APS (Automatic Payroll Systems, Inc.) has been providing payroll and tax compliance services to companies for almost two decades. In 2004, they released their APS, their cloud-based solution for human capital management. APS combines their services in a streamlined format that can be scaled to various sized companies.

APS delivers flexible tools for managing core human resources (HR), payroll, time and attendance and absence management. Since APS uses a centralized database, once employee information is entered into the system, it is immediately available across all modules. By automating workflows, APS reduces time-consuming payroll tasks, eliminates paperwork and provides an electronic audit trail for all data changes. Their robust standard and customizable reporting tools allow HR professionals to focus on strategic activities. 

Employees and managers can access APS from any smartphone or tablet. ClockZonesTM is their mobile time clock that utilizes GPS tracking to control wherever employees clock in and out.

With additional features such as APS Hire for applicant tracking and onboarding, and online performance reviews, APS provides a unified solution from hire to retire.

APS has experience working with various system integrations through its Enterprise Integration Platform (EIP), which includes over 100 pre-built integrations that are supported by APS. Plus, APS has the ability to assist with virtually any integration need and can have these up and running in a relatively short timeframe.

APS is focused towards small to midsize organizations. They're suitable for restaurants, health care facilities, oil and gas and wholesale and supply companies, as well as churches and nonprofits. APS connects each client with a dedicated account manager who has worked with payroll previously.

Overall, it takes the grunt work out of processing payroll.

Pros

Very simple to navigate. Nice to have a place for employees to log in and view their information. Complex tax filings are handled for us.

Cons

Does not fully customize to create the level of detail we need on payroll journal entries. There are still some manual processes that must take place which we'd prefer to be automated.

I like the ease of the training as it is done in steps, which really helps you take it all in. I think the layout of the website could be a little more friendly as sometime you have to look around to find where data is located.

Pros

The ability to merge HR / Payroll / Insurance all into one system. They have a great training system.

Cons

There is no mobile app though you can log into their web site via mobile. The app would make it more friendly to use. At this time they can not import data from files to documents so that it is automatically populated, also the employee can only electronically sign the form but cannot add any information to the form.

We've been using APS for 2 years. It's easy to add employees, change their deductions and monitor their hours and PTO. Employees like the ease of a web-based timekeeping system. Customer service is always polite and very responsive.

Pros

Easy to use, changes update automatically. Web-based so employees at multiple sites can always access it to enter time or view paystubs. Customer service has been great.

Cons

Employees would like a little more access to update bank account information and deductions.

Advice to Others

Great value for a small company, it's easy to use and having an integrated payroll and time-keeping keeping system saves time and energy.

I spend way too much time going over everything with a fine tooth comb to be sure things are accurate. Still after many months, there are on-going issues with how things are set up etc. It defeats the purpose of "saving time, saving money" when I cannot count on things being correct. Many of the functions do not quite work how I would expect them to. I have had to go back to support multiple times on different issues and many of the same issues (the biggest frustration) to correct things. My customer support has gotten better but initially it was clear the person I was set up with never took the time to actually read my emails.

Recommendations

Do your homework. My other suggestion would be to get a company that is in your state and knows your state laws inside and out.

Why I like APS

Ease of use. At first (if this is new to you / your company like for me) it seems like a lot of information and a lot to learn. It is a lot of information but so very easy to navigate. Super user-friendly. Getting answers to questions is a cinch and multiple ways to get them. From the self help which truly is step by step, simple to understand or I can call, email or submit a request. I have done all of the above for the littlest of things and I always find or get my answer, almost immediately. Everyone on the "team" that I have had contact with has been great and always kind. The best part is having everything we need at hand from Payroll to HR and employee services.

Likes Least

What I liked least, though it was temporary was the "set-up" of services. There seemed to be "too many hands in the pot" so there were misunderstandings about what services we wanted or needed and I felt I was resubmitting documents repeatedly to different people or departments that didn't know they already had them.

Recommendations

Do your homework. I met with, researched, compared and evaluated many options and providers of the services we were looking for, which was everything. From the "big" guys to the "little" ones. Overall, we went with APS because not only did they come highly recommended but they also are very personal. It was important to me and for our small and growing business, to be able to have direct contact with someone and that would get to know us. We have our own team with APS and that is a huge plus. With that, we have all services, one platform that also allows us to empower our employees. Definitely the most bang for your buck. Great services and not overpriced.

1. The orientation is 4 half hour sessions. It's really that easy to get started.
2. Reduces labor hours in ACA report, EEO report, OSHA report, and Workers Comp audit
3. Staff Appraisals are easy to set up and its easy to look back at previous reports
4. Required docs have to be acknowledged for staff to continue having access. Staff who do not give direct deposit information automatically get free pay cards so compliance and check handling labor is saved

Likes Least

Especially in the early months, it would be nice to have a next button to go from one staff to the next sequentially. You have to back out, choose the employee list, and then choose the next employee. This is not serious enough to affect choice of program.

Recommendations

We have previously used Paychex and ADP. They have portals that were designed in the 90's and not intuitive. For large payroll that uses ADP daily, it's not that hard to learn. For small companies who don't use it daily and for training new payroll staff hires, the old companies are way behind the intuitive interface of APS.

The software works on the Safari platform so I don't have to download other browsers. Although not completely intuitive, the software is easy to use and the customer service is excellent. I love how they assign one service rep for consistency but others are always available to help you if needed. I have used Automatic Data Processing (ADP) and Paychex, and hands down this is the best software we have found to manage our payroll. I would highly recommend this company to anyone.

Some of the features are not as adaptable to our needs as we would like, and some of the reporting capabilities are not intuitive, but again the customer service is far superior to that of any other company so it has really been a non-issue.

Recommendations

Customer service and ability to correct user errors efficiently is key. If you are looking for a software that will make payroll less stressful and will do everything it says it will, this is the one for you.

The transition from our own payroll process to APS was almost seamless and such a time saving process. Any minor problems were addressed and solved expediently by our assigned account representatives. I can't stress enough the amount of time and effort it has saved my company when processing payroll and when calling for support, I am so glad that we chose this company.

No issues with this product. The learning curve was very minimal.

Recommendations

I would highly recommend this service and software. We looked at several different payroll processing services, but this company was not only the best pricing but very easy to learn and utilize. Not only is this service is reasonably priced, but is time saving and very efficient. We couldn't ask for better service from this company, as previously with our other service, any problems (even small ones) involved a minimum of 3-6 hours of waiting on hold with the customer service group and some problems were never solved after months of waiting.

We really like the integrated time keeping and payroll modules. We were using 2 separate services before and this has saved us huge amount of time. It also fairly easy to use and it looks really clean.

Sometimes it acts a little buggy. You'll need to refresh or log out and then log back in but not too often and the support staff is really nice and helpful. Some of the reports arentied to check date instead of real time so I can't get as accurate an a report as I would like but I'm still getting used to it.

It is a great price for an all-in-one system. It's easy to use and it looks very clean.

I love the ability to manage benefits for employees. Goodbye to the paper lists and trying to track people down! Employees can select options via the "eselfserve" portal and I have all of my enrollment and opt-out information maintained in one spot.

Cons

By our own choice, we provide payroll options to our employees that make it difficult sometimes to manage when there are multiple options for one employee. It gets tricky and we sometimes have to add codes, but APS really strives to help us with these payroll complexities.

Pros

It's very simple to add the necessary columns that apply to each payroll run which is great. If there are no salary changes, payroll input is a breeze! This system also keeps track of payroll changes and you can enter an explanation about each change. There are also tons of reports to choose from for all types of scenarios. The payroll audit reports is very useful.

Cons

Sometimes making corrections doesn't seem as simple a task as it should be. It would also be nice to have a feature that lets you choose multiple employees when attaching a memo.

Easy functionality, employees seem to be able to use it to request vacation, clock in and out, etc. Spend less time on the payroll duties.

Pros

I like the reports fairly well. The import function for the hours is very nice. It is easy to post the transactions to the general ledger in our custom software from the reports from APS.

Cons

Not enough flexibility to set up what we want. I would like to be able to move the columns around after the import by clicking and dragging. Custom reports are often times difficult to extrapolate particular data.

The mobile website could use some work. I would like to stay logged in, but whenever I do the screen stays blank. I would actually really like to have an app to log in and use my tough ID as my password. I do like the time card set up, that part of the website is nice. I also like how the scheduled time off shows up on my home screen. The accrual balance for my vacation is confusing though. I would like the accrual to show up on the first of the month, since we are supposed to get them on the first of the month, not in the middle of the month.
