundraising campaigns, and event tickets/reservations has been incredibly facilitated. This robust program is well worth the learning curve!

Pros

Ability to save and reuse report set-ups. Processing of memberships and donations is a breeze with pre-loaded mail merge thank you letters and emails. A generous quantity of data fields built in, plus the ability to add custom fields. Training videos, support website, and the Neon Technical Support Team are top-notch. I was able to initially input all my data using the tutorials and the data moved seamlessly.

Cons

Learning the program is moderately difficult, and to me, does not always seem intuitive. I find the system letter editor a challenge. Not all data fields are available to all report types, so report type must be chosen carefully.

Advice to Others

I've been using Neon several hours a day for about one year, and still learning, discovering, and exploring the program. Overall, I am extremely pleased, and definitely, the dreary and tedious "admin" tasks have been streamlined, allowing me to devote more time to spend on the aspects of my position I most enjoy. I highly recommend you consider NeonCRM.

I am still pretty new to working with Neon which can be good and bad. I think the software has a lot of useful features and offers quite a bit. However, I find it difficult to use and navigate through. Now, I don't know if that is because of how my organization has it set up or if that is how it is for everyone but it is difficult to understand and navigate around. The help section and training videos are very useful, especially when you get stuck or are not really sure where to begin. I look forward to learning more about what this software has to offer.

Pros

It offer a lot of useful features.

Cons

It is difficult to navigate around and understand all of its components.

Advice to Others

Do your research to make sure that you and your organization need of all of the "bells and whistles". This seems like a complex software that you could spend a lot of time on when you really don't need everything it has to offer.

In my experience so far, this is a very good product with a lot of functions, but there is a learning curve and many functionalities should really be easier and more intuitive. It would be easier and more attractive if there were some drag and drop features (for building forms, etc). There are a couple features that seem obvious that are missing - such as the ability to mark attendance at all sessions of an event. The integration with Quickbooks so far seems to be not as helpful as I had thought, because it doesn't look to me like it records in QuickBooks the type of payment or donation (just who made it and how much it was). Overall, though, it is a good software that has allowed us to start doing many things we weren't able to do before, and has the most features of all the products we compared.

Pros

Many features, social (peer-to-peer) fundraising

Cons

Not very user friendly for either us or our consituents. Long url's for listing registrations and forms on social media.

Advice to Others

Try it out as thoroughly as possible and make sure to watch videos and explore the help center.

Hi Heather,

We're happy to hear that Neon increased your capabilities and that you've had an enjoyable experience.

We did want to quickly clarify that NeonCRM is able to send detailed information about each transaction to QuickBooks, such as transaction type (Donation, Event Registration, Membership, Store Purchase) and many other transaction fields. These additional mapping options are not required, but they are available.

More info about our QuickBooks integration can be found in our Support Center, and you can always contact our support team online if you have any questions about system functionality.

Thanks again for your feedback. We are so excited that Dance Project of Washington Heights has joined the Neon community, and we look forward to continue providing tools to further your impact!

I was very excited with NeonCRM when we first signed up for the service. I do love the features that come with the program and it being web based is extremely important. We are still learning the ins and outs of Neon, but have been very satisfied so far. We are a small non-profit (under $100,000) a year, but the value of keeping all the information in one place is great.

Pros

Great customer service, like having the ability to customize so much for the price.

Cons

Didn't know we would have so much trouble integrating with Paypal and that the donations would only be ones managed through the webpage. Doesn't work with Square.

We chose this software because it appeared to be able to do everything we needed it to. However, when getting into it more fully we consistently run into obstacles.

Pros

Good database function, automated emails, customized reporting.

Cons

We utilize the event module extensively and find that the functionality is difficult. The WYSIWYG feature to build an event page is difficult, you can't build sub pages for an event, no ability to have event add-on items (register for the event and buy a shirt, etc). I've had to add them into the store function and then make all events appear in the store function so that the add-on items would appear in the shopping cart with the registration - but there is no ability to customize a store item (i.e. personalization). The registration function is very confusing to our constituents in that you have to provide all information for the registrant before making the registration/ticket selection. Then the only place to put the add-on/store items is in the event registration summary page. The social fundraising functions are not terribly user friendly and intuitive. When you want to do registration discounts you can either take $ off or % off of the entire order - not off each registration when more than 1 person is registered. When I have asked about these features it has been suggested that we use Eventbright for events. We left event bright when we purchased NEON because we could save the costs with the integrated functions in NEON. Eventbright doesn't do social fundraising so this looked like a better option. And finally - duplicate accounts are a problem - especially because pricing is based upon the number of accounts. Merging/deleting accounts is a time consuming process. And, you cannot simply two accounts that should be merged (because you know they should be) unless the system identifies them based upon duplicate name, email, etc. For example - if a person registered using her home email and address for one event and then the next time she registered as that person's name using her work email the system won't recognize them as potential duplicates - and you can't manually select them to merge. The login feature we thought was good but unless you have memberships it isn't great - folks just don't log back in the next time the visit the site - they just create a new account.

Advice to Others

Try before you buy! Ask lots of questions and know clearly what you need the system to do for you before you buy.

Hi Shauna,

We’re sorry to hear about the difficulties you have experienced with functionality. We appreciate your feedback and take into account customer suggestions when considering product developments.

We will be reaching out directly to further discuss your duplicate management pains and to better understand your event registration items. There are deeper duplicate scans that can be useful, and we of course want to hear from you about how the event registration process might be simplified. In the last month, we've come out with an enhanced template feature for social fundraising for more customization and usability--we will also send you info on this.

Again, thank you for your valuable comments and please know we are always striving to improve the system and its functionality to better serve nonprofits. It's feedback like yours that helps us to plan for our monthly product releases. We appreciate having Star Legacy Foundation as part of the Neon community. We truly understand the importance of your mission and want to ensure NeonCRM can be effective in furthering stillbirth awareness.

Our Account Management team will be in touch, but please know you can contact them if you have future questions or concerns.

We use Neon for donor management and interface it to QuickBooks. There are several things that work very well and have made our operation more efficient. The primary efficiency item is that a webpage is developed for each campaign. We use this webpage on our organization website. This captures the donor and credit card information from the web page and sends it to both Neon and, in our case, Authorize.net. From there it syncs to QuickBooks and all is well. The problems can occur when we have manual transactions to enter, check and cash donations. Previously, it was simple to enter these to QuickBooks. Now that we are entering them to Neon and then syncing to QuickBooks, if there is an error in the entry to Neon and we do not catch it prior to the sync, we then have to fix both Neon and QuickBooks.

One downside is that we only use Neon for donations. For us, it is not cost effective to use Neon for other transactions such as product sales. So, we have to remember that Neon is for donations and other transactions go directly to QuickBooks. This gets a bit complicated if one person pays for a donation and a product with a single check, cash or credit card transaction.

There are a few fields that don't seem to sync from Neon to QuickBooks, so the info is in Neon but not QuickBooks. At least we haven't figure out how to get these fields to sync yet.

Pros

Operational efficiencies with the campaign web pages and the QuickBooks syncing.

Cons

Reporting - There are some canned reports and you can generate custom reports. However, the custom reporting features take some getting used to and sometimes are not able to do what you want.

Dashboard - The dashboard could be more robust showing more information about donors and donations.

Advice to Others

Be prepared for training time. Neon has a lot of functionality and it is not all apparent on how to use it. There are lots of videos and help documents, but these do take time to go through.

Be sure that someone is going to use the information.

The donor management and communication side of this tool is excellent with lots of functionality and ease of use. The volunteer management function is new. We are hoping it will grow with user input over the next couple of years to make it more integrated with the account and donor modules. It is easy to write custom reports and use them for mailings. The import feature is also very easy to set up and use. The custom survey was a must-have for us and is working quite well. Overall, NeonCRM is a solid product. We don't like that there is only email support at the entry level. That said, we have definitely made the right decision, cost-wise for our small organization.

Pros

Custom Survey, easy of import, strong reporting. Combined event, volunteer and donor management solution.

Cons

Volunteer module doesn't fully integrate with the account module, especially when you are importing volunteers for the first time.
