Escapia is a cloud-based vacation rental system that helps vacation rental managers automate property management tasks and online distribution. Key features include accounting tools, lead management, reservations, maintenance, housekeeping, marketing and an owner portal.

The real-time booking engine allows users to create booking rules like variable rates, as well as apply discounts and coupon codes. Automated inquiry responses can automatically answer renter queries. The reservation system allows users to manage front desk operations, accounting, housekeeping and maintenance services. Escapia has also partnered with distribution channel partners including FlipKey.com, VRBO.com and HomeAway.com

The Escapia web portal offers features such as search options, integrated Google Maps, social media links, images and brochure options. Guests can access their reservations and booking details from a dedicated mobile app. Owners are provided with a portal to check the performance of their properties, download income statements and track correspondence.

    I loved the accounting system. It was the most powerful accounting system for a vacation rental company. Coming from an accounting background, I found it very efficient.

    Cons

    I wish the system had a way to change rates for each home for speific dates. The rate rule is good is you know how to use it but it takes to long.

    A powerful tool for the complete needs of a vacation rental management company, from providing guest quotes, customizing guest arrival experience, to managing accounts.

    Pros

    The accounting side of this software is strong and a knowledgeable user has powerful tools. Owner statements are transparent and clearly structured. Correspondence is attractive and easy to customize. The various tools available for setting rates/manipulating rates are easy to use. The reservation grid is easy to understand, and the filters and quotes make the reservationists' work easier and more consistent. Integration with Glad Hospitality helps provide a good guest experience without much effort (once the initial setup is complete). The reports are informative and useful. Bank reconciliation tool is an absolute essential. Having used Escapia and other VRM software while working for other companies, when I started my own company, I knew the only software I wanted to use was Escapia.

    Cons

    Features for automated or scheduled correspondence are weak. There is no "notes" area associated with owners for keeping a record of requests, authorizations, etc. Because it is a powerful system, to develop the skills necessary to fully take advantage of its many useful features means you need to invest some time and effort. That is not really a "con" to me. If you have a good tool, you want to learn to take full advantage of it. However, for a new user, it could seem a little scary. But we found that it's not terribly difficult to learn what you need to learn in order to successfully take advantage of the system as a basic user, and that if you want to stop there, you can and you'll still have a good system. It's worth putting in the work, though, to become a skilled user to take advantage of the full capabilities of the system.

    This software makes it super easy to manage properties from adding them onto a program to renting the units on a weekly basis. It is very user friendly once you have everything set up. It puts the reservation process, owner management, and accounting into one system to make it easy to manage.

    Cons

    The training was my least favorite thing about Escapia. It was difficult to get everything set up and going and learning how to manage everything, but the trainers worked with us for hours on the phone to get everything set up correctly. The support staff was always willing to assist.

    Don't use Escapia's website services... It will make your website look and function really sub par.

    Pros

    There are some features that make intuitive sense. Like organizing photos. I have to stretch for pros for this software and that's a challenge.

    Cons

    Pretty much everything. Pricing is a nightmare. There is no way to preview your listing to make sure you got it right. Also, if you put in the wrong coordinates then you can't change them later and your home will show up in the wrong spot. I dread using this software. The only reason I gave it 2 stars is because it does actually publish listings, so at least it's not completely broken.

    A lot of information available; wished it was a more user friendly site; that is about the only good thing as a property owner that I can say is any good about it.

    Cons

    Extremely difficult to navigate and they seem to have issues with the login pages; I have had to re-register 3 times within the last 5 months! Terrible, terrible, terrible!

    links with HomeAway/Vrbo. Web based software so i can access using my iphone or ipad. The automatic payment is a great feature also.

    customer support sometimes takes awhile to respond/fix an issue and takes awhile to respond to a question.

    Easy to use from front desk to maintenance to owner manager team. Dashboard is very helpful to manage reviews and updated booking numbers.

    Cons

    Pricier than most. There are some reports needed that can be built but at an additional cost. End of year reporting can be confusing for owners.

    All business information in one place.

    Pros

    There is a lot to learn at first and there was good training classes. Most beneficial is knowing there is customer support to support you with any issues and you can get that support right away. They are also helpful in customizing to meet our needs. It also becomes intuitive as time goes on. I love how it's integrated with HA/VRBO and Glad as well as other network partners, it makes my life easier.

    Cons

    Some limitations within correspondence templates. I wish there were ways to make the templates more professional, there are a lot of moving pieces within templates and I haven't found out how to lock in a template design.

    Escapia is very easy to use. The reports are very detailed and easy to read. The month end processing is a breeze. Adding and deleting properties is a step-by-step processes which makes things easier and leaves less room for error.

    Cons

    While recent changes have been nice, it sometimes takes quite a bit of work and time to implement them. Once they are implemented, it takes some time to get used to.

    Ugly and complicated, but mostly works

    Escapia does do most of what it needs to. Especially from an accounting perspective, Escapia works for managing properties and owners, rates, fees, contracts, etc. Escapia also does integrate (with some flaws...) with a lot of other property softwares and listing sites. Finally, I have had mostly good experiences working with Escapia Support, and Homeaway Integration support when trying to figure out integration issues between Escapia and VRBO and other listing sites.

    Cons

    The sheer number of times that I had to contact support while using this product bear witness to the fact that it is not easy to use at all. Escapia can do a lot of things, but in order to get it to work you first have to be able to figure it out. There are all kinds of little nooks and crannies all over the software - boxes that have to be checked and extra steps that have to be remembered - if you want it to function. It's also not very pleasant to look at, which isn't a big deal, but also doesn't help. Compared to MyVR's interface Escapia just looks old and ugly. We gave up altogether on setting up an Escapia website, and went with MyVR instead.
    Overall, Escapia does work for us, and does do what it needs to, but it's not a fun system to use.

    owned by HomeAway, first in the marketplace, i thought they would translate their expertise of the website and marketing presentation to Escapia. That was the point of sale for me.

    Cons

    after one year, i discovered: no single page presentation so multiple clicks to each procedure, outdated applications, outdated page design, continual request for information from user but no software updates.

    Easy to use, constant updates with details/advanced notice and how-tos, many....MANY reports from which to choose. Great marketing API feeds for listing sites/software to help you succeed in the vacation rental space, color-coded reservation grid for easy filtering and tracking.

    Cons

    The ability for Homeaway/VRBO brand to match back reservations on source - I pay for a secure software. The last thing I want is my data being stored, shared, and who knows what else by marketing platforms.

    While the reports are fantastic, sometimes it'd be nice to have the ability to make your own report that didn't cost an arm and a leg for information that's already in the system.

    Once in the site the analysis could be great, however it depends on how your agency sets it up. It would be great if it were more standard as a property owner with multiple properties in different cities.

    Cons

    As an owner with multiple properties and multiple partners the owner web is terrible. If you ever get in, it could be great but there is a fundamental flaw in access. This has only happened with the latest upgrade put in place this fall. I really hope they fix it soon!

    The software is easy to use and has met the needs of our small rental office. We enjoy the self paced online tutorials for training new staff members. We are glad they have streamlined the Glad to Have you product directly into Escapia. They are always working to make the program better & more efficient.

    Cons

    These are very few but are mainly with the support staff. Recently called in and received 3 different answers on how to fix an accounting issue. When it comes to more complex accounting issues, a possible suggestion would be to send callers to more experienced staff verses having them speak to the "new" person.

    There are so many great capabilities of the system, and we are a very small rental company, so there actually was more than we would have ever needed. We describe it as buying a Bentley when you really needed a Honda.

    Pros

    There is huge flexibility and capability with Escapia and the reporting functionality is vast. I know that when calling the support line, they are there to help and they do so with the utmost of professionalism and patience.

    As our business has grown the software has made our day to day work easier and more streamlined. Escapia has been great about adding and updating the product on a regular basis with customers imput.

    Pros

    We have used Escapia for years and have seen a lot of changes along the way. The software is easy to use and train new employees on.

    Cons

    Over the years we have found the the customer service to be challenging and the software does not handle long term rentals easily.

    Cons

    We need the ability to send correspondence from multiple email addresses. There should be a separate email address drop down menu box for each office, or for each unit somewhere in the set up. It's an odd feature to be missing, because everything else about every unit and office is customizable (the correspondence documents, the booking modules, the rate plans and the unit setup. It would be so great if each unit could be assigned to a "send from" email address so that confirmations and statements came from that email, or from the reservations agent in charge of managing that property.

    Works easily with the major listing sites. Updates are often and the team listens to feedback. Easy for new reservationists to pick up on the system.

    Cons

    Making rates isn't that easy along with quotes for time periods not set up in advance. Scheduling inspections is not easy either.
