Bookkit - new kids on the block

Very happy with the software and the support from the Clustermarket team. We have managed to solve all sorts of booking problems thrown up by the pandemic with minimal fuss and our users are very happy with the way it all works.

Pros:
This booking system comes as part of the Clustermarket app and allows other customers to find services and equipment at participating organisations. A quote can be obtained for the service and the customer also pays Clustermarket a fee for facilitating the deal. This allows educational and research establishments like our NMR Facility use the app free of charge. We have found Bookkit to be very easy to use, has a good look and feel about its design and has enough features without being overly complicated. The recent upgrade to V2.5 of Bookkit allows much more functionality and customisation of the usage reports by a number of filters, as well as giving users registered with another "lab" equal rights to be a "researcher" (our default user type) in our facility lab. We have found the technical support to be very impressive and helpful whenever we have needed assistance or guidance. It has proved its worth during the Covid-19 pandemic when we had to add nearly 150 extra users as our open-access spectrometer rooms had to be switched to single occupancy due to air conditioning requirements.
Cons:
The worst thing about the software is probably the notifications that the software gives the administrator. As we have so many bookings each day the notifications soon built up to a level that caused the server to timeout when trying to display or mark them as read. It would be nice if we could switch the notifications off in the software whilst retaining them via email as a record of the bookings. I am also hoping that equipment will soon be able to be removed from the app if it is now redundant or not required to be bookable by the lab administrator so that the dashboard can be made less cluttered with equipment that no longer exists!

Reasons for choosing Calira

The customer support we got from Clustermarket and the fact that as an academic research institution it was free to use helped us make the decision to go with Bookkit, however even a modest yearly subscription of £250 max would have not swayed us against Bookkit.

Reasons for switching to Calira

We didn't want to keep paying the annual fee for functionality that we didn't need

Our development team have fixed the issues with notifications and they should now be deleted automatically after 4 to 7 weeks depending on the read status. We are also working on removing the equipment and will update you as soon as this is possible!

Clustermarket "Bookkit" is easy to use

Customer service has been absolutely fantastic since day one. Don't think I've waited more than a few hours ever for a response.

This software is very easy to use for both administrator (my primary use) and end user. Setting up new users and training take little to no time.
Cons:
Users are unable to edit their bookings after-the-fact, which is difficult when this is being used for billing (I am doing it all myself). The only way for users to edit past bookings is if they get admin status, which would make it much more difficult for them to use (would see everything vs. just the instruments they can use) and take away the point of the software.

-The software is definitely more user-friendly compared to the previous one we were using here at KCL. - It allowed the combination of all the softwares that were being used here and became the only platform we are using at the moment in the building - saving time for all of us researchers. - It also allows the notification via Bookkit of any problems present in the equipment we use, which is very handy. Plus, the admins can add the equipments' instructions in the software - which proves to be helpful if any equipment becomes faulty. - In this covid era, the software proved to be good for managing the amount of people present in the building and it's helpful for me, as a first aider, to realize how many people will be around. - Probably the best feature of the software is the marketplace (is not yet well accepted in academia or at least, not used frequently by) - to allow equipment sharing which I'm sure, once "accepted" by the academia, will prove to be a powerful tool in the future.
Cons:
- I would definitely appreciate if I could do several bookings in the same equipment at the same time - I mean, without the need to do it every time and click on the "confirm booking" button seven times for the same equipment in the same week. It would save time - and we, researchers, truly appreciate that. - Sometimes, some bugs appear (like double bookings from the same person in the same slot in the same equipment) but I guess those appear all the time when a software is under construction - but it should be something your developers team should be able to fix straight away. - Also, I couldn't change a booking that was already started. For instance, if I finish my booking in one equipment earlier and I want to reduce the booking, I can't. It appears a weird message (saying that I should do that alteration in a specific time) and it prevents me from changing it. - Little emphasis in the marketplace. It's probably one of the best tools the software have and most of the researchers, have no idea it exists in Bookkit. Researchers, especially in academia, are a bit complicated in terms of sharing equipment but I think with good marketing and wise communication, your software might be able to change minds and potentially help science going further. - Finally, a mobile app would be amazing (and to say the least, novel) and I'm sure everyone would be pleased - whenever that becomes possible for the company.

The general ease of use, but more importantly, when needed, customer support was excellent.
Cons:
There is not something that I particularly dislike when using this software on my laptop, but it is more difficult to select timings for a booking on a phone.

This software is FANTASTIC and the customer and technical support is EXTRAORDINARY

When COVID-19 hit, we really needed software that could allow us to manage lab use and control for social distancing. This allowed us to book both space and equipment to assure that lab members could plan for the use of smaller spaces, and avoid booking time in the lab for a piece of equipment that would already be in use at that time. I am confident that, even after the need for social distancing has ended, the lab will continue to use the software for booking and managing equipment use.

Nothing. Best system software I have had to use at my institution.

Reasons for choosing Calira

Skedda and Robin were primarily set up for conference and shared workspace bookings, and not set up for lab equipment. Bookkit was designed for labs and I honestly don't know what we would have done had we not found it.
