I work in a private-practice facility with a specialty in vestibular rehab. I find that the documentation is not helpful for this specific population. For example, for oculomotor testing,there are not comment spaces after each test. More information is needed when assessing gaze holding nystagmus besides "abnormal, normal or not tested". I tend to write out all my testing in one of the comment sections.

Pros

I like being able to add different profiles. I like the articles that are sent.

Cons

It works great for orthopedics but is less helpful for specific populations such as vestibular or neuro.

Advice to Others

Great for treatment of orthopedics.

I have used WebPT at multiple jobs and have found it to be one of the best, if not the best documentation system that I have used.

Pros

Able to customize the layout, easy to navigate through, and scheduling patients is easy.

Cons

I have been using webPT over 3 years and am overall happy with the product. I am able to do my notes quickly but thoroughly everyday.

Pros

Easy of scheduling, entering patients and doing notes. Prevents errors with FLR reporting with Medicare patients. Able to track patients with lost patient logs.

Cons

Not able to separate out PTA statistics, all the numbers are done by who co-signs the document not the actual treating therapist. There is no way to pull stats on specific billing done by therapists or to separate billing by insurance.

When faxing notes the referring physicians self populates in the "fax to" line; it would be very helpful to be able to add other contacts to self populate (ie: case managers) so the appropriate people are always getting the notes.

For anyone looking for a Physical Therapy Documentation software, WebPT is a good option. I am still not convinced it is the best on the market for web based software, so I am still looking for better.

Pros

Keeps you compliant, built in document faxing, scheduler is designed well, web-based to work from anywhere.

Cons

Too much scrolling and clicking. Still takes about 30 minutes to actually type up an eval from start to finish; Fowsheets are not built into daily notes, adding yet another window you have to have open while treating; Flowsheets are difficult to use in timely fashion; Development team Not very welcoming to new ideas for improving efficiency; Customer service leaves me stuck on the phone for over 30-45 minutes every time we have an issue (which interferes with treatment time); Customer service reps admit there are flaws in the Physician referral/script/authorization design, but development team is not willing to help fix; This system overall is designed to prevent Autonomy. You CANNOT enter a patient into the system without a "referring physician," which limits your ability to properly document for direct access clients. The system FORCES you to pick a specific ONSET Month/Day and year or you can't finalize an eval (which we know most patients don't now an exact day) and your onset date cannot be more than 1 year (which prevents you from accurately documenting chronic pain onsets and old injuries that have been put off for some time.

Advice to Others

I would recommend looking around for other software before making WebPT your first choice. It is a good system, and will get the job done, but it has a lot of flaws we deal with on a daily basis.

It delivers as promised with regard to medical records and scheduling but falls short with its reports. I do a lot of our marketing and it is very difficult with multiple clinics to identify specific referral sources and trends. It is also very difficult to find productivity reports across call clinics separately.
If you have one clinic and no ptas than this product will perform very well for you. If you have PTAs and multiple clinics, it is very difficult to obtain reports that are meaningful.

If you have a singlw cliniic with no PTAs then this is a good product. If you have multiple clinics and a lot of PTAs then this will not be very good with regard to identifying trends amongst your workers and amongst your referral sources

WebPT is easy to use but is so specific to only PT so it makes it hard to use for other practitioners and hard to use in a multidisciplinary clinic. Not good for a cash clinic only insurance

Pros

Notes are detailed. Love that it is easy to customize evals within. schedule easy to use. Love how the notes look when you send them out, especially when you send re-exams.

Cons

Payments are tagged to specific cases, there is no way to keep track on non appointments on calendar (like a notes area would be nice), there is no way to put credits on an account. The itemized receipt does not include all the info needed for patients to get reimbursed (so we have to make a separate document). No way to set up recalls on patients within the system.

Advice to Others

Best if you are a PT clinic that takes insurance

Customer service is quick to respond and always as helpful as they can be.

I would like to see more reports from WebPT. Other EMRs are quite extensive in their reporting and analytics capabilities. Being such a large company, I would expect to see stronger reporting features.

This system is wonderful. We love it. It's detailed and can get a little tedious but is progressively improving.

Pros

A detailed, thorough system. User friendly, once you get used to where every thing is. Can be accessed anywhere which is huge, as people prefer different forms of documentation (phone, ipad, lap top, etc.)

Nice overall presentation when notes are done

Cons

Not geared as well for cash-only clinics regarding. Oftentimes we have patients pay for packages of sessions, and it's hard to divide the payments as they use up their sessions in terms of creating superbills for them. We have to manually input the charges each time, which is time consuming. Payments are located under particular cases, which is great, but a "full summary" of all payments would be appreciated so we can completely monitor, as we also have a chiropractor using the system and we will work together, treating the same patient in the same day. This makes payment tracking complicated sometimes when we have to look back. Also the software doesn't prepare superbills that can directly be sent to patients, so we end up having to manually create them ourselves too. We will store credit card numbers for patients who prefer it, and there isn't an easy way to do this either. This could all be better for the direction health care is going (out-of-network, cash only, etc.).

If there was a way to make the calendar more effective like adding daily or weekly notes to it, without it interfering with scheduling, or ways to distinguish various lunch/open/close times during the week, that would make things look more organized as well!

Creating customized HIPAA compliant email/intake forms, consent forms, or any general form that we upload and then send to people through webPT, where they can sign on computers and send back directly into their account would be AMAZING. Any way where they can make their profile with medical history would be great, like a portal.

I have used web PT For school to gain experience with EMR and I am currently using it on my final clinical internship as a student physical therapist. It has been much easier to navigate and utilize the software as a practicing clinician. I can at times be overwhelming but it is overall a solid program that is beneficial for outpatient physical therapy clinics.

It offers a lot of options for customizing evaluations and is fairly easy to navigate with minimal experience

At times it can be overwhelming because there is so many options.

I have found that webPT is very easy to use and provides many features that you can do especially create your own evals.

Pros

Creating evals and that the software takes care of the medicare needs which would have been very difficult otherwise.

Cons

Adding Insurance is a troublesome task as it asks for many information which cannot be found on the card at times.

The training and integration process has gone relatively smoothly. Easy to access notes and patient information. The system is somewhat intuitive but our staff wishes it wouldn't have so many required buttons in the initial evaluations. The therapists just want to narrate more info but buttons have to be clicked and then more options pop up that then need to be completed before finalizing the note.
But overall the office staff, billers, and therapists prefer the overall ease if this system to our previous one.

Very thorough lists and drop-downs for assessments, goal, writing, and therapy information.

Cons

Learning to use the product is done primarily through their on-line articles and webinars. I would like to have had more "live" training as well as increased 'demo-patients' to trial prior to using with live patients.

WebPt makes it easy to customize templates for specific diagnoses to be able to quickly find the information you want to enter. It takes some time to set this up, but overall the product is very intuitive to use and well worth the time and effort up front to save time in the long run.

Its easy to use for the most part. I like the lay out of it, as well as the fact that all options are on the left side of the screen when you log in.

Some of the case options are a bit confusing, also I don't really like how many options there are on the home screen with pending discharges and so forth.

Recommendations

Really explore all options when first using it. Make sure you really know how to use WebPT before entering any patient info in so you don't have problems in the future.
