Insightly CRM provides small and midsized businesses with a way to manage projects and track contacts, communications, sales, projects, tasks and documents in a single platform. It is available via the Web and on mobile devices.

Designed to integrate with many popular applications, Insightly connects users to online applications such as Google Calendar, Gmail and Docs, Outlook 2013, MailChimp, Evernote, Box, Dropbox, QuickBooks Online, Xero, and more. Insightly’s dashboard provides real-time information via a task dashboard and opportunity reports. Insightly's Advanced Reports allow the creation of custom, tabular reports. Opportunity reports offer details such as the responsible user, pipeline and pipeline stage, close date, probability of winning and value.

Insightly also offers integrated project management functionality. Once a deal is closed, users can track and manage follow-up project commitments directly from within the CRM. The Insighly Sidebar also saves emails directly from Gmail, giving users access to the history of their conversations and allowing them to link all correspondence to projects and events.

Pros

Seems to be plenty of functionality. There is a lot of reporting features, you can find any name any time, whether it's a Lead or Contact.

Cons

I would like to see it pop up a calendar when I add a task to see if I'm colliding with another appt. Also, the app is not totally useless, but almost. I cannot send formatted emails from the mobile app. What good is it to get a lead when out of the office when you cannot send the proper response from your mobile device? Terrible. I know there are valued differences between Leads and Contacts, but to be honest I think it confuses the operator, me.

I would recommend finding a product that is more robust and has proper support. The investment of time in setting up any CRM system for your business means that you need to choose the right one from the start and with all of its technical glitches and lack of support, this is one the one i would recommend to anyone.

Pros

Relatively easy to use and covers most main functionality you would want in a basic CRM tool with a decent amount of integrations to common third party tools

Cons

Scratch beneath the surface of the functionality and you soon find that there are odd and annoying glitches in the way the functionality works and its not very intuitive. Also, some advertised functionality just doesn't work and support consists of email replied that just tell you they're working on the issue (I've had one for over 2 months and another for 6 weeks without resolution on pretty key functionality not working). Given the 'no refund' policy and unhelpful support it feels like a con.

Simple to download contact information into database and excellent data relation between contacts, leads and opportunities. Outlook add-in makes database tracking of emails virtually automatic.

Cons

Can't upgrade a single seat. We have multiple seats with several users needing only for database access that don't need full utility. it would be beneficial to be able to upgrade the high user seats to the next level of the program but the basic level is very functional and suits most needs.

Pros

I discovered Insighlty after demoing many other options. I have used other CRMs at previous jobs but did not need such an elaborate database for this new job. It was easy and quick to implement and covers the bases.

Cons

Insightly is missin ga few features. I wish some fields offered more customization, but for now, it is doing the trick. when I need more, I will just have to upgrade.

Easy to find videos on how to update/organize general sections. Everything is pretty self-explanatory so heavy training was not needed when I first joined the company using this CRM.

Cons

Slow and very unhelpful customer service. Extremely poor functionality, navigation, and organization. Many bugs.... Then a severe lack of help in fixing said bugs. There is no number to call, and if you need help you can only speak with a general customer support member by scheduling a call, and only after expressing dissatisfaction, you are never put in touch with the technical team. I don't have the time nor willingness to become Insightly's tester by constantly reporting new issues, which then are either slowly to never resolved. There have been so many issues since the March updates, our website and other tools don't function properly because fields were renamed. Renaming and deleting tags rarely works, or you have to do so a few times in order for it to stick. Writing notes or emails - you can't bold, italic, or cross out text nor backspace/delete normal (screenshots already provided). My manual labor has increased ridiculously, and frustrations rise every time a new bug is found since the old ones are still an issue. It's hard to create proper reports since contacts/opportunities are separate items. There is no one to call to walk you through something if needed. I understand the price is lower, but I don't feel my company gets what it pays for anymore thanks to all these issues. I'm an extremely frustrated user... who is losing customers and gaining a lot of work and headaches thanks to this CRM.

Linking emails to customer/event records is time consuming.

Seems to be geared toward "groups, projects, events". I am a salesperson, not a member of a project.

Pros

I like the mobile accessibility. And the integration with Panda Docs- however not a perfect solution. When making multiple quotes, each one is titled by the name of the template- not the doc name so you could look at an opprotuity and see 4 different quotes all with the exact same name.

Cons

To hard to quickly get to where I need to be. Too many screens for the same thing i.e. lead, contact, organization, opportunity. And separate notes for each category. Email seems unreliable.

Free version worth trying out, if you're on the fence.

Pros

The price point was great for those starting out and not looking to invest in a lot of money upfront - I've used this with a couple different organizations, and have been happy with it on the startup side.
It's fairly simple and intuitive to use - I love the tagging and cloud feature the most. Also, you can set alerts!
Interface is "pretty" and features don't feel overwhelming.

Cons

The Reports can't be customized as much as we'd like.
The simplicity is also it's weakness. It can have fairly basic features, and we've found that it's not robust enough for our organization as we've grown. It won't do everything you need (but it's hard to find a software that does!).

Insightly might offer the best bang for your buck when it comes to CRMs. The ease of use is great and the layout/design is very clean. I would mainly use the system for staying on top of tasks and project management. The only downside compared to other CRMs is the email function, which I found to be limited.

Pros

Easy to use, intuitive design, and the certain functions like the task list, calendar, and project management tools were top notch.

Cons

If you plan to do a lot of email marketing, this may not be the CRM for you. Email blasts were not really an option with Insightly.

I like the ability to sync with my Google. When I left the corporate world I missed my sync tools and had to piece together platforms that worked on a budget. This helped.

Pros

Customer service and training were good. This allows me to link contacts calendar with Google. Love it.

Cons

some of the type is too small on the screen. The Opportunity area does not work for me as I mainly use the Contacts and Project areas.

I highly recommend Insightly for small to medium sized businesses. I first got to know Insightly several years ago. Our company was established but was doing business all around the country off of spreadsheets! We needed a CRM. We looked at several other options (including SalesForce), but Insightly was right for us. I'm with a new company now and within two months of my hire we ditched Infusionsoft and went with Insightly. Transferring the data from one database to this new one was easy for a non-tech person to do. A good mobile app that goes anywhere with you. Good report generating functions. Great tutorials and videos. It doesn't have all the advanced bells and whistles that some of the big programs have, that's not what these businesses needed.

Pros

Easy to learn and use. Has plug ins that are very helpful, we use it with MailChimp and QuickBooks Online. Very affordable and has lots of functionality. It helps us keep track of all we need to get done.

Cons

It takes a while to learn some of the more advanced features. Plug ins could be more seamless, but that will come in time, I'm sure!

Advice to Others

If you are a sole proprietorship or a start-up, get Insightly and get your stuff organized right from the start. It's super affordable for anyone on a budget. If you're a small to medium sized business that doesn't have a CRM or is underutilizing your CRM, consider moving to Insightly. It will be easy for all of your team to use, and when you become fabulously successful, it can grow with you. I've had no regrets with Insightly!

Insightly was easy to use. Of all the CRM software I have tried, this one was the most straightforward. I started on the free plan and shifted to the business plan with some nice feature upgrades.

Pros

Price. Insightly has a great free option and business options a just over ten dollars a month. Simplicity. Insightly was among the most user-friendly CRM programs I have experienced.

Cons

Reporting. Insightly does not offer the greatest range of report customization.

Advice to Others

If you are looking for a simple and very user-friendly program at a wonderful price, the Insightly is a great option.

I work for a small nonprofit and we went through many trials of software before we finally found Insightly. I would highly recommend this, especially with the app! It makes keeping track of everything and all your contacts a breeze.

Pros

It is very simple to use and keep track of tasks, contacts, organizations, calendars and so much more super easy. I love the app because I can update on the spot after a business meeting or phone call!

Cons

I haven't found a way to sync with outlook yet and I haven't found how to keep running notes with a time signature.

Advice to Others

I found this to be too complicated and time-consuming to utilize with other software. Since our major software is for invoicing and processing payments the Inslightly program just did stack up to our expectations.

Pros

Honestly, this was the first program we tried to do a TEST on our media list and CRM activites.

I could never get past the 1st step not user-friendly and Insightly didn't offer personal tech support not a good thing when most other programs we tried after trying Insightly did work

I came across Insightly looking for a Project Tracking Tool that integrates well with Quickbooks. Most of its features are free for up to two users. We use it for Resume Management, Proposal Management, and HR functions as well as all of the customer management. When we get more employees I would not hesitate for a second to pay for a full subscription. They have also improved on their role base access controls so you can limit to who can see what.

Pros

The ease of use and integration with Google and Quickbooks. The reports are also pretty cool and easy to use.

Cons

Nothing so far!

Advice to Others

We were disorganized across a few methods of tracking individuals who engaged with our work. This helped us to centralize the information, and to function better as a staff. We did not need to re-invent the wheel with each new contact or program.

Pros

The ease of use means a short learning curve when introducing it to new staff members. I specifically like the integration with Gmail to be able to add relevant connections from email with one click.
Projects are a great way to track contacts and add comments and attachments to have all the relevant history of a specific project in one place.

Cons

It is very sales driven, and works for that capacity. I was using it as a non-profit, tracking volunteers and donors, and so I needed to "back door" some of the features to work for my uses.
I wish the tagging features had sub-tags to help sort a bit better without having so many top level groups of tags.

What I wanted to do would be more work in Insightly, but for a lot of businesses, this one is it.

Pros

Insightly is a great contender in the small business CRM market. I had looked at many others (there are a TON of CRM out there), basing my criteria on integration with accounting software, ease of managing client information, and ease of managing client projects. Unfortunately, none of the CRM I looked at has strong integration into the accounting software that I ultimately went with. Insightly seems to have some great automation to help out with managing projects, but where it got beat out was the managing of client information. Since a lot of my business is conducted through social media, another software beat it in ease of integration with those applications.

Cons

As with some of my other reviews, I don't find much not to like with Insightly. It does what it does very well, it just isn't as integrated into social media as some of it's competitors. If I were doing less prospecting and research on clients- such as if I had a business where people were coming to me to get something made or repaired, then Insightly would be the winner. As it is, I spend most of my day finding prospects to put in the pipeline, and that would be more work with this product.

Pros

The best part of it is the integrations. The apps you can integrate with are perfect for the operations of a sales team, or any team! We used it with the staff at our church and it worked great! we had the free version for couple of years now until we upgraded. Truly it is a great app. Also it syncs with the iPhone app.
This is 100% recommended if you use Google suite.

Cons

The only Con is the price. For a small company maybe is ok with a few users. But medium companies maybe will struggle with that price per user. But if your sales can take it in, no problem. You have to really get all that you can get from the app.

Affordability is the name of the game. Also, the simplicity of the software makes it easy to train business owners and clients on utilizing the system (very intuitive for small CRM needs). Integration with gmail is a great feature for this audience as well.

Pros

I really like Insightly as a budget option CRM for small businesses, and it's features have really grown over the years.

The pros:

Pricing - free option, can't beat that - the free option is good for up to 2 users, and 2500 contacts.

Very nice integration with Gmail and Chrome, that allows for a decent project management system to go.

Slack and Mailchimp integration for paid plans.

Segmentation and workflows for certain paid level plans.

It's definitely worth a look for smaller businesses.

Cons

Its simplicity is its drawback. For some, it will be too simple and too basic for more robust CRM needs.

This application is great at allowing me to manage a diverse range of tasks within my small business. The mobile and web applications are similar enough to make the transition between the two quite easy. I encourage many small businesses to leverage this application.

Cons

Some of the email tracking features are difficult enough that it's sometimes difficult to justify the effort to utilize them. Some predictive selection functionality would be a good way to address this.

The ability to access my entire CRM through my smart phone.

Pros

Mobile capability is excellent. Great value for the money. Wonderful ability to track projects and open opportunities. And produce reports.

Cons

Mobile app lags a bit. Also the interaction with the Phone application on the iPhone could function smoother. You have to push three different buttons in order to make a phone call through the application.

I hadn't even started when I opened what I thought was a new app - only to have a whole slew of contacts, projects, tasks etc - flood what was a new account.
On top of this, since I used a gmail - now Insightly demands to have access to my accounts before getting into my gmail which has screwed up my workflow - and I hadn't even STARTED using the program.

Support is horrendous. They constantly make excuses and blame the end users.

They have serious server issues yet will not admit it. The site is ridiculously slow most of the time.

A new excuse they've started to use is that since they're a "startup" (they're not) they have limited resources.

They promise features that take forever to see the light of day and most will never be developed.

We switched to Zoho and couldn't be happier.

The price point and ability in this software is increadible. This is a very complete CRM

Pros

I like how robust this software is, its very complete woth pipelines lead managment. Round robin lead distribution is nice. Automation tools give you anlot of flexibility without having to rely on outside integrations like zapier. Zapier integration works nicely though it can do a lot.

Cons

the lead distribution is awesome, but only allows for round robin distribution of leads, it would be nice to see that change to some sort of ratio like 1:2, that sort of thing.

Very easy to get up and running for a small team. The implementation is simple and straightforward and doesn't require any deep technical knowledge. Screens are clean and easy to navigate.

Cons

Not the deepest functionality but we're also going between the free and most basic paid version. I'm sure the options expand as you go up in the service but at the very baseline it's pretty bare bones in what can be done. Overall it accomplishes what a basic CRM should do but, and rightfully so, as soon as you want a little more than basic functions you will be required to pay to upgrade.

It is very easy to use. I self taught myself how to use it within a few days. I like the ability to link the CRM to your emails so that correspondence with clients is automatically added to their profile.

Cons

There really isn't anything I don't like. Perhaps the fact that you can't have groups of clients, but rather tags can get a little cumbersome.

Pros

This is my CRM, plus I can track leads, property inventory, offers & contract to close using completely customizable pipelines. I can set reminders to be emailed to me. Tasks can be generated automatically. Files & notes can be added, so everything concerning a property is easily accessible. Plus, multiple users can have access.

Cons

Once you set it up, it's very user friendly but it does take a small time commitment to customize it. It's worth the set up time because once it's in place, it's a time saver.

Pros

Easy to use with a manageable learning curve. My wife and business partner who is not very technologically savvy was able to learn the core features very quickly. Excellent customer support and database of tutorial videos. Excellent integration with Gmail allowing one to seamlessly import emails into Insightly. Intuitive layout.

Cons

You have to save a profile that you are creating in order to add an image of the contact. Makes for an added step that when adding multiple contacts can take up a significant amount of time.

Pros

It's pretty simple to get started. The concepts are relatively straightforward and the interface is smooth, so getting your contacts entered (or even uploaded) is easy.

Cons

The icons can make differentiating between leads and contacts confusing. Maybe it's just me, and my lack of a sales background, but I frequently find myself incorrectly entering leads under contacts and vice versa.
