Deputy is a cloud-based human resource management (HRM) solution that caters to businesses of all sizes across various industry verticals and provides them employee management and scheduling functionalities.

Deputy's rostering application helps businesses to create schedules that can calculate overtime and provide capabilities to schedule staff. If a team member cancels their shift, managers can send a shift request to their next available staff member and fill the shift’s space.

In addition to time/attendance and scheduling, Deputy incorporates other features that include a communication platform that creates a way to generate announcements in a single space for all employees. Mobile applications for iOS and Android devices are also offered that enable remote usage.

Deputy also supports integration with several payroll platforms on the market and offers performance management functionalities to the users. Services are offered on an annual and monthly subscription basis that includes support via phone, employee guides and other online resources.

We love the fact that it gives both the manager and the staff the flexibility to control their shifts and it gives the employees a sense of ownership - they are almost responsible for their own time management.

We have been using Deputy for about 15 months now and it is a great product that just keeps getting better and better with regular updates and new features.

Pros

Probably one of the best scheduling/staffing apps out there organizing my company's staffing, scheduling and payroll.The scheduling features, clocking in and out (especially with location services), communication with team capabilities, and overall polished interface are so well thought out and done.

Missing simple additional features and time saving functions

I have appreciated the customer service and response time with issues that I have run into. I love the 24hr support as well with real-time response.

Cons

can't add 'position' only training which is not an efficient way to schedule multiple employees- you have to go into each profile to access training and you have to click multiple times to get there, the lag time in accurate updating between smartphone and computer. timesheets don't always load on smartphones. Overall WAY TO MANY clicks of the mouse to get to different areas in OIS platform.I would not choose this scheduling software based on my experience thus far, less than impressed compared to other scheduling software.

This software is so simple to use and to read, I schedule people and use it for my own use and deputy makes it so easy to see where everyone is, if someone is ACTUALLY at work when they clock in because of the map feature.

Cons

it would be really good if it could automatically send emailed reminders of up coming shifts to email or something sometimes I don't even get notifications that I have a shift

I was looking for an easy to use and not too expensive scheduling software for the beginning. The more advance programs are great but we would not yet use all the features. After searching I am happy to start using Deputy. Its easy to log in. Overview is great. Information can be put in so easily. It has everything we need for the start to organize everybody.

This makes my job duties with HR so much easier! I have many more responsibilities than just HR and this definitely cuts back on my time spent entering employee hours by hand and processing schedules, etc. This allows my employees more control and keeps them more accountable for their own time, PTO requests and changing of schedules!

Pros

All very easy to set up and integrates well with my payroll software. Also has a message board that is seen by all employees which makes it easy to send information and receive confirmation that everyone has read it.

Cons

Sometimes requires too many approvals.

Advice to Others

Free trial was nice to use, but we did not decide to fully implement the software with our company due to our current hardware (iPads) were unfriendly and ugly to use with the app.

Pros

Scheduling features for availability of employees, scheduling conflicts, and geo-tracking of employee clock ins are all very useful. Support is very willing to taylor their software to the needs of your business. They were always keeping in touch when we first tried to implement it, and were always happy to help and available for us to contact them as well.

Cons

Price point for a Canadian small business may be a tad bit high after the exchange rate. Also the iPad app doesn't have very friendly views of a week's schedule, not very intuitive to use on an iPad, would only recommend the Browser based version.

When an employee is at 3 jobs in one day you can only see on the scheduler main dashboard the hours he is booked out for but not the job names

I like that you can see all shifts, schedule people, approve time sheets and so much more all within the app on my phone. The ability to sync with our POS system is extremely efficient and makes interactions with staff super easy.

Cons

Currently our POS system and Deputy arent syncing properly so it is not clocking our staff in and out at the proper times just their scheduled times. We have reached out for assistance but the issue has not yet been resolved. It might not be a deputy issue but currently its a problem we are having.

Deputy is very reliable, I have never had issues with the software. It is very simple to use and all of my team members learned how to use it right away.

Pros

I like how easy it it to house all of the information we need to schedule our staffing in one place.

From the schedule itself, to having clear lines of communication with our staff on the news feed. It has become a much more efficient way to communicate than through emails, etc...

Cons

At this point, no real cons. With any software that is new to the consumer, there are going to be growing pains (Learning how to use it). But the learning curve was manageable, and I have gotten to a point where it has become an efficient tool for me within our business.

Easy for staff to use to track hours and schedules. Easy to export timesheets for payroll. Phone app is really handy. Training and support is superior.

Cons

Often shows staff clocked in off site, when I know they were here. I'd like to use it to track PTO, but Deputy is capable of using only one accrual rate and we have several, based on longevity. The system is clunky when we put in less than a full day of PTO.

The ability for staff to find cover or swap shifts with ease.

And the ability to sync the rota with your personal calendar.

Cons

I do not use the time sheet function but the system keeps telling me that I and my staff are running late. I have tried to turn it off but have been unsuccessful.
The ability to customise the order in which staff are listed in schedule would be good.

Deputy is easy and you would be surprised how quick it is to learn. Support is right behind you if needed and the staff have taken to using Deputy just as quick. The functions of unavailability to work, rolling schedules forward and approving hours just make it the 'bees knees'. Thank you Deputy developers for making such a great app.

Cons

Why I didn't hear or find out about this app sooner. I had to go and ask a womens business group on the chat forum and only one told me about Deputy.

Quick and Simple easy to use with little instructions. Used the program for many years and love the ease of use.

Cons

Loss of data if wifi goes down. We notice that sometimes when the wifi doesn't work well the data is lossed over 23 hours. We can work with the issue though.

Job costing, it is really effective for booking in to our system. Also, we are using News feeds quite often when we sharing whole site souring materials and extra staff members.

Cons

Adding entire jobs to employee easliy.. not one by one. We are construction industry with multiple work sites, but when new employee came, it is time consuming for allocate all jobs to one emplyee.

Simplicity in its use. I also enjoy the ease of inputting employees into the system and the ease of placing employees into shifts. Its quite easy to use and its functionality is great throughout all levels of use.

I can tell you that the customer services is also wonderful and quick to reply to any need. They really have someone available around the clock which is quite helpful considering I often times get my admin work done later at night here in the US!

Cons

Overall, there is not much that I do not like, I do wish that Deputy integrated for little to no cost with accounting or other IT Software programs. I would love to integrate with other programs that I use, but the cost is just too high to do that with the small business that I have. Its ok...easy enough to do on my own due to the ease of use of the program overall.

Deputy is a time saver for me!

Pros

The application is easy to navigate and the support is world class. Scheduling is significantly quicker and the automation of steps is a real time saver. It then helps us with our payroll and verifying our numbers. Most of all I appreciate the help from the Deputy team from installation through adding some very helpfull functionality when I pointed out something that would help me.

Cons

The ony can is that Deputy is not specifically designed for my industry so there are a few things that it simply can't do as far as budgeting.

Accessibility! capacity, it allows our staff to be connected and preview upcoming shifts, other scheduals for other locations. it also allows employees to be able to communicate to our person who is responsible for scheduals. Leaves are posted, availibility can be communicated and the online messsage board is also useful.

Cons

Bad that we cannot be more accurate with our scheduling "times" needed. we are constantly adapting to fit in whats available I.e. our shifts are 24 hours, so we have to enter in 11:59 vs. noon. The other fault is .. showing stresses in the schedule is great, however, it does not demonstrate that there are employees shifting locations instead of no one at work.
