The solution offers tools that enable restaurant owners to recruit workforce, develop and share training courses with the staff, track business productivity and manage day-to-day restaurant operations.

HotSchedules enables businesses to develop learning content for employees. All around great product to use in a restaurant with many shifts and employees.

Pros

I loved the feature of swapping shifts with other coworkers. It was very user friendly and provided great solutions for when I was a server at a very busy restaurant.

Cons

I don't remember there being very many cons to this system. I do, however remember getting a lot of notifications on my cell phone which is something each individual user can change on the features of the app on their phone.

I used HotSchedules for two years while serving and loved the idea where you can swap, add and release shifts if desired.

Pros

I like that you can see your schedule for the week laid out in one spreadsheet. I also like that it gives you the option to do group messages with all of your coworkers and swap shifts if needed. This software offers a lot for your work scheduling and helps you stay organized and be flexible when you need to be.

Cons

I do not like that you have to pay for the app. I also do not like how hard it is to find someone's contact on the app and then be able to copy something like an email address or phone number. I wish HotSchedules also had a better notifications system in place.

This was a great system to work with and it is highly recommended for anyone who is just looking for a basic scheduling system. I honestly didn't have any issues with this system. Once it went down and we all needed new passwords.

Pros

This scheduling system is so quick and easy to use. from logging in, to requests and switching shifts. It also has the great email and text features that ensure everyone gets the reminders needed. I loved this system!

Using hotschedules really helps restaurant employees easily access their schedules.

Pros

As a server you can easily pick up an available shift that someone else can't work, and also release/post a shift that you cannot work in order for someone else to grab it.

Cons

Sometimes it is difficult knowing where to go in order to find out certain information, such as if somone sends out a message for all employees to see, but for some reason I won't be able to locate where to see the message.

What I enjoy about hot schedules is two fold. One as a training manager I can easily set this up with the schoox LMS. So any new employee added to hot schedules automatically gets assigned their courses within schoox. This makes it easier for restaurant managers to train their staff without any support from training furthermore, it allows them to personally control their schedules without needing to worry about how training/restaurant will communicate with one another.

Outside of the learning component, hot schedules are easy to use and it offers a color coded scheduler designed to easily help you manager your daily or weekly schedules.

HotSchedules will change the culture of your restaurant, it really is one of the best software programs I've ever used. Employees can make requests to work or take off, release, swap, or pick up shifts, and send messages. The app is very easy to use and for anyone who doesn't have a smartphone the website is great or a manager can quickly print anyone's schedule. Everything is super customizable for manager's writing the schedule and for employees. Invest in this program, it's great.

Hotschedules in Miami Beach!

We implemented hot schedules about 1 year ago into our restaurant group. We have 3 outlets in Miami Beach and really needed a scheduling solution. Hot schedules is great, as it syncs with multiple operating systems and is very user-friendly for both management and staff.

Pros

My favorite feature is the vacation request and availability block option. We have a lot of students who work for us whose schedule we need to work around. This option makes scheduling around these constraints easy. Their platform is basic which leads to functionality and usefulness.

Cons

The only con is that they have not yet built out an HR system. Synching hot schedules with these platforms can be annoying, I hope they develop solutions for this soon!

Advice to Others

I would advise to strongly consider HS. My only advice would be to see if it could sync with your other current platforms so you can get maximum usability!

Hot-schedules has so many features it's a little daunting at first. But their projection software, integration with the restaurant's software is amazing. Hot-schedules will help you write a schedule that optimizes when you need you need your people on, and when you can get them out of there.

Pros

-Easy shift scheduling
-Clear availability scheduling
-Great messaging system

Cons

-Cost is a little high, but you really do get what you pay for.

Advice to Others

If you are trying to save money on labor, let hot-schedules do the work for you. It will show you when your busiest times are and will help you predict upcoming trends to stay ahead of the curve.

I have used this product as both an employer and employee. I work in the food service industry and I can't tell you how time-consuming scheduling can be. Hotschedules allows my employees to request time off, swap shifts, release shifts, and receive mandatory messages all online or from their phones. This saves everyone time and cuts out the possibility of requests being forgotten.

Pros

As an employee, it's great to have my schedule sent to me weekly on my phone. If I am out of town, I don't need to
Make any extra stops or phone calls to find out when I am working next. I can also request time off online months in advance and my employer can approve it- making reservations and guaranteed time off more convenient.

Cons

to download the app for your phone it costs a small sum of money and some people don't like that. However, this really isn't an issue because you can still access the schedule from anywhere online-so it really isn't a con at all.

I think HotSchedules is great. In high school, I worked for an independent, family owned restaurant where scheduling was a complete nightmare. We had one physical copy that was frequently not posted until the DAY before the period started, making frustrating for employees to not only show up for their allotted shifts but anticipate scheduled time off and conflicts. This made the work environment extremely difficult and this was reflected in our service and customer satisfaction. Having HotSchedules at the restaurant in which I work now is a complete game-changer. I can see when I need to work, who I work with, and who needs shifts picked up AT LEAST a week in advance, and I can make the most out of my work experience. It is amazing that I don't have to check a physical schedule once -- I just log in from wherever I am!

Pros

I love the ability for Shift Releases and Pick Ups to happen with no hassle; the manager sees when two employees have agreed to switch and then can approve it. Both servers are then notified via text if they so choose and on the software website itself.

I absolutely loved HotSchedules!!! It was so easy to use, and so convenient to see my schedule in real time! It was also great to be able to send messages back and forth with other employees or mass emails for shift coverage. HotSchedules made my life as a server SO much easier and convenient!

Cons

There isn't much to complain about with HotSchedules. If I was going to suggest any change, it would maybe be to spruce it up a bit so it's a little more colorful. My schedule and messages were always in grey and black. Color isn't necessary, but it is a little more appealing.

Scheduling, reporting, and the Logbook are what we use the most.

Pros

I like the ability to open up the HotSchedules app to see who's working. There are many useful tools such as messaging groups or individual staff members, forecasting hours, and looking back at previous years' staffing needs. If you have a restaurant, you should have HotSchedules. HotSchedules' support is amazing tooI never hesitate to call them if I have an issue.

Cons

Our POS imports data to HotSchedules, so we lose some of the ability to change things through HotSchedules. Instead, we change through our POS and it updates daily.

It made it extremely easy to keep up with work schedule.

Pros

I love the convenience and ease of the app. With Hotschedules, you can easily pick up and release shifts. Also as an associate manager I used many other functions such as the logbook. Everything is just really easy to view. I also love having everyone's contact information in one place.

The ease of integration with a Google calendar, the ability to have my schedule in my pocket (via my phone) at all times and the ability to stay connected with the happenings at work while I wasn't there.

Pros

The integration with my Google calendar is seamless and easy, the messaging function allows for professional communication amongst the entire staff and the ability to swap shifts without needing to go through a manager directly.

Cons

You could only see the full schedule for the week with everyone on it on a computer, not on a phone, and I primarily used the app on my phone.

Good scheduling tool with POS integration.

Pros

My favorite feature is the integration with our Aloha POS that makes it possible to restrict employees from clocking in too early or too late.

Cons

The layout could be more intuitive. There are a ton of reports, but the differences between them is not very clear, so you spend a lot of time just trying to find a simple report you want. Also, the program always thinks it knows how to schedule better than you and will add house shifts when it feels there should be extra employees scheduled, which just causes extra work for the manager to go back and remove them before an employee tries to pick up the shift. Also, if you have employees that work at multiple locations within your business, you will not be able to see if they are already scheduled at another store like you can on peoplematter/snag.

It often freezes or becomes unresponsive at random times of the day. The house shift option is also very touchy.

Ease of scheduling and communication to staff. Documentation of scheduling issues are always recorded.

Pros

Communication with staff is easy. Schedule can be sent directly to staff phone via text. Staff can change shifts with ease.

Cons

Staff reporting tab could have some more detail. Training is needed to fully understand forecasting and accurate template schedule.

I like the way employees can switch shifts and request time off. It is nice that they can switch through the website but still need management approval. I also like the different ways to view the schedule

Cons

It did not work for us as a clocking in system. I wish it was easy to see how many employees of each position were scheduled during each hour of the day and easier to adjust schedules while looking at that.
