## Microsoft Teams Pros and Cons

We analyzed 11,115 verified reviews for Microsoft Teams to find out what actual users really think.

Select to learn more

Integrated Team Communication Hub

Teams brings together messaging, calls, and document collaboration, allowing users to communicate with colleagues and clients in one platform. Persistent channels, cross-platform access, and integration with Microsoft 365 keep information centralized and help teams stay aligned on projects and tasks.

Virtual Meeting Organization Tools

Microsoft Teams streamlines virtual meetings with easy scheduling, calendar integration, and instant access from multiple devices. Users can host webinars, record sessions, and invite internal or external participants, making it simple to coordinate across locations and keep all meeting details organized in one place.

Centralized Chat And Channels

Teams offers structured chat and channels for quick messaging, file sharing, and collaboration. Group chats, threaded conversations, and integrated apps help users keep discussions organized, switch between topics, and find past messages easily, supporting both informal and project-based communication.

Complex Account And Permissions Setup

Managing accounts, permissions, and guest access in Teams can be cumbersome. Users face frequent logouts, confusing authentication, and difficulty switching between organizations or tenants. Admin controls, app restrictions, and permission settings often require extra steps and can frustrate less tech-savvy users.

Video Call Reliability Issues

Users report frequent audio and video glitches, connection drops, and device compatibility problems during video meetings. High resource usage, microphone access issues, and inconsistent controls can disrupt calls, especially in large groups or when switching devices, impacting meeting quality.

Screen Sharing Usability Challenges

Screen sharing in Teams can be confusing, with limited options to share specific sections or multiple screens. Users experience navigation issues, lag, glitches, and difficulty managing permissions. The interface sometimes obscures content, and presenters may miss chat messages or audience reactions.

Reasons for switching to Microsoft Teams

This was the closest product I could find. e used physical walkie talkie devices that had some Android tech. We switched due to lazy recipients regularly "misplacing" their device.

Microsoft Teams: The Unified Command Center

5

Overall I’ve had a good experience with Microsoft Teams, mostly because it can serve as a single source of truth for complex projects. It’s a workspace, not just a communication tool. The interface can be a little “busy” and the system requirements are high, but the payoff is a huge decrease in fragmented workflows. It has replaced most of our internal email threads and made cross-functional collaboration much more transparent. It's an invaluable asset for managing large-scale digital initiatives and keeping distributed teams aligned, as long as you take the time to structure your channels and manage your notifications

Ratings Breakdown

5

Ease of use

5

4

5

Functionality

Pros:

What I love the most is how Teams is a centralized command center, not just a messaging app. Native integration with Office 365 is seamless. The ability to collaborate on documents in real time within a channel saves a lot of back and forth. It means no more jumping between email, cloud storage and video conferencing tools to find context. Everything project-related is in one searchable place

Cons:

The biggest downside is that it eats system resources like crazy and makes the app slow and gobbles up RAM. This can mess with your multitasking. The file management system is integrated but can feel a bit clunky. The underlying SharePoint folder structure is less intuitive to navigate than one would expect, meaning files can easily be ‘lost’ if they’re not organized perfectly from the get-go. Finally, the notification management is very fiddly to stop it being a constant distraction.

Reasons for switching to Microsoft Teams

Google Meet was great for simple video conferencing and ease of access, but we found it didn’t have the strong project infrastructure we needed for complex long term workflows. Main reason for the switch was the need of continued collaboration. Google Meet. When the call ends, so does the conversation. The meeting is just part of a bigger ‘Channel’ within Teams, where the chat history, shared files and task tracking are there 24/7. We needed a platform that did more than just calls. We needed a place where we could co-author documents and manage project roadmaps without switching between a browser tab and our desktop apps. Switching to Teams really helped us move from 'just meeting' to actually 'working' in one unified interface.

An extraordinary business communication and collaboration platform

5

Overall, my opinion about the software is mostly positive. I had a great experience with it and think that it is a great piece of software for business communication and collaboration. Functionality

Pros:

I had the opportunity to use Microsoft Teams during my work as an IT Marketing Intern for Traveledex. I can say without hesitation that this software has a lot of advantages. Firstly, the program offers deep integration with other Microsoft Office software, such as Word, Excel, PowerPoint, and others. Another advantage is that Microsoft Teams allows you to share files between users and conveniently schedule meetings with other team members. After that, the software also offers 1-on-1 chats, channel discussions, video calls, screen sharing, and phone calls.

Cons:

Unfortunately, the program has a few significant disadvantages. One of them is the high system requirements and the lack of optimisation, which makes the software perform poorly on low-end hardware. Another problem is long loading times, especially when switching between teams or even channels. Microsoft Teams has an overly complicated interface because it has to offer almost all of its services through one platform. The last thing that could be considered a disadvantage is the software’s extreme reliance on SharePoint and your own OneDrive, which, in my opinion, is a big issue since you will spend most of your time having to save files there.

Microsoft Teams- Is it worth it?

4

Overall, Microsoft Teams is a robust and reliable collaboration platform that streamlines communication, virtual meetings, file sharing, and teamwork within a single workspace. Its seamless integration with Microsoft 365 applications enables teams to collaborate on documents in real time, share information efficiently, and improve overall productivity, making it well suited for both remote and hybrid work environments. Despite its strengths, Microsoft Teams has some limitations. Certain advanced features are only available through higher-tier Microsoft 365 subscriptions, which may not be cost-effective for smaller organizations. New users may also require time to become familiar with its wide range of features and interface, while frequent notifications can sometimes contribute to information overload. In addition, customization options are restricted by organizational policies and administrative settings, limiting the level of personalization available to users. Although Teams includes basic task management capabilities, it does not offer the comprehensive project management features found in dedicated project management software. Overall, Microsoft Teams remains an effective and versatile collaboration tool that enhances communication, teamwork, and operational efficiency. When combined with complementary project management applications, it can provide an even more comprehensive solution for managing projects and supporting organizational success.
