Top Producer is a web-based CRM system suited for small companies in the Real Estate and Software/IT industries. The system allows users to users to manage their clients through all stages, from initial contact to closing and beyond.

Users can receive instant lead notifications via text or email. The countdown clock feature starts ticking as soon as an inquiry comes in, so users know exactly how fresh a lead is. The follow-up coach feature assists users stay on top of current clients through suggesting appropriate touch points. Users can create personalized emails from templates and send monthly branded newsletters whenever necessary.

Top Producer is compatible with numerous systems used by today’s agents, including Gmail, Outlook, Dropbox, Facebook, Twitter, and MailChimp. The system automatically imports MLS comparable data and photos, and the Note Stream feature allows users to create, view, and edit notes that link to contacts, activities, or properties.

Not impressed

Unfortunately, we had to cancel our subscription. It just wasn’t a good fit for our office or goals.

Pros

Availability to keep all contacts in one place.

Cons

The marketing material was not as expected.

Stay on Top

If you are looking for an overall CRM that helps you stay on top of all your contacts and transactions, this is it.

Pros

The software keeps all contacts and transactions neatly organized. It is a great program for anyone looking for a single program to keep everything organized and help stay on top of your contacts. You're able to keep notes on everything. You could even set up email campaigns to clients. Overall, the functionality of the program is good.

Cons

It was a bit confusing and challenging to get used to. Set up was a little painful, but once it was all done, the program got much smoother and easier to use.

Organizational Tool

Pros

It is useful for organization purposes and generating reports. I enjoy seeing the visual sales pipeline fo each of my leads and I love the plans I can assign to each lead.

Cons

It is difficult for non-tech savvy people to use. There should be additional tutorial videos included in the subscription.

Don't Waste Your Money

Pros

Offers a place to organize real estate transactions. You can enter parties to the transaction such as title companies and other agents.

Cons

The software cannot sync to Google Contacts so therefore I lost clients by not being able to reach them when I was on the road. The contacts did not make it to my phone unless we got on the phone with help each time a new contact was added. This cost me business and the support staff did not take the issue seriously.

System also cannot handle email blasts of documents.

Extremely Dated and Specific to Traditional Households

Pros

I really like the idea of action plans that can be set for each prospect on the fly. So you can designate, say, a 6-month buyer action plan or a 3-year seller action plan.

Cons

Working in an international city, it was difficult to put my clients in the proper fields as their address fields do not support international addresses. The way family members are buried within one contact record is also problematic for me. And overall the user experience is dated.

Top Producer Makes Marketing EASY!

Pros

I love that I can input my client database and set them up on drip campaigns to come my name in front of them. The software is easy to Navigate and has tons of Tools to assist you in your CRM management.

Cons

I have enjoyed using Top Producer to stay in contact with my database throughout the years, and I don't have any dislikes with the software.

Lots of good stuff, but we have moved on!

Pros

I like how we could change the dates of tasks easily and build plans where one tasks doesn't start until one is completed.

Cons

So many things I don't like, it was not an "easy" program to use. We had used it in 2011 and switched, we tried to go back and it was the exact same as 2011 and still not easy to use.

Great CRM that is capable of SO much more than you'd think!

Pros

This software is definitely the "Cadillac" of all CRM software as far as I'm concerned. I'm in Real Estate and have dabbled in several different CRM's. So many are determined to "dumb it down" so much that it doesn't have all the items you need to keep track of and some are determined to make the system super confusing it seems. Top Producer is a robust CRM that can put action plans into place, keep track of birthdays/anniversaries for a main contact/spouse/kids/etc., integrate with leads coming in. and so much more.

Cons

The only con I can really state is that some people may find that it's such a robust system, they may get overwhelmed initially. My main advice is to review their help section. There are several how-to videos and topics that can help in almost any area.

OLD SCHOOL CRM

Pros

It has MOST of all the information you would like to keep on file and has some good marketign tools.

Cons

Getting information out of this software is a NIGHTMARE!! It really makes it so once you have used it for a few years you kinda have to KEEP it or do a lot of work to move away from it all together!!

Great for storing contacts/notes

Pros

This software is great for storing contacts with notes and importing contacts. You can also send emails through it so that is great.

Cons

It is definitely a tad outdated. You can definitely find cleaner more modern software. If their software doesn't integrate with other software it is a pain.

They Only Care About Collecting Your Monthly Payment!!

Pros

Horrible experience trying to cancel this product! They stated they didn't have the cancellation on record and would not give a refund of the months that I had not even used the system even though they could see that I had not logged in.

Cons

I called and cancelled however they continued to bill me for months after! I called again to cancel and asked for a refund. They could tell me the last date I signed in but refused to give me a refund for more than one month even though several months had gone by! If you cancel make them stay on the phone with you until you receive a confirmation email!! I will NEVER refer anyone to use this company due to their bad business!

It was a great system. Just a little dated as far as looks.

I got a couple deals from it.

Pros

Great CRM and great for long term follow up. It had daily reminders, it sent out emails to leads I had not been able to make phone contact with.

Cons

It seemed dated, the system was great but the looks and ease of use wasn't great. It didnt seem to flow to easily.

Happily Surprised

Pros

There is so much to offer in this product. Their support has been wonderful. Each time I call or have an appointment, I learn so much! I've had this about 3 weeks now and feel like there's still so many great uses it has to learn. Still putting it to full use.

Cons

I came from having nothing, so it's been a lot to learn and it's not always intuitive, but they do have excellent support to help you through it.

Top producer not working with MLS

Pros

At the beginning I liked most of the features that it offered, contact management, letter and e-mail campaigns, CMA and flyers.

Cons

I have been using this system for over 13 years and have had issues in the past with a several functions of their system. Now their system in not communicating with my MLS board which has been going on for over a month. When I call they tell me that they have a ticket open and that the development team is working on it and can not tel me anymore about the issues or when it will be completed. The purpose of this system is to make our jobs easier not harder. They have no issues collecting the fees to use the system but not able to make it work properly.

Top Producer's Market Snapshot seldom works and failed again this weekend. No support to resolve.

No real benefit. Top Producer is old and clunky and expensive. Support is very poor.

Pros

Nothing that is positive. Avoid Top Producer, Market Snapshot offering. I really cannot think about any Pros.

Market Snapshot offering breaks down almost every weekend and no support on weekend. Top Producer is very old and does not keep up with competition. Also expensive

Top Producer CRM is great for real estate teams

Team collaboration and task management. Listing management.

Pros

Customer support at Top Producer is friendly, knowledgeable, and professional. The software is easy to use once it's set up. Tasks can be assigned to assistants or agents and easily changed when there's turnover on the team.

Cons

Scheduling by date can be complicated for long term action plans, like annual/holiday marketing plans. Set up can be a beast but this likely the case with any new CRM set up.

Excellent for task management, but stick with an outside email client

Pros

Keeping contacts organized is easy
Assigning contacts to groups simplifies tracking where each client is at in the sales funnel
Calls, tasks, and action plans keep every day organized and help ensure every step is accounted for

Cons

Very poor email interface:
Unable to view full headers (VERY IMPORTANT when sussing out scams and phishing attempts)
Unable to group-email when using an email task and template, resulting in unnecessary copying and pasting
Unable to search emails (this feature has never worked)
Unable to Mark as Unread
Unable to nest threads and view as conversations

Top Producer user for 11+ Years - Great All Encompassing Real Estate Database Management Tool.

Our whole database, follow up systems, listing systems, closing systems and business is in Top Producer. We use Top Producer to remind us to stay in front of our prospects and clients - and to ensure we do not drop the ball with anything. Great software at an affordable price!

Pros

The best part about Top Producer is the ability to customize the content that is within it. You are able to build your systems, action plans, listing plans, closing plans and follow up campaigns all in one spot. What I have found when working with a team of agents over the past 11 years is that when building systems, the best thing to do is to have them all in one place - Top Producer does that. You can grow your business and/or team as big as you want - Top Producer is scale-able by being able to add users (either admin or agents). Our team would be lost with out it.

Cons

Some of the content in Top Producer is a little dated or irrelevant. We use all custom content that we have built so it is really a non-issue for us.

All in One Tracking

Pros

I can group my clients, track my correspondance, automatically keep them informed on the market, and set up listing and closing checklists. No more lost contacts. Now I can be the realtor that I truly strive to be for all my clients.

Cons

There is always a learning curve. I do wish I could make that shorter, but the customer support has been great.
