TheraNest Software


 

TheraNest is a HIPAA and CMS-1500 compliant Web-based mental health solution used by solo practitioners, large mental health practices and nonprofit organizations. It is best suited for therapists, psychologists and social workers.

TheraNest offers electronic medical records (EMR) software with a mobile app for Android and iOS. It also includes a client portal, DSM/ICD codes, progress notes, treatment plans and discharge notes. Users can review and co-sign notes and build custom forms.

TheraNest’s billing features include the Physician Quality Reporting System (PQRS), insurance claims and ERA/EOB, superbills, credit card service, batch invoices and claims. Users can schedule appointment and sync them with Google and iCal.

The system also includes voice, text and email reminders. Users can generate reports, including payroll, staff billing and invoice reports. Unlimited document storage, unlimited support. 

TheraNest’s client portal, TheraBook, allows clients to schedule appointments, complete demographic information, enter insurance information and submit Intake Forms from within their own secure accounts. Everything entered in the client portal will sync to clients’ accounts in TheraNest.

TheraNest offers unlimited document storage and unlimited customer support, as well as iOS and Android apps.

I love that they are the most affordable product that I could find, offer custom form options, have amazing customer service. They are growing and seek out suggestions from users for updates to the program.

Likes Least

I would like more control over the custom features, be able to upload documents in more than one area of the software, and a specific countdown for different units used.

Recommendations

Make a list of the features that you need the most and take a few different demos with notes on your checklist to compare which would be the best for you.

The note-taking section and calendar function are straight forward and very easy to use. It's also reasonably priced.

The ledger is difficult to track and not intuitive. Our biggest complaint is that it handles deductibles poorly. If you take the deductible payment during the session [rather than collecting it after the claim is paid], and apply the payment, the system will not submit the claim, as it cannot submit a claim on what appears to be a zero balance.

Recommendations

Think about what you're using the product for - note-taking and calendar functions are far more useful than ongoing tracking of revenue.

The product is easy to use and has most of the basic features needed in a Practice Management software package. I was attracted to this product partly because of their pricing structure that is based on the number of clients and not the number of users. We employ a number of part-time therapists so this fit our business model much better than the majority of products that are priced based on the number of users.

The system does import ERAs but the insurance interface is not very reliable or robust. It does not import all of the EOB information as other products do and it is not integrated into the client ledger as well as it could be. Thus electronic payment benefit and payment information is not always accurate or complete and takes additional work to process payments. The reporting capability is also limited as there is no custom report feature. We end up using a lot of spreadsheets to manage insurance payments and issues and also having to use insurance portals such as Navinet and Provider Express which take a lot of extra time.

Recommendations

Determine the level of billing support that you will need. While this package accomplishes the basics of insurance billing is lacks many of the features that will allow efficient processing of a large number of claims.

There are many easy to use features in this software such as the ability to enter new clients and to post payments.

Likes Least

This software has yet to develop the ability to save the info for an inactive insurance coverage. The software also lacks the ability to post batch payments. Another function of the system that is lacking is the client responsibility portion of invoices, i.e. after an insurance company processes the claim.

Recommendations

I feel that this software would be good for an individual or small practice with one location. The features of this program do create a pretty decent workflow. The company's customer service is "ok", as they can be timely with responses but be prepared for many pre-written answers that do not answer the question you asked.

1) Clean interface and ease of use. TheraNest is exceptionally easy to learn, which works well for a training facility where therapists are coming and going every semester.
2) Excellent customer service. TheraNest's support team is available by phone or by a link through the TheraNest webpage. They usually get back to me within an hour for any questions I have.

The feature we've wanted most from TheraNest (which they don't yet have) is the ability to have clients electronically "sign" documents using their finger/stylus on an iPad. Currently, we have to print forms requiring client signatures (informed consent, release of information, etc.), have clients sign the paper copy, scan the copy back in, and drop it into one of the pre-set clinical document tabs in TheraNest.

The other point on our "wish list" is ease of transferring information out to Excel or SPSS for research. Currently, this can only be done with demographic information.

Recommendations

We run a couple and family therapy center with 10-20 practicing clinicians and 80-100 clients at any given time. We've appreciated how easy TheraNest is to learn and use.
