Overall, my experience with Celoxis was very positive. What stood out most was the depth of its project, resource, and portfolio management capabilities compared to tools like Asana, Monday.com, Smartsheet, and even Microsoft Project. What I liked most about Celoxis was having everything in one place. For a company like LearningBrick, it would make it easier to manage training projects, instructor schedules, client timelines, and budgets without jumping between multiple spreadsheets and tools. The reporting is also very useful, giving managers a quick view of project status, upcoming training dates, resource availability, and overall workload. It helps keep everyone organized and makes planning much easier as the business grows.

Cons:

The biggest downside was the learning curve. Celoxis has a lot of features, which is great once you are using it regularly, but it can feel overwhelming at first. We use various products since we are a training company and we found that some team members may need extra training to become comfortable with the system. The interface is functional, but it doesn't feel as modern or intuitive as some newer project management tools. Setting up dashboards, workflows, and reports can also take some time upfront.

The interactive Gantt charts, resource allocation tools, and capacity planning are top-tier, making it very easy to track complex projects and budgets in real time. Having both Cloud and On-Premise options is also a huge plus for team flexibility.

Cons:

The user interface feels a bit dated compared to newer tools and has a noticeable learning curve for non-technical team members. Initial setup and dashboard configuration take some time to get right, and the mobile app experience could be more fluid and modern.

The customer support is fast and responsive.

Cons:

There are a lot of small bugs that go unnoticed until it's critical. An example would be that when you schedule an event on the work calendar like a Company Holiday, the event doesn't show up on the day that you scheduled the event for (i.e. Company Holiday scheduled for 12/23/2022, but the event is displayed on 12/22/2022 on the calendar) and this causes confusion for everyone.

Took a while to learn but now I run everything on it

I manage around a dozen projects across two teams, and before Celoxis I was stitching together spreadsheets, a separate Gantt tool, and way too many email threads. Switching took some patience. The first couple of weeks were rough and I almost gave up during setup. But once things clicked, it became the one place I actually trust for where every project stands. The AI side surprised me too. When I start a new project it helps draft the structure and tasks, so I am not staring at a blank screen every time.

The planning depth is the real reason I stayed. Schedules, dependencies, budgets, resource loading, all in one tool instead of five. I used to spend half a Friday building status reports. Now I pull a dashboard and it is basically done. I also like that I can set up one view for my leadership and a totally different one for the team, so nobody gets buried in detail they do not need. During a recent client deadline crunch, being able to see who was overloaded at a glance honestly saved us.

Cons:

It is not beginner friendly, full stop. New folks on my team need hand holding for the first week or two before they stop asking me where things are. Some screens are packed and a few tasks take more clicks than they should. Reports can lag a bit when they get large. And the integrations were a pain to set up at first, though they have run fine since I got them sorted.

Excel worked fine when I was handling one or two small projects, but it fell apart once things scaled. I was maintaining separate sheets for timelines, budgets, and resource planning, and keeping them all in sync became a job in itself. There was no real way to track dependencies or see live progress without manually updating cells, and version control was a constant headache when multiple people touched the same file. I needed something that could handle complex projects with proper scheduling, reporting, and collaboration built in, and Excel just was not designed for that.

overall our experience with celoxis is highly positive , particularly from a project management office point of view . It successfully solved our many issues with resource doublebooking and gave leadership the high-level portfolio vision were we gat many issues . while it takes a bit of patience during the time of setup and the training phase , the return on investment in terms of project control , accurate budgeting , and delivery timelines has been good worth the effort . it's a serious , heavy-duty ppm tool for organizations that have outgrown basic to do list applications.

personally i appreciate about celoxis is how it consolidates project planning , resource allocation , and budget tracking into a single , cohensive ecosystem . which is better than simpler platforms that requires endless plugins , multi-resource scheduling , and finacial tracking natively . customizable dashboards and the depth of the reporting engine are the best i ever seen or i can say they are the top-tier ,which help in to pull real time data on team utilization and project profitabhility and it saved our team hours of manual spreadsheet compilation every week . and its security is much better than i think .

Ilike least about celoxis is its interface , it feels less modern or breezy compared to lightweight, highly visual tools like monday.com or asana , and the initial learning curve is quite steep . beacause of the volume of advanced features , onboarding non-technical team member took longer than we think . and also its timesheet entry system is a bit rigid and making quick corrections to logged hours could be designed to be much more intuitive .

On the security front, I felt reassured immediately; with 256-bit AES encryption, TLS 1.2+ for data transit, hosting on AWS, and granular role-based access controls, I had no qualms about storing sensitive client contracts and financial data in the system. In summary, Celoxis is a powerhouse for organizations that have outgrown lightweight tools and need a single source of truth for strategy and execution. Yes, you'll need to invest time in training and configuration, and yes, you'll have to budget carefully for those user licenses. And while I have to choose Celoxis's superpower, it will definitely be the planning engine. Scheduling automatically works like a charm, as every time a task is delayed or a resource is no longer available, the Gantt chart automatically calculates the dependencies for me without me having to drag anything. Dealing with inter-project dependencies and critical paths feels natural and intuitive, and the ability to baselining based on the Earned Value Analysis provides me with enough confidence that my project's status is calculated according to the benchmarks rather than gut feeling. However, the tool really excels in the field of task management with an impressive degree of customization available. Customizable fields and formulas, as well as customizable workflows allow me to adapt the tool for my business processes, and that makes it easy to track any number of resources per each task and sort tasks using any number of business KPIs. While the amount of customization available is great, it still may be hard to find what one needs sometimes and the mobile version available via the web interface feels a little bit laggy when trying to log something quickly.

Cons:

Let's talk about value for money—because it's a mixed bag. The feature set absolutely justifies the price tag if you're a mid-to-large enterprise. You're getting portfolio management, financial tracking, resource planning, and AI insights in one box, which usually requires three separate subscriptions elsewhere. However, the lack of a free "Viewer" license is frustrating. Even if a stakeholder just wants to glance at a dashboard, you have to pay for a full seat. That adds up quickly and feels like an unnecessary hurdle for budget-conscious teams. I also had a few brushes with customer support during setup. The team is undeniably knowledgeable, and responses are prompt (usually within 24 hours) for general queries. The knowledge base is extensive, which helped me self-serve on many occasions. That said, when I asked about advanced custom workflow configurations, the responses slowed down considerably. Support seems optimized for standard use-cases, but the more you customize, the longer you might wait for a resolution.

We switched to Celoxis because Microsoft Project Server Subscription Edition had become too expensive, complex, and rigid for our growing portfolio. The infrastructure requirements were a major burden—PSSE requires SharePoint Server with Enterprise licensing, SQL Server with Analysis Services, and Windows Server licenses for every server in the farm. Even with all that investment, the out-of-the-box reporting was weak, and the interface felt unintuitive and slow, especially when managing larger projects.
