Paylocity is a web-based human resources (HR) software solution suited to businesses of any size, across a variety of industries. Key features of this platform include payroll, core HR, benefits administration, time and labor and talent management. Paylocity is fully functional on mobile devices.

Paylocity’s payroll module includes custom reports, tax services and evaluation of compliance with the Affordable Care Act (ACA). With the pre-process register, users can preview, correct and verify employee paychecks before processing payroll. This module also includes payroll templates for new hires and data integration with third-party vendors.

Paylocity offers a self-service portal for employees, where they can access personal and company information. The core HR module includes over 100 reports, and users can write their own reports.

Paylocity is available only in the United States. Mobile apps are available for Android, iOS and Windows phones.

Ease of use for remote managers/departments
Reporting: Stock report library is fairly comprehensive and custom report writer works well to fill any specific needs
No additional charges for updates such as the ACA tracking and reporting system.

No integrated 401k/retirement module. This requires manual data entry unlike the ADP/MyKplan where everything is linked and managed almost entirely through the core P/R module as far as weekly/biweekly contributions.
The onboarding process was bumpy at best. The files needed from ADP (our former P/R processor) to proceed with the conversion were not spelled out as clearly as they should have been. Once we got up and running the experience improved.

Recommendations

Do your homework and make sure you have everything required in terms of data to make the conversion. make sure that you reveiew the reporting for various compliance requirements to be certain that you can easily get what you need without additional costs.

They have great options on there reporting, entry, and processing.

I feel the presenter could have been a bit more detailed in the explanations of the options. If he would have slowed down, pulled the reports or shown examples of the items rather that passing over some sections and stating; "you know what that would look like" I would have been more satisfied with the demo and what the software can do for me.

Recommendations

Ask questions about what the software can do, specific report parameters to be used.

There are wayyy too many limitation to the product. The program doesn't do what it was promised to do.

Recommendations

Make sure they really show you everything during your demo. The will claim the system has the capabilities for everything. Make them show you how/where.

It is relatively simple to use and someone does always answer the phone in a timely manner.

My account manager seems to never be available and I get different answers when I call the customer service line when I ask the exact same question. It seems like the employees don't know the product very well. Also I find their tax team to be difficult to work with. I also feel like the web time portal is a little problematic. There also doesn't seem to be a lot of communication between webtime and webpay.

Recommendations

I need to know what its like to when I, as a user, calls for customer support.

I really like the integration between WebTime and WebPay. I also like the cloud based system with auto updates.

WebTime is not a feature that is easily molded into what I would like to see and not see. My "wish" list continues with this program due to a lot of clitches in the system.

Recommendations

Take the time to demo the features offered. Know that not everything will work seamlessly nor without hiccups.

Web Pay and Web Benefits. I really like how the Web Benefits program performs for enrollment.

Web Time and the fact this is not one platform.

Web Time is a very limited program.

Cannot pull data from Web Time to Web Pay reports.

Recommendations

Enhance your Web Time options. You need more flexibility in how many things can be separated out. For example: You need more "buckets" to give more options of different pay.

Paylocity's software is user-friendly and easy to navigate. The portal has both the ability for the employee to make changes and print pay stubs, W-2's, etc . . .

Paylocity does not appear to have a good choice of standard reports. The ones they have do not totally satisfy what I am looking for in a standard report. For instance, I'd like to see what changes have been made on any given payroll processing date, compared to the prior pay period. There are several different reports you can run to figure out this information, however we have been working with Paylocity for months to create the exact report we need to feel comfortable auditing our transmittal.

Recommendations

Look at the canned reports. Choose a couple that you think you would use. Open the report and review the contents and how the report is presented. Is this what you would envision?

They seem to know what they are doing from a payroll provider aspect, but that's about all I can say that is positive.

Where do I start?? Their support is terrible. Constantly changing account manager, customer support doesn't even know their own product, and the user interface is horrible. Not intuitive at all.

Recommendations

Don't believe all the hype. Once the sales person exits you are on your own. Although I wasn't involved in the implementation at the two organizations I have worked at who use Paylocity, I can't believe how awful the set up was at both.

The customer support is great. Whenever I have a question or issue it gets resolved promptly with a simple call to the support line. The system is very user friendly for day to day HR management tasks.

The reporting system. Although Paylocity has numerous reporting capabilities, it is difficult to create a detailed report without a fair amount of trial and error... Also, to change a PTO or vacation plan is difficult because you cannot communicate directly with the team that handles the actual implementation.

Recommendations

Do a demo of the product and make sure whatever product is chosen that there is an option for continued customer support.

I really enjoy the simple interface, and the ability to capture all the information I need, and the customize-able screens. Employee access is easy and does not require anything from our part other than employer ID. The real time entry is a great benefit too.

Paylocity Web Pay is so easy. I love the fact I have access to this portal from anywhere. This option allows me to transmit payroll, run reports, update records from home, vacation, etc. Adding/deleting new earnings/deduction codes can be done by me. I do not need to get the approval from Paylocity to update my account settings. Employees can easily find their way around the portal, if used frequently. It's a slow learning process but eventually they embrace it. Managers have access to their team's information so instead of me providing the info they need, they will log into the portal and look for the info. Report writing is very simple. I am able to customize my own reports. I still export into Excel and format it, but overall, pulling the info I need is easy enough to do. There is a phone app for Paylocity, which is employee friendly! This is a great option if you're not in front of a computer to update personal info and submit time off requests. Reports live on the cloud, so no hard copies are provided when payroll is transmitted.

One thing I like least about this product is managing time off. We use a different system to track time and unfortunately the two systems do not talk to one another. We Pay does allow for me to keep into account the employee's time off to reflect their pay. Unfortunately, because of our industry, the time off submitted is always not so accurate so the system is set up to only track time off requests. I manually have to enter taken time - info based from extracting data from other system being used. I don't know if this system offers mass updates. I don't know if I can change a deduction amount across the board. For example, I had to increase each employee's medical premium by going into their records. It would have been nice if I had the ability to mass update all the employee's premiums based on specs. I would love it if I can edit a canned report. This option is not available.

Recommendations

Think about what you'll be using the system for (i.e. HRIS Management, payroll, report writing, recruiting tool, etc.). If you choose this product then please provide as much training to the employees. Help the employees embrace the product so they'll be on board will helping themselves to the info needed (in regards to their profile). This will alleviate the administrator from responding to numerous questions.
