QuickBooks Full Service Payroll Software


 

QuickBooks Full Service Payroll from Intuit is a web-based payroll system that integrates with the QuickBooks accounting platform. It is designed to help small businesses manage accounting and payroll all in one place.

Users can manage employee profiles to determine such things as pay rate, pay schedule and method of payment. Payroll can then be reviewed and submitted at any time, accompanied by detailed reports showing total payroll cost, pay compared between periods and cost breakdowns between wages and taxes, and between employer and employee. The option to print pay stubs is also available.

Behind the software is Intuit’s team of U.S.-based payroll experts, who can handle payroll setup, tax filing (federal, state and local) and tax payments. Accuracy is guaranteed, so if an issue arises, Intuit will act as representation to the IRS. All of this functionality carries over to the Online Payroll mobile app, which is available on iOS and Android devices.

Cons

It is an investment. Once you go the quickbook route you are now a quickbook person and that is how you need to operate. You need to be all in.

I really wish invoices were labeled as invoices. The word pledge is misleading and confusing!

Pros

It's pretty simple and straightforward to use. The sales interface is easy to maneuver. It's very easy to customize the printouts, and printing is extremely easy to do! Sorting is easy to do, and adding new customers does not take a long time!

Cons

Statements don't work like they should. The banking area is confusing, and making anyone a user or the "master" is difficult. Receipts don't always show up on the main list with the pledges and payments.

I use a practice management software to manage my time and issue invoices. I love that Quickbooks integrates with the software, so that I do not have to duplicate work by creating entries in Quickbooks as well. This software has everything you need to keep track of accounting for your business.

Cons

Not being an accounting person, I have found the software a little bit confusing. In full disclosure, I have not yet utilized any of Quickbook's guides. There are a number of resources online, which is helpful.

So while QuickBooks boasts a very pleasing and intuitive UX and UI, I can't fully recommend it until they iron out all the underlying issues with their site performance. Should they address it, I would wholeheartedly recommend this online accounting software.

Pros

It is very well structured and easy to use. My expectation was that any sort of accounting, be it online or offline, would be quite daunting and hard to use, but I was proved wrong with QuickBooks. Everything I needed was easy to find and the place you expected it to be. Adding a customer, creating an invoice, attaching payment details, etc. - everything was easy without any prior instructions or tutorial.

Cons

QuickBooks Online is slow and occasionally buggy. Much more than I would want and expect. I am not sure whether the cause of it is the engine or framework they use but sometimes my filter changes don't register, the whole website fails to load all interface elements and occasionally doesn't work at all.

Cons

Customer service was an issue when we ran into a licensing issue when upgarding to a newer version. There were several steps involved that seem to be a waste of time but they got us up and running after awhile

There is a help service for specific problems. You can duplicate invoices and bills easily.

Cons

There are not enough default choices so you have to input regular information often. Reports are somewhat clumsy and not as flexible as desired.

It is a great product. The beauty of QBO (QuickBooks Online) is the availability of the client and accountant to access the program at the same time and from any location. This is a HUGE bonus!

Pros

This product is extremely easy to use. It has lots of bells and whistles that wouldn't be noticed at first glance. It is a powerful program and will handle most business applications and needs for small to medium sized businesses. Larger businesses can use this program if the business doesn't require job costing.

Cons

The program doesn't handle job costing well. I would recommend the desktop version if you're needing job costing reports.
If you need restricted access for users, this program doesn't offer detailed choices for multi-layer access and restrictions.
The payroll module isn't as friendly as I would like it to be. It's not user friendly for accountants.

Its a great and easy to use program. Honestly it only took me a few minutes to learn it from start to finish.
I think the program is essential for running a small business. I found that the company I work for was actually using it as an all in one system- quoting, accounting and customer records. I wouldn't recommend using it that way as that is not really what its purpose is, however it did "work".

Pros

You can do just about everything you can think of on this system.
Easy to use and understand. The dash board view shows basically everything you need to see.
Very customizable.
Organized.
Not expensive.
Makes Reporting easy and efficient.
It is compatable with just about every single CRM out there.
I use it with Mhelpdesk and it takes info accurately between the two programs.
You can access it from an app.

Cons

The templates could be a little more customizable.
There is no calaneder in the program.
You cant search for just anything. You need to have specifics to search for different thinks, like customers, invoices ect.
Its a little tedious to have to go into so many screens to make a new customer- they could improve by allowing you to create from any screen.

Very easy product to work with. Makes our payroll process and systems flow very easily. This helps shorten the time to complete our invoice and payroll process by 1/2 the time.

Cons

I have some concerns about customer service and the ability to get ahold of folks quickly to resolve a problem. Ultimately when you do get them on the line they are more than helpful for fix all issues.

I believe this product could be great and really nice for people if it wasn't so complicated to navigate.

Pros

I would say there is not much that I like about this product. I think it is nice to have the option of online accounting with most of my clients being remote.

Cons

I find that the online version of QBs is way more complicated then it really needs to be. I feel that you shouldn't have to click three different times before you are able to actually get to the register to enter transactions. A lot of my clients find this annoying and have moved back to the desktop because of it.

Cant go wrong with cloud based when you are a small business

We use QB online as a general ledger (checkbook, basically) and as an estimate and invoicing platform for school system business. So, our real product data is in our completely separate POS system. However, QB works well the way we use it and we aren't looking for another way to perform those tasks right now.

Pros

We don't have to worry about backing up a server in the broom closet because we might loose all of our billing info. No installation process is necessary if you get a new PC for the office or the front counter.

Cons

Because you can do so much in QB, you may find that you are only using a small percentage of the overall built in possibilities, which can make you feel bad about yourself for not doing things "the right way."
Occasional loss of progress does occur, as you must manually save you work.

Pros

With the program being completely online, we found that it was much better than the desktop version. We found that much more accessable.

If you know your way around QuickBooks desktop version, then more than likely you'll be able to conquer the Online version as well. It's great that you can view QB, or pick up where you left off from anywhere you are. Additionally, someone else can access the account and view any financial reports that they need. It also has the ability to invite your accountant, to provide access for tax preparation, etc.

Cons

My biggest drawback is that you can only view one page at a time. In the desktop version, I can pull up a balance sheet, profit & loss, and be able to drill down into the accounts, or make journal entries, etc. I like being able to view other pages while I'm entering info into another. Unfortunately, I have yet to find this function in the Online format. Some things do take a bit more searching to find.

Pros

I like the multi-functionality of the product, which I used for a Nonprofit handling over 14 properties easily. It's great to be able to use if not in the office and easy to sign in.

Cons

The only problem I have with this product is that the reports are difficult to find and navigate if you haven't used the product for very long.

Pros

Quickbooks Online is very user friendly. I like the interface and how it syncs with both my bank accounts and Housecall Pro. I also like having the ability to share the data directly with my accountant for tax purposes. I find the reports useful and easy to customize.

Cons

Sometimes, I find it too easy to make a mistake when recording certain transactions. I wish there were some validation checks available to explain the effects of any entry. I also wish that I could build reports from scratch. While there are many great reports, there are some gaps that I wish I could fill.

I'm not sure what I would do without Quickbooks. It's definitely worth the money. Otherwise, I'd have to pay an accountant. I like that you can link your bank account with Quickbooks. It does quite a few things automatically, thanks to this feature.

Cons

I wish I could have gotten the desktop software for free when I did my tax returns. Unfortunately, you only get the online version for free when you do tax returns with TurboTax. With the cost of that, I'd like to think that they could offer the desktop version in the future.

Cons

There seems to be one problem when using the mobile App. When receiving payment via mobile, you cannot select which bank account you want to receive that payment in and makes matching payments received to bank deposits more difficult.

Management of books, keeping expenses down

Pros

Integration with financial institutions to the entering of data is fairly seamless. Closing out books and learning setup is a process, but once set up, is easy to quickly close out books for each month.

Cons

Slight learning curve and setup requires a fair amount of time to complete the set up. Wish it would allow ABA bank drafting. Right now it only allows via a credit card.

After many years of revisions, Quickbooks Online finally has a product with a rich enough feature set to make the leap from desktop-based Quickbooks. The downloadable app enhances the experience, so I recommend using this vs. viewing in a web browser.

Cons

The integrations between their various services (payment processing, payroll, etc.) are weak and there are still significant gaps in features between the desktop and online versions of Quickbooks. If you are migrating from desktop, be prepared to spend a significant amount of time learning (too late) about all these gaps and be prepared to invest a significant amount of time cleaning up data and learning manual processes that you will need to fill in those gaps.

Led me to using Quickbooks desktop, which I am satisfied with.

Pros

I originally signed up for Quickbooks online since I like the cloud feature and being able to work from any computer. The price was a little high when calculated over several years of use compared to a desktop version, but was doable for the convenience.

Cons

I attempted to learn the software, but it is extremely confusing. I watch several videos and practiced, but the way the software is set up and where things are organized is not very intuitive. I even went to see a book keeper who works for my accountant and she said that she has been using Quickbooks desktop for 20 years and even she could not figure out how to use the online version. She recommended I get the desktop version and do daily backups instead, which I did.

And while I have plenty of experience in dissecting P & L statements, I did not have any real prior experience keeping the books on business ventures. Once you understand the basic requirements of bookkeeping, QBO makes it very easy to keep up with expenses and income and easily produce reports that my accountant can use and rely upon.

Cons

QBO makes it extremely easy for novice "bookkeepers" to start using the software right away. With a bare minimum of online training, is extremely tempting for new users to jump right in and start making entries. The downside is that it is also extremely easy for novices to make some horrifyingly egregious bookkeeping errors. Fixing those errors is not necessarily intuitive and often requires substantial help from someone much more skilled with QBO to fix the problems. I am not a fan of overpaying for software add-ons, but in the case of QBO, it might be helpful to many new users to include in their new subscription a voucher for professional QBO company set-up. That voucher could be used for any QBO certified bookkeeper, to ensure setup is done properly. If the voucher is truly not needed, then the new user gets a credit toward QBO renewal.

I made the switch several years ago from the QB 2014 Desktop app to QBO, with the intention of simplifying. It's a simple enough switch by importing your company file. I was also hoping switching to QBO would solve the Paypal connection issue, as I use Paypal for online billing extensively. Last year, I abandoned QBO because it still could not get Paypal connection right.

Cons

I've never been a fan of QB policy of mothballing and no longer supporting versions older than 3 years. So I thought the switch to a monthly payment and online would change it -- but no. The online version didn't solve the Paypal issue -- meaning it would not auto connect and import Paypal transactions. So I switched to XERO last year and haven't looked back. Also QBO reporting wasn't as robust as QB desktop, so that was a disappointment.

Pros

It does the basic functions of Financial Accounting well and reliably. It has a lot of features that support a small to medium size business to operate. It is responsive, even though data is in the cloud.

Cons

It is not so good on reporting, and has minimal documentation that would help in understanding what classifications appear on which of its standard reports. Its report tailoring facilities are limited. It does not deal with cash-flow or forecasting.

Pros

I like that it links to the accounts we have in theory making it simple for the user. The layout is clean and they have a good but boring training

Cons

Honestly within a week of connecting our accounts oyr checking account had been booted off and we are now reconnecting it i hope this is not going to be a weekly thing.
