About Shoeboxed

Fetch Expense Reporting is a cloud-based expense tracking and reporting solution suitable for small and midsize businesses. It allows employees to upload expense receipts from their smartphones and claim reimbursement from their employers.

Employees can download Fetch Expense Reporting mobile app on their Android and iOS devices to submit expense and mileage details. A process-driven workflow takes and submits the employees' reimbursement request to their approvers. The approver can then verify the submitted claims, request for additional information and supporting documents and reject or make payments for approved claims. Managers can process reimbursement claims of their employees in batches or on the need basis.

Businesses can create multiple expense categories to save expense details in categorized orders. This helps businesses keep track of the expenses incurred in various categories like food, transportation, entertainment etc. The solution offers a per user per month subscription pricing and provides support via phone and email.

My review

I am very satisfied overall with Shoeboxed, I like being able to create my own categories and and enter my own info on them. I really like the ease in sending each category via email to my tax preparer. It's a relatively easy process.

Ease of uploading & categorizing receipts. Cost is low for service. Easy to use via app or login on site.

Cons:

Pros:

Receipts can be viewed, downloaded, and printed. Filters are really useful and make searching for receipts quick and easy

Cons:

Lots of mistakes such as typos. Vendors can be entered multiple times due to poor spelling and typos. I have to manually edit receipts in order to get the vendor names consistent. I suggest those doing the data entry look at previous receipts or have an auto-fill feature so that vendors aren't entered multiple times. Non-receipts are entered as receipts by automatic email link. For example my dinner reservation was entered as a receipt. Order confirmations were entered as receipts also which resulted in a single purchase being entered multiple times into my account. Mobile app is useful but doesn't support long receipts. I suggest allowing multiple pictures to support long receipt like other mobile apps do

I like that i can throw all my receipts in an envelope, send them to Shoeboxed, and have them take care of the rest. Nice to not have tons of receipts taking up valuable space in my office and nice that it's organized and easy to search should I need to do that.

Cons:

I wish all plans had the prepaid envelopes. That would be a nice touch that would make using this service so much easier.

I like how data is transcribed and rapidly updated in the app. I enjoy how I can one-click the addition of a scan business card directly into my address book. I like how I can export reciepts to make it faster to complete expense reports. i like the human touch of the support staff.

Cons:

Within the app I scan a card or reciept to process, then it also shows up (for me) in my Photos on my phone, notebook, cloud account. Once I've confirmed I have the info captured, I know have to go into my photos app and delete those pics.

I like how easy it is to get receipts and other documents scanned. They send you a magic envelope to send receipts and then within a few days you get the receipts scanned and uploaded on your account.

Cons:

Not a customer friendly solution. I signed up for a month-to-month professional plan in Oct 2022. I was sent hit with a $104.80 overage fee in addition to the monthly charge of $47.00. It is not clear on their website that the month-to-month plan will be charged an overage fee i.e. you need to stay in your monthly limit. Then in Nov 2022 I did not use the service. I was still charged $47 for Nov 2022 -- which is fine. But they DO NOT allow rollover of unused credits. I asked for a refund and was denied.They also quoted me $59 per month for the month-to-month plan but their website states $47 per month for the month-to-month plan. So website pricing is different from what they quote via email. Worst thing was they made me feel like I was getting special pricing when in fact that was not the case.

The Convenience. I love that it auto-tracks my drives each day. Also love how well organized the actual software side is.

Cons:

The price :( It seemed fair until they upped the pricing. I was really bummed to see the price tag go up. It definitely seems high.

Pros:

I like that this is a cloud based system. Also that it accepts electronic receipts with a simple forward from my email. overall, very good value for the cost and reduces clutter massively.

Cons:

Some manual processing is required to approve and resolve expenses so an eventual AI based system would be great.

It is Free and allows me to quite easily track all of my expenses in a very similar manner to Concur

Cons:

Some glitches in the software that does not accept forwarded PDFs so have to convert them individually to PNGs. Again, free App so cannot complain too much
