Insightly CRM provides small and midsized businesses with a way to manage projects and track contacts, communications, sales, projects, tasks and documents in a single platform. It is available via the Web and on mobile devices.

Designed to integrate with many popular applications, Insightly connects users to online applications such as Google Calendar, Gmail and Docs, Outlook 2013, MailChimp, Evernote, Box, Dropbox, QuickBooks Online, Xero, and more. Insightly’s dashboard provides real-time information via a task dashboard and opportunity reports. Insightly's Advanced Reports allow the creation of custom, tabular reports. Opportunity reports offer details such as the responsible user, pipeline and pipeline stage, close date, probability of winning and value.

Insightly also offers integrated project management functionality. Once a deal is closed, users can track and manage follow-up project commitments directly from within the CRM. The Insighly Sidebar also saves emails directly from Gmail, giving users access to the history of their conversations and allowing them to link all correspondence to projects and events.

The software has been easy to configure, and its built in preconfigured capabilities are a good solution to get started with managing a sales CRM solution

The views of work in progress for the sales cycle is not modern and does not visually create a view that stimulates action in the user.

Recommendations

Make sure you review the tools and determine if it would make you want to keep up the data entry. If not, move on.

We use currently use Insightly to manage our contacts, notes and tasks. We consider these our basic, high priority items. Insightly handles these in a straightforward, easy to use and easy to implement manner. We also believe the learning curve is manageable and that Insightly is a cost effective choice for basic CRM. We use both the desktop and mobile applications of Insightly. We recognize that Insightly has additional functionality that we may decide to begin using in the future as our CRM efforts mature.

We investigated a number of CRM applications in our process of choosing Insightly. We did not find any glaring omissions or show stoppers with the Insightly application.

Recommendations

Determine your highest priority applications and evaluate the software to meet your specific needs. Many CRM applications may have a number of bells and whistles that are not highly used or needed. I suggest you try out both desktop and mobile applications because they can look and feel different to the users. A successful CRM launch will require user-friendly applications.

I personally like the ease of use. The us r interface is very user friendly with the info that you use at your finger tips. Also the mobile app is the best I have ever used.

Try 1 user first to see if it's right for you. Don't get all of your users on the system until you know that it is exactly what you want.

How easy it is to use. There is really no learning curve. When I am out of the office I feel like I have my clients file in the palm of my hand.

I would like to be able to add maybe up to 5 customize fields. So I could make actually folders such as Life insurance, Long term care, Annuities, legal docs etc. So I could just go to that folder and access last correspondence. I have learned that a detailed title helps but a folder would make it easier. The insurance business is moving towards agents being HIPPA compliant and hope that Insightly can someday say they are.

I am a little old fashion. I still like to see it on paper. Not anymore. With InSightly I feel like I have the clients file in the palm of my hand. All emails, complete client profile and every document that is in their paper file.

Some nice features for CRM good integration with calendars

The email system is really poor with no hard integration just a forwarding system that doesn't really cut the mustard. Followed up to get a refund/cancel my subscription and they haven't offered claiming I paid but didn't select the trial option. So i got charged instantly with even having a trial which seems a very odd way to go about things in my opinion!

MAke sure you implicitly select the trial option at the beginning and don't assume it is part of the process. I know i'm an idiot !! but i had hoped they would help resolve a pretty basic error.

Not much admin control over the processes or users, each user kind of has a more level playing field and their owns settings. Price increases.

Recommendations

If you are a cloud based company, especially one that is remote and uses Single Sign on and other cloud apps, Insightly will fit perfectly into your workflow.

I have already recommended this product to several people who are just getting started into the CRM world. Many small businesses need a CRM system that helps them organize and track leads, referrals, and potential clients through the sales pipeline. This system is the answer.

The free version doesn't offer some reporting mechanisms that seem obvious...but then again, I'm using the free version, so I really can't complain!
The other issue I have is that it functions a bit slowly sometimes. Other websites work very smoothly and behave like they're running on my desktop, but the Insightly website can be a bit chunky.
Also, the web app is weak. It doesn't have near the functionality of the website. Not sure if that is because I'm using the free version or not.

Recommendations

Ask yourself, does this software work like I need it to work? Does it track the right items? Can I pull the reports I want? How does it integrate into other software (Insightly pay version does)? And what problem am I trying to solve?

I did the initial free version of InSightly and liked their dedication to the micro-business by offering that level. There is a happy feel to their service and you can tell they really love what they're doing. Actually, their BLOG is fabulous and is my favorite thing about them.

It was just cumbersome. I spent a good bit of time setting it up and it just felt awkward. Maybe I just need something a lot more intuitive or seamless. In all honesty, I fizzled out on using it. It seemed like I spent all my time copying everything over and over to get a project going etc. It didn't flow seamlessly for me.

Recommendations

IMHO, a CRM system is VERY personal. What may work for all your business associates will just feel off to you and vice versa. Take advantage of the free initial trails and give it a GOOD test, don't sign up and forget you signed up! Then you'll know if you found the perfect fit for YOU and your unique business!

I love how this software is great on the go. I integrate with mailchimp, send an email to 1000 people and quickly identify which candidates deserve a call and do that on my drive home.

I love their free starter plan. It gives entrepreneurs a chance to jump in and learn what a CRM is and how to use one to grow their business. A CRM is a long-term investment and it takes time to see the monetary results of its use. Having a starter account allows businesses to make the time investment without it being overly expensive.

I started using it as my first attempt at CRMs and, having never used a CRM before, the workflows were not always clear and it was easy for me to get confused about what the different types of objects were and how they all interconnect. I felt that other CRMs live Salesforce and Microsoft Dynamics CRM do a better job demonstrating recommended flows from the menus.

Recommendations

As with any CRM, if you are new to Customer Relationship Management, do your homework. Learn what leads, opportunities, and projects are. Watch tutorials, take trainings and find a good CRM advisor. If you don't get it set up and working right from the beginning, it will plague your business for years to come.

I really like the clean layout of this product as compared to platforms like SalesForce. Its got a very straightforward user experience which is great if youre new to CRM or do have complex requirements,

The support model is terrible. Email only support where you can expect to spend days waiting for a response, even on the premium service. Even then its US west coast time, so if youre in Europe the problem is worse. There is no phone option that we were able to see.

The reporting element of this platform is dire. Its VERY difficult to get meaningful information, even on simple things like the value and weighting of your future pipeline. Reports are horribly formatted, there is no save to file and you cant generate custom reports.

Im sure Insightly are working on this but right now, this is hideous.

Furthermore the integration to email only seems to work on Google calendar or the very latest Exchange 2013 only. If youre on anything like Exchange 2010, then forget it. The help and information up front is poor on this too.

Recommendations

Take a trial, see how important support, reporting and Exchange integration is to you and make your own decision. Just go in with your eyes open

Having worked with clients using a variety of CRM’s we’ve seen the good, the bad, and the ugly. I often times refer to insightly as the sports car of CRM’s because it allows companies to manage sales, contacts, projects, opportunities and client fulfillment in a very clean, efficient and user-friendly way. Some of the features I love best are their pipelines and activity sets. For companies that are managing lots of clients at different stages of fulfillment, Insightly’s pipeline feature helps all the players involved know exactly what they need to do and when.

The client profile makes it easy for me to link contacts to organizations or note other important relationships. The ability to save my email communication and related tasks to a contact has become an essential part of how we use Insightly and it’s intuitive ability to save any attached files I send is another feature I love.

Other favorite features are their mass emailing tool within the CRM. I can send a personalized email to a group of clients without having to write individual emails. A task management feature that allows me to see on one screen what I’m working on for each of my clients and in all areas of my business. With one click I can see what each of my employees is working on, what’s been done. You can create custom tagging systems to easily sort and find clients in your database. In one place see all of the projects you’re currently working on and where they are in the process of completion. Insightly’s Gmail gadget makes it easy to assign tasks, create projects, save emails, add or update contact email easily from within your email. No more switching back and forth from program to program. Insightly University provides a good training source for new users in addition to their highly responsive customer service team. I also have to mention all the strategic partnerships that makes using Insightly with other programs really seamless. For example, Mailchimp, evernote, DropBox and Google Apps for Business to name a few.

Sure, there are lots bigger more robust CRM’s out there, but I don’t want to drive a Mack truck every day. I like my sports car. :)

Insightly's calendar doesn't work for me, but I use google calendar and haven't missed it. I wish you could customize what you want to see on the home page. Right now it's just a running list of the activity on your accounts, but not super helpful in my opinion. Right now you have to manually advance pipelines. It would be nice to set them to advance to the next stage once all the activity sets are complete.

Recommendations

Before choosing a CRM Software, consider how your business will be using it. It’s important to ask questions like, what repeating pipelines are we trying to manage? (ex. events, client fulfillment, client onboarding, employee onboarding, etc.) What information do I need to keep track of for each of my clients or leads? What other software is important to the workflow of my business? And ultimately you should always ask, if I could find a software that would do everything I wanted, what exactly would that look like? Unless you’re willing to invest mega bucks into developing custom software, you’re going to make compromises, but understanding your desired outcome is a huge piece to finding the right CRM.

Setup is little confusing as is with most CRM solutions. Insightly UI is a little stark And not as engaging as other platforms But having said that price power and integration overrules cosmetics

Take the time to think through your organizational needs and like any tool plan out what you want to build before using the tool. Take your time to set up pipelines and opportunities and or projects and take time to train your staff on best practices and how to use crm for your company specific needs. Otherwise it gets messy and confusing.

With Insightly, Glass-Media is able to track leads, organizations and opportunities stemming from its marketing initiatives. The mobile app is also a big help, with its elegant interface that makes it easy to create a lead and opportunity on the go. In fact, with every restaurant and storefront in the area a potential customer, the sales team often uses the app to create leads while out to lunch or driving around the city.

There are still some features we need that are missing compared to other CRM options we have used in prior lives, but they are coming, and we are already evaluating the new LEADS modules and we like what we see so far.

Insightly works well with Gmail. If you already use Gmail everyday, the insightly Gmail gadget will make your life a dream. Also, the ability build workflows and assign tasks in insightly is very well executed. The ability to integrate with quickbooks online, and mail chimp make this a powerful crm for enterprising small businesses (like mine)

There is nothing I could single out as disliking. Perhaps the limited number of custom fields I can develop. I am in the insurance business, and we store many many data points on our clients, far and away beyond the simple birth date or expiration date. It would be nice to be able to customize some of the data fields to round our our client information.

Recommendations

You will not go wrong with giving Insightly a try. The learning curve can be a little steep if you have not used a CRM before, but following the videos on the online Insightly university will help. You can get all your data out if you ever decided to leave Insightly, BUT (this is a big but) the emails you save will not follow out from the database.

Email transparency, Google Mail/Apps integration, easy project management, great data structure (people, accounts, opportunities, etc), and a very non-invasive interface have had an incredible impact on our business. The constant updates and new features have further improved our capabilities over time. Also, the pricing is amazing.

Reporting is currently focused primarily on the sales/opportunity side of the product, with the project management functionality having minimal reporting capabilities (for now).

Recommendations

Don't undervalue how impactful having complete transparent access to sales email is. Beyond quality control, it allows everyone to stay in sync and ensure that what you sell is exactly what you deliver. I can't overstate how important this has been.
