WebPT Software


 

WebPT is a cloud-based, multi-product platform for outpatient physical, occupational and speech therapy clinics. At its core, WebPT is an electronic medical records (EMR) system that enables therapists to produce and store patient documentation as well as transmit medical records via fax or a HIPAA-compliant portal.

In addition to documentation, the EMR, which maintains a 99.99% uptime rate, includes practice insight reporting, customizable evaluation templates and compliance safeguards. WebPT customers can also add patient scheduling, automated appointment reminders, file storage, outcomes tracking and a home exercise program within the core product. The WebPT EMR also integrates with a variety of electronic health record (EHR) platforms.

Additionally, WebPT offers practice management solutions, like patient engagement and relationship management tools, an online continuing education portal, revenue cycle management services and multiple billing integrations.

The company launched in 2008, and it’s headquartered in Phoenix, Arizona.

WebPT is very user friendly. All new hires pick up the program fairly quickly - both administrative personnel and Physical Therapists. WebPT appointments are color coded which is extremely helpful for scheduling. There are several reports that we use frequently in our office - payment reports, Medicare cap reports, billing reports, etc. Patient accounts hold everything that our office needs: insurance details, prescription details, authorization details, and a place to scan documents.

Cons

Our biggest con with WebPT is that there is no excellent way to make sure that our patients do not get scheduled or seen past their authorization, visit, or prescription limit. There is a dashboard but we don't find that it works well nor is it efficient. Many patients don't show up on the report in the amount of time that we need to get authorization. We wish that WebPt would flag our front desk if they are scheduling an appointment beyond a limit that we have set up.

Web Pt is intuitive and easy to use. It has exactly what we need without a lot of extra stuff that we don't. The analytics help us to know how our practice is really performing.

Cons

Web PT partners with Therabill for billing. It would be better if the billing was included in Web PT. Therabill is not as user friendly.

WebPT allows to keep all the documents together with facility of eDocs where scripts and all other documents can be scanned in to make a folder. It also allows to fax documents without need to download.

Cons

Customer Service: very poor, mainly requires you to email them and then wait for their mercy for them to get in touch with you. It can take a week to 2 to resolve issues as you cannot speak to a person directly. Sometimes you do get lucky if someone actually answers the phone.
Scheduling: The service is average, it does not count the number of sessions you have used for the patient. So you cannot just function just using scheduling, you will have to go back to documents to see how many sessions patient was authorized and how many they have used.
System failure: Usually their downtimes/maintainence are off work hours but in the last 2 years of using WebPT when system has been down during regular working hours, they have failed to notify you in advance and all of a sudden you are working on notes and scheduling the system just goes off. Also there is no backup or does not even let you access schedule to call patients, leaving you practically useless and crippled.

I like that there is exercises that you can search right on the site without going from another source.

Cons

There is way more information and choices than there needs to be. For a simpler case, the documentation is way too extensive for what is actually needed. It would be simpler if a lot of the uncommonly used choices were either taken out altogether or put in a different place to find. At first, it seemed pretty simple, but once I started to get more in depth in the site it was confusing to navigate and find exactly what you are looking for.

The product is very intuitive and streamlined. What you need is easily accessible for everyday operations. Daily notes can also be completed very rapidly for efficiency.

Cons

The HEP program remains cumbersome despite recent improvements. Otherwise no complaints. We use an alternate (old) program from before EMR to create HEPs.

I really like the ease of use, the finished document, faxibility, and the comprehensive information available . I like the ability to add my own information at the end of each section.

Cons

I really don't like the time out feature. I have lost a lot of hard work with that one. This has been frustrating.

I like that this product is very user friendly. It looks very clean, crisp, and organized. It is easy to find what I need and the short cuts are easy to use making my job more efficient and therefore more impressive to patients.

Cons

I honestly haven't run into any issues that I can think of as a receptionist. I schedule LOTS of appointments with this software and scan documents to patients charts and I usually have no issues. Every once in awhile the software does not count appointments correctly or something like that. I call customer service right away and they always take care of my concern quickly and are nice on the phone.

I switched because I wanted more flexibility and lower rates. I found an EMR that allows me to access my notes even from my cell phone, in fact, I can write notes on my cell phone. That's so functional for us since we are always carrying that device so we can catch up anywhere, anytime. WebPT is very expensive and has a lot of "rules" to follow and limited flexibility with how you write your notes. It's cumbersome to bring in copies of notes.

Pros

Great to have quick access to some objective measures and tests including scoring them, nice to have easy access to all diagnostic and treatment codes, very nice to be able to fax to MDs directly from the software, nicely tracks progress toward goals.

Cons

Too much to fill out, not easy enough to copy from one note to the next, difficulty tailoring to specific practice needs, too demanding in terms of letting you move from one page to the next with requirements to consider something complete - I realize that it is meant to assist with insurance demands, but should be a lot more flexible, can't access from cell phone which you can with other EMR services, too expensive

Also, the sales team is a bit aggressive and tried to pressurize us in the beginning to sign up for the product before we had fully vetted it

We are currently looking for another EMR. WebPT is not for us because we want out therapists to actually spend time treating patients. With WebPT, they are typing all day long. I have a hard time getting patients better when I don't have time to touch them, talk to them, or look at them. My therapists hate WebPT!

Pros

3-4 years ago, when WebPT was a smaller organization, they offered better customer service and helped resolve problems. I am confident that they now care only about making money.

Cons

Very expensive. Costs our organization $'s per year.
Support is always unable to help. "I'm sorry, your therapist is just going to have to do the whole thing over again."
Not user friendly. Therapists have to have work-arounds and extensive training to understand how to document. Documentation does not need to be this difficult. Documentation is not bullet proof. Don't trust their automation.
Slow...plan on waiting 10 seconds to pull up a page (we have fiber optic internet, it is not our internet speed).
Exercise flowsheets are time consuming and not user friendly.
It takes hours to set up and manage the scheduling template.

Clinical ease of use, efficient documentation, excellent customer service; owner and company is 100% dedicated to the field of PT and supports the APTA, PPS, PAC which is very important to me; Love the initiation of Rehab Nation to try and get WebPT users engaged and to learn from each other; a very Proactive company, Lots of great online material - blogs, webinars, etc.

Cons

Therabill was a complete disaster for us and we had to switch back to Kareo. Was rolled out way to early and was clear that it was not meant for PT (behavior health?) - hopefully over time this may change. The billing is frustrating that everything is a tack on charge. I am concerned that WebPT is growing too fast.

This is a great software if your company is looking for an EMR!

Pros

Our company uses WebPT to schedule patients and it is a very easy software to learn. One of my favorite features it that you can color code the insurance so when scheduling you can know the patients insurance without having to look it up in the system. It is convenient being able to keep patients records in one place instead of having paper charts.

Does a pretty good job of creating a clean claim with all the modifiers, proper Medicare FLR coding, proper Diagnosis codes, etc..

Cons

LOTS of clicks to do what should take 1 or 2, clumsy, slow to load, not intelligent but rather archaic, and last but certainly NOT LEAST is the MASSIVE billing dysfunction between a non-integrated WebPT and TheraBill. DO NOT USE THIS COMBINATION OF BILLING, outsource it if you must.

The web pt templates are easy to learn. Being able to fax the notes out through webpt is a convenient and time saving function. Integration between webpt and therabill needs work. I've had EOBs go missing

Cons

WebPT/Therabill has caused me a lot of headaches. I am researching other softwares as a result. I've heard lots of good stuff but had nothing but troubles with their customer support and integration. I've had EOBs sent out but go missing via therabill. I've had my EMR system not get upgraded, but of course I was paying for those updates. I had a custom table ordered which never came and they were slow to refund me. Most recently, there was some sort of payment issue which was identified in a new calendar year after my accounting was done and now somehow its my fault even though they failed to notify me in a timely manner (4 months later) when it was an autopay set up. I think if you are a larger clinic it probably works fine but they are not committed to keeping the smaller clinics happy.

Very easy to schedule patients. Operation of most systems are similar to windows programming. The prompts the program uses during note taking is very helpful to ensure you don't forget documentation criteria for different insurances.

Cons

I wish the program had the ability to keep a document open and open other documents without closing the current document opening up a separate internet window. I also would like to see more analytics available to assist in tracking of work flow and patient flow.

I think if they work out the bugs in the functional outcomes scoring that this will be a huge asset but right now it is too early and difficult to appropriately capture data.

Cons

The customer service just basically responds to all questions (if they respond) with "we will look into this" then asks "please rate our service today," and very often never addresses the responses and blows off the doctoral educated therapists as if the glitches in the system couldn't possibly be flaws of WebPT

Cons

I like the reminder call, text, and email function makes patients more aware of their appointments. The program will also remind you to collect co-pays and tracks the payments in the system.

Cons

The exercise program function is hard to use and confusing but if you spend some time experimenting with it you will figure it out

Ease of use for an EMR system.

Pros

I really like that this software is easy to use and have found it extremely easy to train staff. I also like that there are many places to put extra in house information if needed. The reports section has also been an extreme help to our company as the missed notes reports will pick up if any therapists have any outstanding notes. This helps us in our a/r . I also find the the appointment reminders to be of help as well. The fact that there are more than one place to put in authorizations is helpful to keeping track of auth.

Cons

Sometimes there are glitches in the system. It doesnt happen often but when it does the whole system freezes.
