AppFolio Property Manager Software


 

AppFolio provides cloud-based property management software that allows apartment, residential, commercial, student housing and community association property managers to market and manage their business. This solution includes accounting, leasing, marketing and property management functionality.

All property information can be stored in AppFolio, allowing users to post vacancies to various sites, including user-owned websites. Users can also download a formatted HTML vacancy posting package that they can print or manually post to Craigslist.

Users can list vacant properties, fill out an online application and run background checks. AppFolio can automatically populate customized lease agreements, accept payments and collect digital signatures. The payment platform supports e-checks, credit cards and electronic cash payments that residents can submit through an online tenant portal.

Other capabilities include vacancy and rent tracking, tenant liability insurance, website building, a rent comparison tool, automatic bill posting, database-wide searching, paperless work order generation, report customization, mobile iPhone access and more.

Using AppFolio has really lightened my work. Having people pay online has kept me from having to go to the bank so much. The online applications and lease are wonderful. Everything is right there on the tenants page.

Cons

There are a few things that could be changed but nothing I can think of at this time. Their help is always helpful even though when you first put your question to them, they send an email stating you can get the answer thru the help feature. They usually always some back with an answer in another email.

It is intuitive to use and any confusion is quickly cleared up by an almost immediate response from the support team.

Cons

I would love to able to call and speak with a person rather than sending a support request and waiting for a call; however, the call back is very quick, so even that isn't a deal breaker.

My experience with the AppFolio staff has been exceptional. They offer training and coaching, which amazing if your a first time AppFoilo user. The first time I requested information on how to encourage residents to make payments using their online portal, the customer representative reached out and was informative on the subject, she also provided flyers to post around the community complex. the representative offered a new perspective and great ideas that were very useful when implementing a brand new system to make monthly payments. The second time I requested help I received a response the same day from another representative, he followed up with me again to make sure that my questions were answered. Thank you AppFolio Team for making my experience fantastic. I would highly recommend AppFolio as a 1st Choice for Property Management Software.

Cons

I would like to have a designated space on the tenant profile to enter an assigned parking space (A combination of Numbers and Letters).

Most user friendly Property Management Software out there!

I've used several Property Management software in the past, mostly Yardi, and Appfolio is my favorite by far. The ease of use is fantastic. It works great for those who are not so tech savvy as well of those who have advanced skills. So far there hasn't been any "glitches" or shut downs to deal with. With Yardi, those happened often. I definitely give Appfolio 5 stars!

Pros

1. Very user friendly 2. Everything is simple and to the point 3. Not a lot of glitches 4. Data entry is fast and efficient 5. Gets the job done without a lot of unnecessary steps

Cons

1. Could use more detailed reports and filter options 2. Could use more tenant data options like Parking space #, and or Reason for moving, for example.

Appfolio: The Cutting Edge Experience

I have been using the Appfolio software for 18 months now and I am still learning ways to customize reports so that I only see pertinent information. I discover ways of inputting information and narrowing my searches for information, such as finding information about appliances, which SKU we purchase for the apartments so I can give this information to the vendor which saves me and their employee valuable time and frees us up to serve more customers. I <3 Appfolio!

Pros

Appfolio is a property manager's 'one-stop shop'. I am the office coordinator, partnering with the property owners and maintenance manager. If our employees can't find the information they need about a tenant, application, report or work order, then we need to train better because Appfolio provides the templates to input any information needed to screen applicants, communicate with tenants, manage work orders, locate a property by link to Google maps. Every page has a feedback/suggestion link at the bottom of the page. We receive regular notifications of updates by the Appfolio team. I don't work with accounting, but if a vendor calls about payments or account information I know how to access it and even narrow my searches.

Cons

It would be most helpful if work orders could be categorized since we have maintenance employees who specialize in plumbing and HVAC. It would also be helpful if a work order that has been marked 'Urgent' pulled to the top of the list or color-coded red so that it was instantly recognized as urgent by our maintenance personnel.
There just aren't a lot of cons from the aspect I work from.

Great customer service and prompt resolution. Easy and user friendly. Very similar to Entrata Core but not as forward thinking process or as techy.

Cons

No data import and export. Manual entry is time consuming. If resident pays before due date, doesn't assign to the require payment so it reflects as unpaid in reports. It can be confusing at times due to that.

Everything is at your fingertips. You can do everything from schedule viewings to active portals from all your mobile devices. I never feel swamped or out of the loop on Mondays because I have received the notification that are relevant to me. I love that you can go through your general setting and customize things. The best part is you guys are open to hearing our suggestions. You always want to know how you can improve and you take our suggestions seriously. AppFolio is an amazing piece of software that I would recommend to every property management company.

Cons

I can't think of anything major. It would be nice if when a tenant doesn't pay renter's insurance we got an alert in notification on the dash. Also my boss has been wanted a webinar for the renter's insurance. We like to be well informed about anything we are selling people.

The customer service is very responsive with specific questions. They even have a forum for suggestions and added features that users would like to see developed.

Pros

I love the ease of communications with tenants and the multiple opportunities for online payments. I can alert them (and they, in turn, our office) 24 hours a day using email or text and I know they received the information. It's also great for sharing documents with tenants.

Cons

This is primarily an accounting software and since I use another method of accounting, it's difficult to export information.

You need an API - beware if you want to use AppFolio at scale

Very easy for low property counts. Basic things work very easily out of the box. That's good. No complaints.

Cons

No API. It's 2018! Your data is locked here. Each time we ask about an API, they tell us to suggest a new report. But that's infeasible - we'd like to link this with SalesForce and export our data for financial analysis.

Pros

Streamlining our processes has benefitted our company in more ways than I could ever explain. The customer support, being able to talk with the same people for all account needs, constant updates, and desire to turn feedback into functionality - is not only uncommon in today's work place, it's disregarded as even an expectation from companies anymore. AppFolio is the unique gem in an industry of complacency and has maintained a product and service that is simply, unmatched.

Cons

The only thing that I believe would be truly helpful, is to add an intercompany chat system. A way that a property manager can communicate with main office personnel about a question in AppFolio, without having to email/call/text one another.

Direct access to tenants information

Pros

User friendly.. Great for accounting....uploading is now easier and will hold more pages....customers files are organized

Having to take take time to type out city and state when we should only have to put in zip code then

I am always doing inspections so the fact that it autosaves is a lifesaver. It's just so incredibly handy for property management on the go.

Cons

Not the software, but the application on my android phone always crashes. It works well on my iPhone.

The Mobile features are very useful. I need to have this info on the go so having it on my phone is very helpful!

Cons

Accounting isn't as upgraded as it should be. I don't do much accounting but both accountants we have had have complained about certain things and mentioned quickbooks being easier for accounting.

Nothing. Program is not user friendly and any question has to be directly to someone who handles that area only.

Cons

Customer service will not call you back for days until it is too late to handle something important. When customer service does return your call they are only allowed 30 minutes to help you.

From the perspective of Tenants, they love the convenience and ability to pay their rent online with app folio. Converting to this software has increased our percentage of tenants that pay rent on time. The website integration worked smooth for us and it's a clean user interface that is easy to learn. App folio allows eSignatures for leases, online tenant screening, update vacancies to your website and push available properties to your website. They have owner portals so your property owner's can login and review their owner statements and work orders.

Cons

The app folio software has the ability to input work orders, but they need to allow a trigger to notify home owners, and also put in a reminder due date if work order isn't completed. Currently we have to put work order due dates in our iCalendar for reminders to make sure a job is completed so we can close the work order.

This software is a key element in keeping my company efficient and organized on a daily basis. It has enabled us to grow and increase our portfolio as well.

Pros

I like how the software is constantly being improved. It seems that the company pays a lot of attention to suggestions by it's software users.

Cons

There are a couple things that I would like to see changed, especially relating to the reporting features. I wish the reports were more easily customized. The accounting features are also sometimes confusing and not always user-friendly.

The ability to handle all 30 HOAs in one place and not having to swap between different software when going from one HOA to another.

Pros

The user-friendliness of it. You can navigate your way through the software with ease. Great customer support system as well to help with questions. Also offers tutorials for you to watch to learn how to do specific things like keeping up with violations.

Cons

Not having the ability to input specific dates when using the delinquency feature. Some HOA board members want to know how many people were delinquent on a specific date and the software doesn't give you the ability to do that.

In regards to the delinquency report, we are working on the ability to run scheduled reports so I recommend that you schedule this report to run at intervals during the month so you can have accurate reporting on delinquencies. Cons

It needs to be extendable, perhaps through an app marketplace. There are a few features that I really want and have voted for in the forums. But, I'm at the mercy of Appfolio to decide whether or not to add them. Some of these features, I'd gladly pay for if I could.

Pros

Easy to learn and to teach new hires, has most of the features we need, there isn't a bunch of extra stuff getting in the way of workflows, one price to get all the features, all around great!

Cons

The guest card feature is not very robust, we'd love to see a CRM/pipeline system to better track leads. It's also missing some reports that we'd like to run like a report showing how many renewals we had in a given time to calculate leasing/renewal incentives.

Saves time in processing payments. Easier to learn than prior program. Lots of helpful updates from customer suggestions.

Pros

Online- we can work, process, collect payments, disburse payments, email statements, email tax forms from anywhere.

Cons

I like this program- no problems or concerns to report. AppFolio was extremely helpful in the transfer of date from prior program.
