Aesthetics Pro Online is a cloud-based, HIPAA-compliant medical spa management solution that offers staff management, calendar management, client management, point-of-sale and marketing management functionalities within a suite.

The staff management feature enables users to manage employee timesheets, payroll, commissions and tips. With staff calendars, users can manage staff scheduling and avoid instances of overbooking.

Aesthetics Pro enables users to store all client information in HIPAA-compliant charts. Users can sign in from their devices and access records from any location.

The product also offers marketing management, which enables users to track leads and run targeted email campaigns for customer acquisition. Users can also integrate the software with a call-center solution and assign staff to follow up on marketing leads.

With the accounting module, users can generate real-time updated sales and profit reports to make informed decisions regarding their customer handling processes.

I love this software for our medical spa. It gets better every year. I have been using it for about 7 years. I love it!

Pros

Handles everything, very cost effective, you do get a lot for your money, support is very responsive.

Cons

The support team is sometimes a little hard to communicate with. (software engineers!) The marketing section is not as good as constant contact, so I haven't given it up.

Please don’t waste your money and time. The sales team is happy, confident and helpful, but don’t be fooled that’s the only help you will get. DON’T BUY!!

Pros

The sales department is the only seeming helpful part of this company they will bend over backwards to win your business and then you’re on your own. Steer clear!

Cons

Zero customer service and a terrible product. The functionality of this software was completely overstated, it’s useless. The customer service is only available through a series of online “service tickets” or two 30 minute phone calls. The account managesre ar completely useless and refer you to anyone else. I’m flabbergasted at how terrible this company and product actually is. I feel completely duped.

Very unhappy with responses from customer support

Too many "clicks" and steps to insure that a payment is processed correctly. Too much room for human error! If you forget to click all these icons, the credit card number is not captured; therefore you are not compensated for your products and services. Not a user friendly Point of Sale system

Pros

Easy to schedule appointments. I do like the calendar and being able to see the full day and everyone's schedule.

Cons

The point of sale side of Aesthetics Pro is a NIGHTMARE! and I feel the training is VERY inadequate. Sending our staff a link to a couple of YouTube videos is a VERY POOR training protocol in my opinion!!! We have had nothing but problems for the last 5 months that we have used this system . Every time that we contact support, they offer "glitches" as the reason for any problems with functionality. Reading over others' reviews, the word "glitch" is used dozens of times. They need to take responsibility and own their flaws!! Some invoices look like a double charge which has resulted in credit cards being refunded when in fact there was never a double charge. This has caused our office to either let it slide and lose thousands each month or you have to call your patient to recollect a payment and that makes YOU look incompetent and could cause your clients to lose faith in you as a provider.

Navigation and use of this program could be great, but it falls far short.

I would really think hard about what you need your business to be capable of before jumping into this program.

Pros

The layout of the program is very straight forward. Easy to use, but at a fault. Setting up the system is a breeze, and customer support is often quick to respond.

Cons

The program is so easy to use only because it isn't capable of doing much to begin with. Many common tasks are bogged down with tedious clicking. There seems to be no way to apply a setting to all client accounts (enabling email appointment reminders...etc.). The program seems like it needed another few months of testing to work out the bugs. Also, transferring information from another operating system to this one seems next to impossible. Again, only with highly tedious, one by one clicking can you get accomplished what you'd think would be simple.

With this software I am able to productively run my medical spa

Pros

It has so many great features that allow me to do special functions related to my practice. The forms are great and the calendar system is robust. My favorite part is the support tickets. They allow me to learn and develop my skills.

Cons

The menus have no search feature so I am constantly hunting for the right option is different menus.

It has the best of MDWare and Booker combined. I like the membership function as well as the forms that can be linked to services.

Cons

Online booking needs an update. The feedback I always get is that its important for the client to pick their time and then give you their information. The security code they have to enter might deter them.

For the client part, it is nice that all their data are consolidated - can be found or within click in one page.

Cons

It takes plenty of processing/clicks for invoicing. Some of the pictures cannot be changed like that for the client portal. Also for the company logo, it's too small. The area allocated is too small :(

Great customer service and account support.

Pros

Booking system is easy to use. Payroll (stand time card) is easy to manage and download. Daily/Monthly sales report is clear with break downs of payment methods which is a great function.

Cons

Does not offer an mobile app. Does not send text messages unless carrier is known. Difficulty to edit or change invoice after creation. Unable to apply individual discount if invoice has other services at check out.

Online record keeping and storage of photos in a HIPAA compliant format.

Pros

I like the integration of our payment system with the online records and appointment scheduling! Nice availability of documentation forms for online records.

Cons

The lack of standardized documentation options. The inability to link to our calendars as we need to be more mobile with ease of use. The inability to customize appointment scheduling and ensure clients can schedule 48 hours in advance and not same day without having to use the request appointment feature which is not client centric.

The software takes awhile to become comfortable, but support team has made my experience palatable. Without the support team, I would have been so frustrated, I would have abandoned this software.

Cons

I think the development team should personalize the forms at a more reasonable price. The time the development team allocates to personalizing forms is excessive and expensive.

Getting rid of paper charts and all the copying with the forms is amazing. I love not having to spend money on that and deal with all the paperwork.

Pros

It seems very easy for staff to use !! Perfect for a medical center spa! Everything is well thought out for practice use!

Cons

Setting up for out particular office is time consuming but that is with every software. I can't many cons honestly !!!

Everything that I need a program to do, it does. I have used other EMR software and this is outstanding.

Pros

We like that the software is HIPPA compliant. The program is very easy to use. Thus, if you have any questions, the staff is responsive and follows up to make sure that your issue has been addressed.

Cons

I find that it logs me out a few times a day. I am not sure if this is the program or the internet we are using.

I there was more flexibility with the marketing emails. The button can only be green which doesn't fit the esthetics of the brand for my company. I also wish I could have more options with fonts, etc within the marketing emails.

automated email marketing, pre-up loaded documents with ability for patients to fill out their own forms on iPad in office AND love the forms with generic faces where we can document injection placements, online client portal and patient booking software, membership, loyalty rewards, cloud based, multiple user logins, tracks everything, text and email reminders

only option for cc integration is vantiv and ONLY heard horrible things. Doesn't seem to match up that such a great software is paired up with such a bad cc processing company and no other options. Really spent months looking at other softwares bc I did not want to use Vantiv.

We like that its fairly easy to use. It has an easy learning curve. Easy to train others on.........

Cons

All the gliches that is has. We have it freeze up a couple times a week. Yall change things with the software then dont let us know. I dont like how customer support is only through the ticket system because they never answer our questions, the answers are generic responses. We prefer to talk on the phone when we have issues.

The marketing aspects, the New Rewards Program feature. The EMR, is great and detailed. Makes it easy to know what the patients treatments have been and what you may need to do next.

Cons

I wish it would have a pop up on a patient when you click on them to make an appointment showing if they have a credit that has had to be put in manually, or a note in regard to the patient that the staff needs to know when they are making an appointment or checking them out. Instead you have to go into the patients EMR and look every time. Having a pop up linked to making an appointment or checking them out would be extremely helpful

Make the practice run smoothly and easily.

Pros

Ease of use, has everything you may possibly need and even won't let you forget the important stuff. The customer service is phenomenal and those youtube videos are on the money. If I call, or if ZI email I get support immediately, with patience, understanding and a great explanation.

Cons

Nothing yet but it was a little intimidating at first because there was so much information, and between the set up and learning to integrate the ipad it took a while
