From the outset, WRS Health was designed to enable doctors to run their whole Practice Enterprise, not just electronic health records (EHR), on one platform.

WRS Health was one of the early leaders in the market for web-based electronic health records (EHRs). While there were a number of web-based practice management systems early on, Waiting Room Solutions was one of the first to deliver a true EHR on a web-based architecture. This early mover status has situated the company in an envious position, from the standpoint of EHR vendors that want to move to a web-based model with strong database and connectivity built in.

Market dynamics aside, 2013 WRS Health is a powerful system for EHR, medical billing, patient scheduling, order management, e-prescribing, image management, secure faxing, and disease management, among other capabilities. The product has enough breadth and depth that it has already achieved 2011-2012 ONC-ATCB Certification and CCHIT 2011 Certification. Providers using this system will be eligible for meaningful use incentives.

WRS Health serves roughly 35 specialties, with specific templates, functionality and workflows developed for each. The system also has specific CPT and ICD codes for each specialty. One unique aspect of the company is that the CEO, Dr. Larry Gordon, is a practicing physician. Because WRS has been designed by a practicing physician, it has led to the development of the system's very intuitive, logical workflow.

WRS Health is priced based on the number of providers in the organization and consists of a low monthly subscription fee. Prices include support and upgrades. However, buyers will want to request a detailed price quote as there are discounts available for multi-provider organizations and bundled services.

Adding complexity slowing it down

Relatively few clicks are needed, and it has a simple interface. It's fully web-based, so there is no need to maintain it. But as they are adding users and functionality, system response time (e.g. time between adding a diagnosis and screen refreshing) is getting longer, sometimes unbearably so.

Some simple functionality such as ordering lab panels is not implemented. Electronic medication refills cannot be automatically routed to office staff unless they login as a prescriber.

Many features are and afterthought, and their implementation has errors.

We have found them to be unhelpful. Their classic response to us has been that it cannot be done.

Recommendations

The system suffers from haphazard development. The priority of developers is to achieve MU2, ONC, etc. certification. This is at the expense of system response time, longer screen refresh time, and ease of use. Make sure that you demo the system online. Do not fall in the trap of the fully-integrated practice management system; it only works if you use other WRS services (e.g. billing). Otherwise, practice management is a messy collection of features provided by contractors. The system used to be inexpensive to implement, but we felt we paid the price later.

Compared to other EMRs which we looked at at, WRS has better methods of blending custom templates, multiple HPI, and easy-to-change ROS. It saves your favorite ICD9/ICD10 diagnoses into categories and can even save your favorite plans linked to your ICD9/ICD10 diagnosis codes. Also, you can view the entire Summary Page on the left-hand side of the screen while you write your Progress Note (WRS doesn't show this important ability in their demo videos but WRS's VP of Sales showed me that it can be done).

In addition, WRS can automatically link the Social History, Family History, Medication List, and Chronic Problem List into your Progress Note. This is an important feature because 50% of the EMR vendors require you to click each of these items individually in order to get them added into your note. As you know, if these items are reviewed and present in your progress note, this automatically increases your E/M billing code. Any lab orders that you order "in-house" using the WRS EMR automatically gets saved in billing so that you don't forget to charge for it.

Regarding WRS's ePrescribe, the SIG is automatically saved for you when you choose the same medication in the future. So, the SIG is blank the first time, but then it is already filled out for you in the future. Very few ePrescribe programs will autofill the SIG for your meds.

WRS' team did a really great job of leading me around their eMR system. In addition, this system has Dragon Speech Recognition software (if you like voice recording your progress notes instead of typing/clicking a lot) built in along with Android Touch Computer capabilities. I don't know about Mac/iPad, but since this system is web-based, it shouldn't be an issue. You might ask anyway if you are a Mac person.

Our OB/GYN practice, Comprehensive Women’s Healthcare is located in Grapevine, TX. We were founded in 1998, and we see about 100 patients a day.

We had been using WRS Health EMR. When our main biller resigned, we decided to outsource our billing to WRS Health Billing Services because they have expert billing knowledge. It was logical to have the company who designed the billing software perform the billing services.

Since we started using WRS Health Billing Services in July 2012, our revenue has increased. We have utmost confidence that the processes are working correctly. When you use in-house staff, you aren’t sure whether the employees are really knowledgeable.

Choosing WRS Health Billing Services helps us to make certain that reimbursement is in sync with contracted rates. Previously, our billing staffer was manually looking at the spreadsheets of the reimbursement of the contracted rates. The Eligibility Mismatch Report is built into the system, and that is fantastic.

WRS Health Billing Services has given us important information about our good/bad payers and those who may not be paying us accurately. One of our physicians didn’t have any confidence that the funds we were being paid was really a contracted rate. WRS Health Eligibility Mismatch Report and all of the Billing Services give him 100 percent assurance.

With WRS Health, it’s very easy to run reports on our in-office injections and procedures to glean which are profitable to do in the office vs. those that aren’t. For example, we stopped administering Depo Provera® birth control injections in the office and LEEP procedures for abnormal pap smears in the office. We started doing LEEP procedures in the hospital. The reimbursement was so low compared to our cost of actually performing it because we had to pay for many supplies.

WRS Health helped us see that because we were able to run reports by CPT code and look at the payers. It makes you more cognizant of your contracted rates.

WRS Health Billing Services has also helped our practice identify that Ablations and Essure Procedure are more profitable for us to do here than in the hospital. WRS Health has expert coding specialists who make sure that our doctors are coding more fully.

The advantages of WRS Health Monthly Billing Analysis Meetings cannot be underestimated. They show us where we fall short, what we are doing right, and what we can concentrate on. We are learning how we can improve to capture more revenue. They also point out if our denials are due to typos or certain health plans. We share that information with our employees so they can make improvements.

We’re also collecting more copays. We’re making certain that we collect the accurate copays and deductibles at the front desk. This gives us a better plan of action of the reports we need to run in order to follow that money whenever it reaches over 30 or over 60 days.

The burden of worrying about in-house billing staff calling in sick or taking a vacation has been lifted. We also don’t have to worry about providing continuing education or staying abreast of all the billing and coding.

Our doctors like having the access and control of their financial data that WRS Health Billings Services provides. The information is available 24/7.

We’ve been very satisfied with the input and communication we have from WRS Health. We can send e-tickets and email. I call the WRS Health staff by their names. It doesn’t feel like Billing Servings are offsite.

Finally, our doctors feel less stress because WRS Health Billing Services Team takes care of everything versus one person who works in-house. The WRS Health Billings Services Team knows how to run the system so that the physicians can concentrate on taking care of our patients.

In 1993, I founded Woman’s Total Health Care, a solo OB/GYN practice. The practice is located in Angleton, TX. I specialize in OB/GYN, as well as urgent care, and I also offer a suboxone treatment program. I treat about 30 patients daily. I was previously doing billing in-house. I switched to WRS Health Billing Services in June, 2013. Since then, my revenue has increased about 25 to 30 percent. When we did our billing in-house, we had denials that were caused by untimely filings and postings. The practice has fewer denials now.

We are also more profitable. We have money remaining after our bills are paid. I have learned from WRS Health Billing Services which of my payers are more profitable and which are not. For example, I offer suboxone treatment. One of the insurances does not reimburse very much for this, so these patients pay cash for this treatment.

WRS Health Billing Services also picks up on modifiers that we can easily miss. For instance, when I see a woman during a well exam, I may also treat her for a cold. WRS Health coding specialists are experts at catching modifiers that may have been missed, so that I get paid for both of the services that I rendered during that visit.

I don’t have to worry about money getting stolen from the practice or that mistakes have been made by my office and have gone unnoticed. WRS Health Billing Services enables me to have 24/7 control of my data. I can see my reports anytime and see what’s past due. I am also coding notes more fully, thanks to WRS Health Billing Services’ knowledgeable coding specialists. Having WRS Health Billing Services means that I also don’t have to worry about the cost of hiring and training an in-house biller or my billing coming to a halt if my biller calls in sick or goes on vacation for a week.

The WRS Health Billing Services Team provides information so that I can understand what improvements need to be made. It may seem simple, but if my staff enters a wrong insurance number, I don't get paid. Again, having the ability to have someone check eligibility means I will get paid. WRS Health Billing Team performs the difficult work. No other Billing Services offers such a complete service. I have fewer rejected claims because the Billing Team looks at each and every claim and they make certain that they are all accurate.

Optimal Health Physicians is a 13-year-old integrative internal medicine practice in Rockville, MD. When we started looking for our first EMR, we knew that we needed a way to create an accessible database for the purpose of analyzing treatment and therapies. We were seeking an EMR system that would enable us to gather data about our patient care. We wanted to find out what happens to a patient over a period of time. Most of the EHR systems are created to gather information for the purpose of coding and reimbursement.

After evaluating about 12 EMR firms, I choose WRS Health EMR. Our patients can enter their history information in the WRS Health Patient Portal. We can send requests to patients asking them to log in and fill out questionnaires or encouraging them to give us more information about how they are doing between their visits. We are experiencing a closer relationship with patients via WRS Health Patient Portal.

Physicians benefit from having a database. With WRS Health EMR I am able to get a 100% download of database files for every single element in the system. WRS Health EHR system is valuable because it will enable us to get the data to inform other physicians about what’s wrong with patients and how you can take care of them, as well as how to communicate with patients so that they are compliant with their medications. WRS Health EMR permits me to export all of my data from their servers.

Another advantage of WRS Health EMR is that it is web-based. We want to be able to work from any place, 24/7. WRS Health EMR is cloud-based, so it’s secure. It’s not necessary to back up several servers in order not to lose our patient data. Yet another advantage of WRS Health EMR is that the system offers e-prescribing and connectivity to large laboratories. These features were also on my must-have EMR wish list.

In addition, WRS Health EMR system is integrated with Dragon Naturally Speaking, which allows our physicians to dictate information that turns up as text.

I am the owner of Quality Express Clinic Family Practice in Texas. I previously used another EMR and didn’t have a good experience. When I started looking for a new EMR I asked for references from people who were using WRS Health's web-based EMR. Three of my colleagues were using WRS Health EMR, and they were very satisfied. I visited my colleagues’ clinics and viewed how WRS Health EMR works. The system is user-friendly. That’s what I wanted. The previous EMR I used was not user-friendly. It was very complex and time consuming. I wanted very much to cut my time using an EMR so I could devote more time to patients.

I really like the speed of WRS Health EMR. I never have to wait any length of time for things to load or download. It’s amazingly fast. The lab interface has also been very helpful. With WRS Health EMR I have the ability to create templates so that the EMR looks the way that I want it to look.

I had many billing issues with my previous EMR. WRS Health offers training, so from the beginning, I was sure that billing issues were not going to be a problem. WRS Health provides many choices for training. There is online training on the phone with an expert person in your field. A provider, who works at WRS Health taught me the EMR. A billing expert from WRS Health trained our biller. Our front office person receiving training from a front office staffer. That’s a major plus. There is also self-guided training available online. That is advantageous if you forget something. You also don’t have to call someone and wait for a call back. You can look at the module and learn. WRS Health Team is responsive to all of our questions and they take you through everything. This training experience exceeded the training that we had with our previous EMR.

Our practice workflow is smoother with WRS Health EHR. It enables me to concentrate on providing patient care. I don’t have to write things and that saves me a lot of time. WRS Health Family Practice templates are great. I only have to point and click. Instead of being tied up with the medical records and documenting everything, I am free to respond to more questions from patients, and that improves patient care.

My practice is called Rheumatology Associates of South Florida. I see 12 to 16 patients daily. I offer non-interventional pain management, including conservative measures to control pain, pain Rxs, muscle relaxants, and injections.

I evaluated several EMRs, including Epic and eClinicalWorks, before choosing WRS Health EMR. I learned about WRS Health EMR via a referral and I’ve been very pleased since.

WRS Health acommodated all of our requests to modify the template to suit my needs. The template is above any others that I’ve looked at. WRS Health is willing to alter things if you have suggestions.

For my practice, the Physical Examination is key. I was able to include joint anatomy, muscle anatomy and service anatomy (drawings) to the Physical Exam. This is unique to the system. The template I have is very complete. I needed my neurological template to have a motor responses and a sensory component.

I can modify my templates on the spot, and having that freedom is great. I can add any components under a category to my template. For instance, for muscular skeletal for head and neck, spine, pelvis, etc., I can open up the window and add different parts. For head and neck, I can add if there are trigger points. I can also add certain tests and discuss the post elements.

WRS Health Billing Team was very instrumental in speeding up my reimbursement. We previously relied on paper drops and mail. Now, when we code, we get guidance as to whether we are under-billing or over-billing. This is very beneficial. I can do the claims smoothly. When I see the patient, I submit the codes into the system on the procedure and system template. My staff pulls it up and they view that the form is populated. They ascertain that it is correct. They scrub the claim and submit it. I’m getting paid much more rapidly. My claim denials places us in the top 1%, which is above the national practice average.

WRS Health EMR e-prescribing helps patients get their medications quickly and has also helped me to attest for Meaningful Use government incentives. When I e-prescribe, that information is recorded. I’ve already been the recipient of the first MU payment.

WRS Health EMR Appointment Reminders and Scheduling as well as WRS Health Fax Queue enable my staff to be more efficient. The Fax Queue also helps us keep a record of faxes that have been sent.

Finally, WRS Health EMR is comprehensive and it is very easy to use. The WRS Health staff responds very quickly. I’m very pleased with the service.

I am the office manager at Family First Medical Clinic in Plaquemine, LA. Dr. Antonio Edwards started his solo family practice in a mobile unit. We built our current facility and moved into it in 2006 and now employ two medical assistants. Although we do see both children and adults, most of our patients are over 45 and experience problems such as COPD, diabetes, and high blood pressure.

Dr. Edward used an EHR at his previous practice, and he choose MEDTRON for our clinic. When I arrived, I realized the practice needed a more modern system.

We looked at seven EMR systems and talked to three EMR software firms before we selected WRS Health EMR. We wanted a simple, user-friendly EMR since our staff is not very computer savvy. We also wanted a reasonably priced system, and WRS Health EMR was affordable. One of the crucial features that impressed me was that WRS Health EMR allows us to bill electronically, to track payments, follow up, and post payments directly into the patient’s account so that we don’t have to go in and intervene manually.

When we did billing in-house we had trouble with the quality of reimbursement. The process wasn’t effective. We implemented WRS Health EHR in Fall 2010 and started using WRS Health Billing Services in Spring 2012. There were previously many outstanding claims. We are very pleased that WRS Health is bringing money into the practice.

WRS Health’s e-prescribing makes it very easy for the patients. They ask for a paper Rx, but we tell them that their Rx is already at their pharmacy. Dr. Edwards also treats patients at Baton Rouge General, so a web-based EMR is important. With WRS Health Billing Services, Dr. Edwards takes the sheet that the hospital gives him for the patient, we fax it to WRS Health, and our billing is complete.

WRS Health training modules and videos are great. Our staff can watch them if they have questions. If we ever have a problem, the WRS Health Team is responsive. You can go on the website, type in your question or issue, and within 24 hours your ticket gets assigned to someone. Within 48 hours, you have a solution.

Finally, certifications were vital in our EMR selection in order to qualify for Meaningful Use. We have applied for and received funds. WRS Health was instrumental in that process.

I highly recommend you evaluate WRS. We’re very pleased with our decision.

Park Medical Center is a family practice that was founded in 1972 in Orange Park, FL. We have 3 physicians and 12 administrative staffers and Medical Assistants who use the EMR. We evaluated several EMR systems before selecting Waiting Room Solutions. We have been using Waiting Room Solutions for three years.

One of the beneficial features of Waiting Room Solutions is the Billing Module and its auto-posting. It saves us a considerable amount of time. In fact, in ten minutes we accomplished what previously took an hour. Electronic filing facilitates a daily cash flow instead of on a weekly or twice weekly basis.

Having an EMR that is always accessible is a big advantage. This is especially critical if one of our three physicians is on call and is treating a patient that has been seen by the other physician.

Waiting Room Solutions e-prescribing capability is also an advantage to the practice and to our patients. Physicians can review medications before prescribing and all medications can be viewed before prescribing.

Finally, the flow of the medical information in the EMR enables the Medical Assistant to capture the patient’s medical history.

My practice, Southwest Sports and Spine, was founded in 2010. It is situated in Tucson, Arizona. I specialize in interventional pain. The number of patients I treat each week ranges anywhere from 80 to 100. I treat patients who are over 18 years of age who have sports injuries as well as worker comp injuries and automobile injuries. Many of my patients have osteoarthritis.

I was very impressed with the fact that WRS was created by a physician who can empathize with my challenges. I received MU funds and that was very helpful because I had many expenses starting a new practice.

I recommend WRS to my colleagues. I haven’t encountered any problems with the cloud-based system. Prior to opening my own practice, I used an EMR that was server-based. That system crashed and we couldn’t work for a day. With WRS web-based EMR I don’t have to worry about the system shutting down.

WRS also has Dragon Dictation integrated in the EMR which has been a huge benefit. It hastens my workflow. I don’t have to take work home with me. I’m able to do a faster and more complete exam and can complete everything when I’m in the office.

WRS cloud EMR is very easy to use and WRS offers training videos that you can view online. That made it very convenient for me to learn about the system.

I am an interventional radiologist. I was doing the billing until the Office Manager took over that responsibility. She was able to use WRS after I provided the training because the system is so easy to master. I don’t believe that with any other system she would have been able to handle the billing so effortlessly. The Office Manager finds it very easy to use WRS Billing Module. Based on the note, the system automatically populates the (CMS) 1500 claim form. WRS performs the work for you.

WRS provides alerts when you do your notes, informing you about any issues that may have arisen. It will supply the information for the CPT codes. This helps to keep the claim rejection rate low.

I am also very satisfied with the numerous reports that WRS generates. I can find out how my company is faring versus previous years. I get the information instantly. It’s crucial to see how you are doing financially versus previous years. Our A/R is very good and we’ve shown improvement.

WRS has reports that help us to keep track of claims that are pending and find out the reason why they are still unpaid. For example, whether it’s because the patient didn’t pay or the insurance company hasn’t paid yet.

Finally, we are very satisfied. WRS EMR works very well. WRS offers ease of use and it’s fast!
