    We needed a cost-effective, cloud-based solution to simultaneously make files available to our offshore team and at the same time make our office as paperless as possible. SuiteFiles ticked all our boxes.

    Pros:
    SuiteFiles is very easy to use. We can scan documents from our scanner directly to SuiteFiles via a unique email address, rename and save to a client folder, and have the documents immediately available to our offshore team to get started on processing for us. Likewise they can save documents and we can immediately review and finalise in collaboration with them. SuiteFiles is also constantly being improved and upgraded and we don't need to do a thing - upgrades are deployed behind the scenes and we have immediate access to them. No issues of version control or downtime waiting for server-based software upgrades to be installed
    Cons:
    I can't think of a single thing we dislike about this software.

    I like that within SuiteFiles we can have multiple ways of running a loan. From interest being calculated daily, to monthly, with interest trails to brokers or management or without. It allows us flexibility in our initial negotiations, something we didn't have with our own software.
    Cons:
    That I can't amend report dates. For example, I can't finalise entering our August data completely until 1st September, however once done and I drop out the report for emailing to management I can't update the report "as at 31st August" it has to remain dated 1st September which is not technically correct.

    It won on our pros and cons list. It ticked most of our boxes and I felt like we would be supported during the setting up period.

    This product is very effective for our business, we have it set up alongside Outlook so that all emails in and out are filed directly here. It also allows us to file any documents via Outlook into the specific files. Very effective so that any staff member can see correspondence and access documents easily.
    Cons:
    We would like to return to pre-upgrade with the files being in last submitted instead of in the current ordering.

    I like that is user friendly, stores documentation well, creates templates with ease and has an amazing document signature function.
    Cons:
    Coping of folders would be a great addition.

This can include subfolders and documents - https://help.suitefiles.com/creating-folder-templates 2. Bulk folder generation to create folders in multiple client folders at once. You can use folder templates you have previously saved to bulk create a subfolder structure - https://help.suitefiles.com/bulk-folder-generation 3. If you're wanting to copy existing folders and their contents, rather than create a shell of a folder structure, we can also suggest that entire folders and their contents can be copied in the File Explorer via our OneDrive integration - https://help.suitefiles.com/onedrive-setup

    Fantastic System

    We started using Suitefiles (SF) just prior to the first lockdown in 2020. The decision was part of a full move for our 5 person accounting practice from desktop based programs to cloud services and a reduction of the use of paper within the office. Although moving a decade old practice with all its old systems onto new cloud services came with its share of headaches SuiteFiles was not one of them. The process of setup was supported the whole way via the SuiteFiles customer support system and after only a short while all the staff had a pretty good handle on how it worked. We set up separate files for each of our clients as we went rather than doing the import in one go as the uploading of files dragged our internet speed down so it suited us to do them progressively. The ability to structure the file system to match how we originally stored electronic files, meant we could drag and drop all our historical electronic records in their existing file structure right into the SuiteFiles program which then provided continuity with the files being added going forward. Suite Files has become the central depository for all our clients information, new work is dropped into their current year file, workpapers and supporting docs are all saved in as we work on it. Draft copies of tax returns and accounts are saved there and once approved we use the SuiteFiles electronic signing system to have them approved. The ability to look up information and auto preview it are fantastic.
