Kareo is a Web-based EHR, medical billing, and practice management used by thousands of physicians across the United States. This system suits small practices and billing companies. With Kareo, practices can schedule patients, confirm insurance, manage delinquent accounts and the collections process, store patient documents, develop customized reports and more.

I did research on a bunch of different EHR's and this one was the most user friendly and had the easiest billing program.

Pros

it is very user friendly. the billing function has a checklist that allows easy management of your billing. the website feature is also an added plus.

Cons

the videos for training are very basic. I spent a little time just messing around on the website setting up my website and when I went to take the training online, it was basically a review.

Ease of use, very simple and intuitive. Customer service was good at the beginning, but now impossible to reach.

Cons

Customer support almost impossible to reach, I sometimes wonder if they just have people in sales looping more people onboard like a Ponzi scheme. It's almost March and I can't get any answers as to why our "Trizetto migration" has not been done, and enrollments keeps changing the date. Meanwhile, we have barely received any collections since November.

You have to enter the payers, their addresses, and all the info for the entire billing infrastructure as well as the particular patient's info. Then, it fails and you need to be watching each particular claim to find out if there was rejections or if the money isn't flowing. Is thousands of dollars lost worth a low price?

seemlessly integrates with Practice Fusion. There is no up front cost. really the positives are hard to write

Didn't send claims to medical assistance then when finally getting through to them they said : 1) it was my 99213 code ; then 2) medicare did it and 3) everyone else but them

I really appreciate the user-friendly function of the software. The platform is easy to move between and offers several great features that you don't usually see in this price point.

I would like to see more customization on the day to day reporting functions from the EHR platform. They have a robust billing platform that can generate what I need, but some of the reports would be helpful inside the EHR platform as well.

Sales people tell you this softeware does it all basically. You’re told you have their hands on support, but not the case.

Cons

Not what you are sold. You HAVE to build all these different templates to accommodate your practice. NO transparency. Finger pointing when you have an issue. So many different departments so that you are left confused as to the purpose of your call. No access to clearinghouse because they know you’ll figure things out on your own! No access to a corporate office email or complaint line!

I am generally satisfied, as I do not think another program at my price point would offer the features and flexibility I was seeking. This program has its quirks, but is very functional. Once I am more familiar with the program, I may feel even more favorably about it.

Pros

Flexible software which combines free-text with templates, allowing for a more individualized progress note. Cost effective for a solo-practitioner, with the required features of scheduling, billing, EHR, electronic prescribing (including controlled substances), and Patient Portal. Customer support for migration from other systems and coaching for success has been plentiful and quite helpful.

Cons

Documentation does require a lot of mouse clicks. The billing component is not particularly intuitive and also requires multiple steps to accomplish what should be fairly simple. Scheduling also has many mouse clicks and is more complex than it should be. The billing platform and the EHR are not the same, and they do not always synchronize with each other, leading to duplicate work.

Worst EHR ever

What bothers me the most is that I have cancelled it but they cannot even provide my patients records. Out of the some thousand patients I have, they are only able to extract a few hundred patients. Now the accounting department wants me to pay to have access to my patients record even though they cannot provide data to extract all my patients. I have paid my new EHR to migrate my data but Kareo was not able to provide all the data. All they care about is money.

Please save yourself the ordeal and look for a different EHR. Kareo is useless

Cons

I used Kareo for a few months after my billing company recommended it because they are familiar with the PM but it turned out a disaster in every respect.
1. Horrible templates
2. Eprescribing sometimes works and sometimes it doesn’t
3. Customer service is non-existence
4. Very expensive

The program does provide safety over diversion of medication. Easy to prescribe most medication but not narcotics

Difficult to prescribe narcotics with secondary page and have to prescribe one item at a time. Also the emr does not keep account of prescribed medicine over lengthy period of time

Pros

Easy to use and navigate. Writing and sending electronic prescriptions is a snap.
Creating new charts is very easy

Cons

Which I could use the space bar to insert shortcuts. Editing shortcuts is cumbersome. Making new templates is very complicated. No letters included.

Also autosave function was not there. If you left the EMR, or switched patient, went to a different task of function went then all your work that you have put in would disappear

Worst Customer Service I have EVER experienced. Truly. Used over 8 different EHRs since residency, never experienced such a disaster.

Awful, I'm actually quite easy to please if a company does their part. I have done all their legwork, paid up front, still have no refill requests being submitted from pharmacies and no e-lab because no one ever bothered to instruct me to separately submit a new account with the labs. They only "discovered" this 3 months after the fact, when I demanded to talk to a manager. And then they sent me an automated enrollment email that should have been sent Day One. It's is a blackhole abyss of your time. Save your time- as doctors, it is much more valuable than doing the job, enrollments assistant that can't- and won't- do their job.

Pros

The billing reports are detailed and efficient. Unfortunately, the biggest factor- A/R accounts- is completely skewed if you take insurance. They ONLY compute an A/R report based on your listed self pay rates...so you get a completely unusable number in delinquent collections that really doesn't mean much.
Otherwise, it is easy to see your collections for the month, amount cash, credit, check, insurance payor. That's about the only positive thing I have to say.

Cons

I paid a year up front from a smooth salesman and to this date, 3 months after paying my first year, am not receiving any refill requests from pharmacies. I have spent COUNTLESS hours communicating with them- they have instructed ME to call SureScripts, call Quest, call LabSoft. After an hour on the phone, the operator at SureScripts (who is the e-scribing integrated PARTNER with Kareo) told me she had no clue why I was calling her as every loose end remained on Kareo's part. I told this to my "coach," her manager, the manager of enrollments and they continuously redirect me back to call SureScripts- because they can't figure out why I am not receiving any requests from pharmacies. I talked to a manager who had been specifically assigned to my account due to the nightmare thus far (in addition to no refill requests, I also have ZERO e-lab prescribing) he told me he would be the only person communicating with me directly due to the run around. The same day- (SERIOUSLY)- another person from enrollments called me after she had talked to the manager to call and tell me that the SureScripts had been denied, but couldn't tell me why, when it was submitted...and then couldn't confirm it was even submitted. So I'm still paying for an additional EHR so I can get refill requests. It is insanity. I can't even begin to express my frustration.
Also, when you send a portal message, the patient has no clue. They don't send an email as a notification to login to the portal to view a new message. When I brought this up to my success coach, she told me to train my patients to login every single day- in the rare case they may have a message to view...You have got to be kidding me.

I do not like when you have to correct anything that was posted. It will make you reverse every payment that was posted after the payment that needs to be corrected.

The ease of use was initially good for my purposes (a small acupuncture practice) but unfortunately the EHR went from free to $150 a month which is not sustainable.

Cons

This was initially a good product for me but the price is simply way too high. I am now using Unified Practice the EHR AND Practice Management Software combined with the ability to add billing for a much smaller fee. I cannot recommend Kareo to small medical practices. The price is simply too high.

Electronic billing.

Pros

Automated text message reminders sent to patients when they work are helpful. The software automatically posts good reviews to multiple websites.

Cons

Separate EHR and billing programs. Nowhere on an eval or POC for a physician to sign and date, ( have to hand draw a line, looks unprofessional). Need to enter a patient's referring physician every time on the billing sheet, it doesn't automatically transfer from the demographic data. Manually have to fill in an authorization on to the billing sheet from the billing program (requires remembering which patients have limited visits or dates) for every encounter. Customer services takes weeks to correct a problem. One issue with a template took 6 months!!

It was a great system for a small clinic as I have experience with Epic as well. This software made my job easier as a scribe as we no longer need to use paper and pen.

Pros

I think , billers must have created this tool. The integration with the clearing house is fabulous. We can track claims and work rejections/denials immediately.

Cons

Its disappointing to admit that the support and troubleshooting was not that great. I have had many times where I have had to get with Kareo support for some system glitches and errors. It slowed down my work as a scribe.

Literally, none other than the fact that its cloud/web based.

Pros

It looks pretty...especially on the clinical side. They have INCREDIBLE SALES PEOPLE who will make you think Kareo software and everything else about the company is GREAT.

Cons

Support is horrible and its very hard to get anyone that you can understand. Even if you can understand, they don't know billing or the software and seem to just be working off of some script Kareo has put together for them. The success coaches literally just send links to the online help like you haven't already read that crap and were unable to find the answer yourself.....if the answer were actually there, but it isn't. Very hard to see what patient payments are for if a parent of a child pays because it only shows the cardholders name. Very difficult to make payments. You have to go to 30 different places to see one patient's account. I really do not like this software at all, but I really don't have achoice in the matter as my provider likes the clinical side of things.

fairly intuitive EHR. Really this is the only benefit. I started using this when it was free, and thats about what it is worth. Very little functionality. Basically no support.

Cons

They are not fully certified for meaningful use as advertised. They have not kept up with this lately. Customer support has gotten worse despite charging more and more. NOw they just email you support articles and charge you for "expert guidance". EHR is clunky, a lot of bugs. Notes often don't save. CHange pricing without notice!

Pros

It connects with Webpt so providers can create the visits and send to Kareo. The no response feature is great to see what hasn't paid in a time frame you pick. When creating statements, it allows you to post payments and recalculate statements before sending. Customer support is always helpful

Cons

The auto post feature on secondaries, post a duplicate write off amount, creating a false credit. Encounters and claims are separate. If you want to change something on a claim you have to find the encounter first. Set up is lengthy but Kareo helps

From Kareo: no significant benefit, mainly frustration.
From your program to review Kareo: this was easy, helpful and productive. You know how to keep a person on-point.

Pros

Initially, the electronic software (EHR) was free, which allowed considerable forgiveness of the product. I initially appreciated the technical support from people who cared about their product and service. Unfortunately, the most common replies to questions from I.T. were apologies for not being able to provide what customers wanted and needed the most, see below.

Cons

1. Creating progress notes frustrating. Must save notes before changing screens, otherwise all information LOST. No auto-save. Saving data prior to change in screen, must save and CLOSE the document. Multiple steps to re-open again. Always inefficient.
2. Doctorbase is an "answering device for providers" to provide caller's phone number. The glitch for NEW callers: NO NAME provided, no message recorded. 10-15 "unknown" callers by end of day: 1/2 -3/4 were salesmen or bankers wanting to give loans.
3. When I changed companies, unable to transfer data in bulk. Had to transfer every patient individually. Other companies ALL had ability for bulk transfer. Would have to transfer emails individually, all 15,000.
4. Limited & unsophisticated ability to create progress notes to limit key strokes.
5. Requesting program upgrades: infrequent, rarely helpful, never quick or responsive even for minor change requests.
6. Initial support staff NEVER heard from again. I had to sort out problems by trial and error . I had 10 years prior experience in sophisticated programs before this disaster.
7. This is only a few of the problems I had before leaving. 6 months later, I received a call from Kareo asking how I would like to improve my experience & upgrade the system. They apparently did not know I was long gone.
8. Working with pharmacies never smooth or easy.
9. Many more issues, unfortunately, that I have suppressed.

Newer use than our old one but not what our intentions and not user friendly, aesthetics could be better and better synchronization with the practice management

Pros

The scheduler is very helpful, I like that we can place a color coordination. I also like that you can view it when you hoover your mouse over it.

Cons

The view settings, you can not adjust your views. Reports are hard to set up and customize even with the Excel Ad-In.

Fast smother payments from insurances

Pros

What I like most is the ease from moving from one area to another without having to close everything down and reopen it.

Cons

There needs to be a better way to do patient statements. Right now I have to remember who owes what and when to send them. There needs to be something to just click on and print all patients due.

It runs my office!

Pros

Easy to institute and learn how to use. Helps integrate website promotion as well. Cloud-based so it can be accessed from anywhere.

Cons

Takes a long time for bugs to be fixed after having reported them. This is pretty annoying, As they should be able to institute changes relatively quickly.

I cannot honestly say that has given up much benefit = perhaps more options for reports.

Pros

lots of options in reports, but not easy to figure out. colors of screens are easy on the eyes. no other good comments.

Cons

Poor training. poor customer service. errors that I do not get answers on. Does not pull in appointment code & ending date of service, using Care360 for EMR. Pulling up info - not enough info shows. No place to make recommendations (like when pulling up the list of "encounters", which insurance is it). Too many steps to find the patient balance, why is it not on the first patient screen. Also, copay, have to add an extra step in to find copay for insurance unless the patient has a card. Difficult to figure out what needs to be fixed on denials. No place to put the reason the patient is coming in that will cross over. So an "office visit" for any reason, we make a note and then have our staff print that day's appointments - or flip between systems. I have over 30 years experience, the sixth system I have been on, and I am NOT happy.
