Insightly CRM provides small and midsized businesses with a way to manage projects and track contacts, communications, sales, projects, tasks and documents in a single platform. It is available via the Web and on mobile devices.

Designed to integrate with many popular applications, Insightly connects users to online applications such as Google Calendar, Gmail and Docs, Outlook 2013, MailChimp, Evernote, Box, Dropbox, QuickBooks Online, Xero, and more. Mobile apps offer users access to information from anywhere and support the iPhone, Android and tablets such as the iPad and Google Nexus.

Insightly’s dashboard provides real-time information via a task dashboard and opportunity reports. Insightly's Advanced Reports allow the creation of custom, tabular reports. Opportunity reports offer details such as the responsible user, pipeline and pipeline stage, close date, probability of winning and value.

Insightly also offers integrated project management functionality. Once a deal is closed, users can track and manage follow-up project commitments directly from within the CRM. The Insighly Sidebar also saves emails directly from Gmail, giving users access to the history of their conversations and allowing them to link all correspondence to projects and events.

Our small agency needed a small CRM and Project Management support package so we went looking for a good fit. The person who chose Insightly did her due diligence in terms of functional comparison and interface design. The problem was that the person who selected Insightly had no experience with lead tracking or project management, let alone the software packages that save time and enable information sharing. Still, upon installation, the Insightly program did a fair job. Where there was friction and frustration was having to devote the time, and align our thinking with their software designers, to implement the software on different Windows platforms we had among our small team. (Our problem, we know.) While the newby on the team found she could use Insightly after some (time consuming) tutorial watching, the guy with more CRM, contact management and project management experience found Insightly to be less intuitive and more clunky when it came to smoothly integrating with Outlook, Google contacts and calendar. Take all of this with a grain of salt, please, because we loaded the free version. Still, before paying for any upgraded functionality, we are looking for a product that behaves as intuitively as it should it it was designed by busy agency professionals who need to switch functions on a dime, just after a client contact, or integrate easily with other packages.

Pros

Very simple, non-intimidating interface. Tries to be homey and welcoming to very small businesses. Earnest effort to serve up helpful hints. Looks like it doesn't require a lot of time to use.

Cons

Not particularly business-like, visually. Cutesy. Not as intuitive an interface as expected. Glyphs and symbols are not immediately intuitive. More clunky when it came to integrating with Outlook, Google contacts and calendar.

Advice to Others

IF you are a savvy software user, and you have per-user per-month fee to spend (which needs to be paid annually), then Insightly could be right for you. If you're looking to move into CRM/Project Management software for your small firm (1 or 2 users) and want to try before you buy, then plan to devote 6 - 18 hours on installation, tutorials and connectivity with other programs. Still, a pretty good deal IF you are savvy, patient and willing to spend the time. Remember, though, any CRM/Project Management software will require care, feeding and near constant use in order for it to work FOR you, rather than bog you down with data entry (which can seem to sap your energy and divert time away from more action-oriented tasks. That's going to be a challenge no matter which package you choose.

I really needed a way to synchronize all my events keep track of clients... Overall inslightly is okay and much better than nothing but I've had some problems.
The first thing that surprised me was that the web based Inslightly calendar does not synchronize with Inslightly app. I had a big problem composing an email and clicking out of it to get information from the link then coming back to it and seeing that it was gone. There was no draft folder and no way to preserve what I had written so I had to start all over again. Very frustrating. I am also repeatedly having to log back in which is time-consuming and frustrating.
On one occasion and I composed an email and sent it to my client only to find out that he received a blank email. Again, No drafts folder and no copy of the email I had composed, but I've watched it disappear.

Pros

I like being able to link events with clients.

Cons

I can't use the native contacts in Mac, I have to input new Contacts by hand. I would like to see you it synchronize better with calendar and other Apple related products. I also really don't like not being able to share calendars. My assistant can enter an event and I don't see it... What good is that?

Advice to Others

Get this if you have no budget but don't expected it to do everything you need.

I settled on Insightly for client management after quite a lot of research. My criteria was cost, ease of use and features. I consider myself computer/software illiterate so simplicity was also important. After watching a few of Insightly's tutorials I was able to set up a system that works well for my small catering business. Their customer support site is very helpful.

Advice to Others

Find someone who is using Insightly and have them help you set it up. Watch the tutorials. Don't pay someone to set it up for you or you'll have a hard time making changes on your own.

I run a small consulting firm in Washington, DC that handles general management, communications and event services for nonprofit clients. I use every CRM imaginable for my clients including Salesforce, Abila, etc. but when looking for a CRM for my own small business, Insightly has it covered. It's a month to month service that integrates with both QuickBooks and MailChimp - two of my most used apps - and allows me the space to cultivate a small business customer list with all the convenience of more expensive and comprehensive tools.

Pros

No long term commitment or contract
Lots of useful APIs
Very intuitive for even novice users
Offers project tracking
Reports available for each module

Cons

Might be helpful to have a better idea of their partners and what APIs are available, like how Salesforce has its own app section.

Advice to Others

If you have a limited budget but lots of old business cards on your desk, if you're still keeping your contacts in a spreadsheet or if you just need a simple solution for tracking your contacts and projects - Insightly is a great provider at a reasonable cost with no long term commitment.

As the administrator for a very small company that was looking for mainly a contact management system, I received much more. I am truly happy with my decision thus far as a result of the ease of use and value.

Had a hard time trying to receive the verification email while setting up the 14-day trial.

Our company had been looking for a good CRM software for a while. We tried multiple platforms and then came across Insightly. It is compatible with pirates Google email accounts and it was so easy to get started. So far loving it.

In general, the product is easy to learn and use. It has the potential to be great with just a few changes, but the programmers don't see the possibilities.

Pros

Great cost. Fairly powerful CRM system and reasonably intuitive to use.

Cons

Whenever you push events from your Google calendar to Insightly, the Insightly calendar makes it private with no display of time, so nobody else can see it. It just disappears for everyone else. Likewise, any event you put on Insightly marked private doesn't show on the calendar as busy. It just disappears for everyone else. So, this bug makes the calendar essentially useless for showing team member availability and for scheduling. It also prevents other scheduling app integrations from functioning properly.

Tasks are simply Events that don't have a start and end time. Events should act just like Tasks and be reported the same way. A simple solution is to scrap Events altogether and simply take the code used to create beginning and ending times on Events and apply that to Tasks as an option. The Task reports and all its functionality are great. Events is a little better, but generally poor. It's not needed if the features of Events are simply added to Tasks. This would make managing tasks and events in projects incredibly easy and much better than now. Right now, you have to use another program to manage simple workflows because this is so inadequate and inflexible. To fix this and make it far better only requires a couple of simple tweaks.

Project management is not great.

They haven't figured out the advantages of drag and drop.

Advice to Others

I would definitely consider it as a strong possibility for your CRM. If you don't have heavy team coordination or project management needs, it will work well. Otherwise, you will be frustrated.

After using many CRM systems from Salesforce, Zoho, Apptivo, Pipeline Deals, Pipedrive, Base CRM and more, Insightly is a 'breath of fresh air' (even though that is getting a bit stale lately - more on that shorty). Frankly, after looking at many of these systems, I was tempted to design and create my own system (I have been a software engineer for 30 years and own a software development firm as one of my companies). Yet I decided to give Insightly the last shot. It works great - almost the way I would have designed. There are some weaknesses as well, most of all the lack of the support teams response to multiple request of the same kind and promising future fixes that 'are just not coming'. That all said, Insightly is well rounded, has lots of integration options and works very well for most CRM needs, especially around customer service, contacting, tracking and task planing. Even light weight project management is included in 2 different forms - pipelines or more traditional but more complicated to use project management optionsl

Pros

* Great for sales cycles and customer service alike
* Useful Integrations
* Better User Interface than most (every tried Salesforce and couldn't find anything?)

Cons

A couple of Cons:
* Service - The guys and gals at Insightly need to learn to listen and pass information 'up the management chain'
* Task and Event Handling need improvement as reported by many clients
* Need fully functional 2-way sync with Google Calendar
* Need real workflow functionality instead of clunky Project Management (to their defense, lots of systems 'miss this one')

Advice to Others

Though there are some negative, I would say this is the best of the pack and relatively in-expensive for all you get. I would make looking at Insightly seriously a must for anybody wanting a flexible and easy to use CRM - that is from small to medium size businesses.

On a modest budget and with very limited knowledge of CRM software, I recently trailed SalesforceIQ to use as my first CRM software for my small skills training business where I handle client inquiries, registrations, invoicing via QB online and other case management activities. For salesforce to do what I wanted it to, I would have needed to go beyond the 'out-of-the-box' version which was way beyond my price range. I looked into Insightly which offers both client tracking and project management. I have been so happy with the ease-of-use of this software and the ways that I can customize my use of it with the smark project management aspects which I can link to contacts and leads easily to keep track of waitlists for upcoming training blocks. Although Insightly requires me to use a link when emailing clients outside of insightly to sync these correspondences (unlike Salesforce which does this automatically for you), I actually prefer this method which gives me an extra layer of assurance that my practices are following more stringent privacy standards - I also turned off the auto-search social profiles function to remain compliant with my privacy policies (no-one consented to that and I don't need to collect that info). I am still working on making the interface seamless for what I want it to do, but it is already saving me so much time and stress in keeping track of all my leads and no missing out on potential business. I love the email templates as well! Worth every penny!

I have been using this product for about 6 months. I am not all together sure how to best use this product. I am an individual user who does marketing for a small health education clinic.

Pros

I like the tutorials. Each time I view one, I learn a bit more.

Cons

The learning curve seems steep. I totally understand how to make the program function but I am not so sure how to make the product functional.

Advice to Others

I used insightly to get an initial push of emails out to about 500 people. Works well but has several glitches. For example, my company logo didn't show up at all in any of the emails that got sent out. Their analytics is also poor. There was no way to filter which emails had been read, who specifically opened them, and which link they specifically clicked on.

Recommendations

We use currently use Insightly to manage our contacts, notes and tasks. We consider these our basic, high priority items. Insightly handles these in a straightforward, easy to use and easy to implement manner. We also believe the learning curve is manageable and that Insightly is a cost effective choice for basic CRM. We use both the desktop and mobile applications of Insightly. We recognize that Insightly has additional functionality that we may decide to begin using in the future as our CRM efforts mature.

We investigated a number of CRM applications in our process of choosing Insightly. We did not find any glaring omissions or show stoppers with the Insightly application.

Recommendations

Determine your highest priority applications and evaluate the software to meet your specific needs. Many CRM applications may have a number of bells and whistles that are not highly used or needed. I suggest you try out both desktop and mobile applications because they can look and feel different to the users. A successful CRM launch will require user-friendly applications.

How easy it is to use. There is really no learning curve. When I am out of the office I feel like I have my clients file in the palm of my hand.

I would like to be able to add maybe up to 5 customize fields. So I could make actually folders such as Life insurance, Long term care, Annuities, legal docs etc. So I could just go to that folder and access last correspondence. I have learned that a detailed title helps but a folder would make it easier. The insurance business is moving towards agents being HIPPA compliant and hope that Insightly can someday say they are.

Recommendations

I am a little old fashion. I still like to see it on paper. Not anymore. With InSightly I feel like I have the clients file in the palm of my hand. All emails, complete client profile and every document that is in their paper file.
