Buildium is a Web-based property management solution that enables managers of residential and association properties to take complete control of every aspect of their business, including the rent, vacancy and maintenance cycles. 

Buildium streamlines management of the rent cycle with key features such as tenant and lease tracking, full general ledger accounting, automated rent and late fee reminders and on-demand reports. Additionally, rent collection can be automated; and property managers can receive online payments via Buildium’s tenant portal. 

Management of the vacancy cycle begins with syndicating vacancies to Buildium’s listing partners, including Zillow, Trulia and Craigslist, as well as Buildium’s own free marketing website. When applicants fill out Buildium’s customizable online rental applications, the information is saved instantly to the Buildium tenant database. Buildium also offers online tenant screening services for running background checks. 

Tenants and rental owners can submit requests online via Buildium’s tenant and owner portals. Property managers can turn these requests into work items and assign them to maintenance managers and staff using Buildium or Buildium’s mobile app. All requests are timestamped and include an option to attach photos.

Buildium’s tiered-pricing plans do not require a start-up fee or annual contract. A monthly subscription includes 24/7 support from a customer care team. Customers can submit support request tickets anytime or take advantage of extended phone support, available Monday through Friday from 9 a.m. to 8 p.m. EDT.

Simple to use, multi-platform. Residents have access to a portal, board members and personel have different levels of access.

Not flexible to customization when you need to include the use of different amenities not listed. There is no manner to have owners and renters profiles separete with the same unit number.

The software is easy to use, very user friendly, and they even have help articles and a toll free number to ask questions. Buildium listens to their customers and are constantly updating their system to reflect suggestions from REAL users! We use everything from tenant screening, to paying owners, paying vendors, running reports, accepting online rental payments, emailing form letters, etc. So nice that we have ONE program that does all that we need to be organized for our business.

Sometimes it takes a while for new features to be implemented. And you can only suggest 5 new features at a time. I'd like to have an open-ended amount of suggestions available.

I have been using Buildium for the past 6 years in property management. I love that the program is easy to use and offers an interface for both tenants and owners. I love all the different modules available - accounting, reports, tenant information, vendor information, owner information, etc. We are also able to screen tenants, upload documents, and pay directly from the program.

The product is very easy to use for the computer illiterate and they have excellent customer service when questions need answers.

It is still developing and it lacks some of the features I would like. However, they have improved on this front substantially in the past 4-years I have used the software.

Recommendations

Find something easy to use and scalable. I started with Yardi, which was antiquated, expensive and staled poorly. I still don't understand how to use their software and I got the feeling they couldn't care less about little ol me.

We are a small HOA and after 3 property managers that forgot us once we signed their contract we decided to self manage. This software was perfect for us. It allows us to have access to bank records, billing, payment records, Invoices, reports, sending mail and other communications to residents in one place, saving hours of time. And the resident portal is amazing as well. And the savings!!!. Using Buildium has saved us thousands.

They offer a free trail. Please take advantage of it. Once I started playing with the system I knew it would work for us.

I had just started working for a property owner and I researched various software products before requesting the he let me purchase Buildium and I'm so glad I did!! It's a great program! User friendly and great service and customer support from the staff at Buildium! I find that the Buildium software has everything I need and my tenants have had little to no issues switching over to this software. They can submit inquirie's and make rent payments online and it was a breeze to set-up!
The built in accounting also works great and there are a large amount of standard reports to choose from plus the ability to create custom reports.

We own and manage around 200 residential multifamily units. This product provides great features including double ledger accounting for your assets and tenancies. It is one of the best tools we reviewed and the most thorough for what landlords require. Their FAQ is informative and their technical support team is knowledgeable, courteous and very helpful. If there are features that do not yet meet my needs, the company, I'm certain, will work with me to find a solution.

The only thing slightly negative I have to say is that this product is not entirely intuitive and really requires you to become familiar with it by using it which everyone should do.

We have looked at quite a few options and tried them out for their trial periods and found them lacking in certain respects while Buildium offered a more robust solution. You get what you pay for often and I don't mind paying for a great product as I am doing here.

I enjoy using Buildium due to it's comprehensive coverage of all my daily property management reporting needs. I can print all the reports needed to satisfy the IRS and the Bureau of Real Estate as well as myself. I love using the app when I'm out and about. I never need to wonder if I've forgotten something as my tasks are all right there. I am able to link a photo to an issue and then to the solution and invoice--all connected! I can use multiple bank accounts and changing tenants is a step by step procedure. So cool! Also, when I had a learning curve issue--someone actually answered the phone and helped me out! That's service!

I can't change somethings that I'd like to do in a bulk manner. We incorporated and had to change all our banking accounts. I had to change the account property by property to the new trust account. However, this issue is unlikely to occur again so, eh, I just dealt with it. There is a learning curve (as there is to any good program) and I was occasionally frustrated, however, they do have good online guides and again, if needed, I can call.

Recommendations

Take advantage of the trial time. Spend several hours in your evaluation. I'm happy with my decision and am glad to have asked my questions beforehand.

We are more focused on commercial real estate so have switched to a different service. This was great for residential properties however for commercial there are better platforms that are more comprehensive. This is very individual tenant focused, but great at that.

make sure you know what you need within your own company. find out what are the most important aspects of accounting and leasing and rents for your company and make sure that software is able to provide that and makes it easy for you to obtain.

They are just OK when it comes to the management of single family homes, for small firms just getting started they might be an option. Overall if I know what I know today I would have never gone with this firm

Their financial reporting is a joke. We manage HOA's and I highly advise against using this firm as they lack proper financials. For example they have a "so called" aging delinquency report. It doe not work. We have spoken to their tech support and they agree the system is flawed. However, they make no effort to fix it. Try getting an Accounts receivable or accounts payable report , it does not exist. Ask their customer service for it and they will actually tell you to pull an income statement report. Somehow, they think that is the same thing. We have had two CPA's advise us that we should stop using this firm for HOA management. We are defiantly in the process of looking for another vendor.

Other issues: They use Forte as their ACH vendor for EFT payments. Their in software application process is a disaster and confuses everyone from Forte to their own customer service people.

There are tons of other "bug" type easy fixes though out their software. We bring it to their attention and nothing happens. imagine managing hundred of properties and needing to pull a budget for a specific property. You click on the drop down to find the property and guess what? You have to search though all the properties to try and find the one you want. Yet on other drop down menus in their system you can type the first letter of the property name and the properties starting with that letter pop up.

More fun: Try using their system to generate 1099s, there are limited filer options. You have to uncheck manually every vendor you don't want to 1099.

I am just scratching the surface on some of these issue but there are many more....

After posting this review yesterd our accoutning reached out to Buildium. Below is his email to me.

"Kayvon,

I spoke with Buildium this morning. They said Buildium does have an A/R and A/P detailed report but that my individual “user roll access” settings do not allow me to see the reports. They said I should speak to you about increasing my reporting access. Buildium’s “Transactional Report” is what I am now looking for.

While drafting this email, I just got another callback from Buildium (from Ashley)….and I asked about the Transactional Report. Ashley admitted it is the same as the general ledger report….and that Buildium does not have these very basic accounting reports. Ashley said he would submit a request to their software update area to see if they could update Buildium to include these reports….as he said other clients have requested them as well. Ashley has been telling people who need this report to create it themselves in excel after using the Transactional Report via manually offsetting every debit and credit to see what is left. Unbelievable! It would take hours to manually eliminate all offsetting debits and credits in both the A/R and A/P accounts.

I still would like to see what this Transactional Report looks like. Can my user access be increased?

This is another reason to switch to Quickbooks for your HOAs ….at year end."

Only consider using it if you never plan to manage more than 50 properties and you never plan to manage an HOA

We are sorry to hear that your experience with Support was not as helpful as you hoped.

Typically, we would not recommend that someone use the Income Statement as a way to check A/R or A/P. We will reiterate this to our Support agents. While Ashley is correct that the Transaction Detail by Account report will give you a way to view the transactions that are impacting A/R and A/P, that is not our first recommendation. For A/R, we have a very useful report called the Recurring Charges Report that shows the balance due for each Association Owner. That total will tie out to the A/R figure that you see on the Balance Sheet when run on an accrual basis. The Unpaid Bills report is a great way to track your A/P totals for each Association. That total should tie out to the Balance Sheet’s A/P total.

While the dropdown menu on our Budget vs. Actuals Report does vary slightly from other places in the app, you can still use the type of search you are talking about that makes finding one property/association in a long list much faster. Just click the dropdown menu and type in the first couple of letters in the property/association you are looking for and Buildium will filter that list for you.

We recognize that the Forte application process for customers managing HOAs was confusing in the past. However, we have recently made changes to the application process so that it is now much easier to understand. HOA management continues to be a major area of investment and focus for Buildium. We will be releasing some new HOA-specific features in the coming months.

Customer service is wonderful, even 18 months after we closed our property management division. An audit from the state RE Department required me to download some additional reports. The staff gave me temporary access to get them at no cost. Incredible.
