Fund Accounting can be very complex, especially when Non-Profits try to utilize systems designed for businesses. Aplos Fund Accounting is a Web-based system designed specifically to serve the needs of nonprofits. Fund accounting is available on a standalone basis, or within a suite with integrated online donations, and form 990 filing. 

Aplos Accounting was designed to be simple to use, even for users without experience in bookkeeping. After creating a custom chart of accounts to ensure that income is used for the appropriate purpose, users can assign transactions imported directly from a bank. For organizations needing more advanced features, Aplos Accounting also has tools for manual transaction entries, invoicing and payment tracking, comparing spending to projected budget, Form 990 reports, and more.

Online contribution records will automatically post as transactions into Aplos Accounting. Aplos Donations will also allow users to track donors and donations by different metrics, issue giving statements, and receive online donations. Online donations only take a few steps to set up, and batches of donations can be entered into the system with only a few keystrokes. 

Aplos Fund Accounting and Donations suits many small non-profit organizations, including those servicing animal welfare, arts and cultural, churches or faith-based ministries and philanthropic foundations. National organizations can also provide networked financial software for multiple chapters or locations quickly and affordably. Support and training is included, and Aplos Software offers a free 15-day trial.

Their customer service. They will do whatever they can to make sure you totally understand the product. Also, if there are any issues, they will work around the clock to resolve it. The lead contact was very insightful; presented the product no only to myself, but to our board. Ensured that we got a great rate, and was still available at any time after the 'sale' was made.

Nothing, thus far. The only thing that I would like for it to do for the bank integration portion to be a little easier. The transactions importing has been giving me a little bit of grief, but again the customer service helps salvage this issue but working to make sure I can get things done.

This product took several things that we were doing separately and put them all together in one place. Accounting, credit card processing, year-end tax statements, donor communication, fund management. I have only been using the software about 6 months and they have already changed or updated several functions so I know they are constantly listening to users and making changes and improvements.

There is no function to create a deposit slip for the bank. I'm told they are working on it. Sometimes the navigation between functions is a little inconvenient. We had used quickbooks for many years and I like this product so much better for fund accounting.

Recommendations

Make good use of the free trial period. Ask questions--the support team is very helpful and open to suggestions.

When compare to all other this is the absolute best accounting for non profit. The donation management platform is worth it by itself. It a very crucial part in bringing in money to non profits and Aplos allows you to track all of the data.

Although this is a fully featured double-entry bookkeeping system, it is very easy for non-accountants to understand and use. It mostly avoids technical accounting terminology at both the input and reporting stages. The ability to link directly to a bank account saves a lot of time and makes bank reconciliation a breeze. This software is particularly useful to organisations who need to keep track of a number of different "funds". The support team respond quickly to any queries.

I would like more flexibility in reporting, in particular the ability to customize the layout of printed reports.

There customer service is phenomenal, they have multiple ways you can reach them.

It is not super user friendly, and can be kind of confusing. There have also been a few glitches with the way the system runs that have caused a few snags.

Make sure to take the tutorials, it was helpful when I had the time to look through them.

Aplos is surprisingly a really good platform, in comparison to the other accounting giants like quick-books. It was specially made for Non Profits!!!

I wish the contributions module had a feature where you could import contributions using a CSV file. Currently you have to manually input each contribution.

Recommendations

The dual accounting/donation module is exactly what we were looking for. So many other vendors offered a completely separate module and the costs were higher.

Aplos really makes our bookkeeping simple to use and efficient in its process. We've been using it for 5+ years now, and we've not had any issues with it. As they have built in new options as the years have progressed, we've taken advantage of some of them, and that's added to its value.

We would love for them to create a supplement that will create/complete a 990 tax form. I hear that's in the works, so we're looking forward to that.

Recommendations

We are a pretty simple 501c3, and Aplos is amazing, so if your nonprofit is more complex in nature, look at reviews from other organizations that may use more features than us. I'm sure you'll also hear how easy and efficient the product is.

It is affordable for every non-profit. It is very simple and basic to use, and they have great customer service. They saw a need for non-profits to have an easier way of doing their finances other than Quickbooks and met that need at a very affordable price, which is very important to non profits. Simplicity is important because often, the bookkeeper is a volunteer and does not have the experience required to use a cumbersome program like QuickBooks. I like that they allow you to use if free for a month first to try it out.
We have never experienced a time when we could not get on the Aplos website. I am in an accountant's office, and I love the fact that I can go online anytime to check on my client's progress with their transactions at no cost to us! This is the sign of a non-greedy company who is here to meet a need.

The reports available are good and basic, but maybe a few more reports would be helpful, like a cash flow report. Also, since this is a cloud-based program (only available for use over the internet), this may be a downside for some. Simply save all your monthly reports and transactions easily by downloading them into an Excel spreadsheet, and you have all your information on your computer hard drive.

Recommendations

Try it out totally risk-free! You will love the ease of use. It will fit in everyone's budget! I have been a church treasurer for 17 years, and I wish I had known about this program back when I started.
