Powerful Document Capture Solution with Responsive Support

I use GlobalCapture and GlobalSearch to automate invoice coding for bill payment and as a document management solution. The platform delivers strong automation capabilities at an affordable price point. Support has been a standout as they take a creative approach to building solutions that fit our specific processes. Overall, it's been a reliable system that has improved efficiency for our team.

Pros:

Excellent value for money compared to other solutions. The AI-assisted invoice coding is highly accurate and has streamlined our accounts payable process. Customization and workflow building is much easier than competing products. User and group management provides robust access control while remaining easy to configure. Customer support is responsive and works collaboratively to solve problems. Document management offers secure storage with robust indexing.

Cons:

When a document gets lost or misrouted during processing, it can be confusing to troubleshoot and get it back on track. Clearer recovery options or better visibility into where a document went wrong would be helpful.

Reasons for switching to Square 9

Etrieve could not accommodate our complex requirements and the implementation stalled. Square9 provided the adaptability we needed and delivered where the previous solution fell short.

Cocky and conceded staff, poorly written code, support unable to provide help for the simplest things.

User friendly enough for people with low computer literacy skills.

Cons:

No automatic cleanup options. File bloat is unmanageable. can only select 22~ docs ever minute. Max of 1,000 at a time. On own virtual server with 12gb ram. Support only suggestion add more ram, at 24gb sever is using under 30% but still move as slow and crashes when tiring to delete more than 1,000 docs at a time. If you buy this product be prepared to dump unlimited storage space to it.

Reasons for choosing Square 9

Because a sales rep walked in the door while our \[SENSITIVE CONTENT\] was out and the \[SENSITIVE CONTENT\] feel for his pitch and saddled us with this burden before she was her to talk him out of it.

The setup costs and yearly maintenance is very reasonable expaecially compared to other products. Support has resolved our issues quickly

Cons:

The licensing and user setup was a little clunky for us. Although some of this might be how we have our users set up in AD.

Reasons for choosing Square 9

main reason was cost. Mfiles was almost triple

I like how organized their implementation team are and how easy it is to use the system. Their support response is quick, and the features of the system keep all our documents organized in one easily accessible place.

Cons:

Cost was a little over our budget but compared to our current document management system it seems to be worth it.

Our current doc management didn't integrate with our new ERP system.

I've been an IT Admin user of Square 9's GlobalSearch (and previously SmartSearch) and GlobalCapture for our company's document repository solution for around 8 years. We're currently in a project to migrate to the latest version. They're a good team to work with.

Pros:

The software platform is pretty stable, a occasional to rare need for an IIS Reset, support is knowledgable, responses are quick.

Cons:

The Capture Batch Manager should allow grouping by Batch Number like the old tool from SmartSearch Capture. Not a Con about the company though, just a place for improvement.

There is nothing I can point to that I do not like. I have not done any collaboration as yet so, I cannot speak on it

What I like most about Square-9 is how easy it is to scan documents and use templates to automatically populate indexed fields, making documents simple and fast to search and retrieve later.

Cons:

Template setup and adjustments can take some time to fine-tune, particularly when our scanned documents or forms change.

Square 9’s ability to adapt and accommodate our unique needs as a business is definitely one of their strongest points.

Cons:

This is more situational than anything - in the last project we needed coded and implemented, we went through about three support specialists. We landed with \[sensitive content hidden\] , who was truly exceptional. It did, however, cause us to have to start from the beginning a few times

Cons:

Keyword search can be a challenge at finding things. Make sure to use the correct spelling or the same spelling used when indexed.
