About Dataforma

Dataforma is a cloud-based solution designed for construction trades, including electrical, plumbing and HVAC. It is a web-based business management system that helps contractors manage projects, create proposals, track leads, monitor marketing campaigns and more.

There are four main customer management modules, and nine business process modules offered in Dataforma. The customer management modules include a contact management system, correspondence management, and a calendar. The business process modules include those specifically designed for service management, such as work order management, project management, warranty management and document management.

Dataforma also offers a customer portal, which allows contractors - and their customers - to access information about active construction projects in real time. It is available on a monthly subscription and support is extended via email and telephone.

Pros:

The level of customization, flexibility, and overall stability of this software has made it invaluable to our business. We can reach knowledgeable staff every time we call and the answers we receive hit the mark every time. The numerous fields and sub-categories afford tremendous flexibility that enables us to customize our input/output for reporting on pretty much any attribute that we want. The new accounting modules are also well developed. In all, the functionality has enabled us to rethink and expand the analysis of many aspects of our business while maintaining close control over scheduling and operational demands at the same time.

Cons:

Some users may find it a little intimidating at first but with proper instruction this should not be a problem. The user permissions are vast so having a system administrator who will remain on staff is important.

Dataforma review

We have solved scheduling and billing issues. we feel better moving forward with a consultant helping us untap the power of the machine by simply dividing the work load to 4 major functions so that each function can master its use.

the ability to track every aspect of your business

Cons:

to many clicks to enter basic info. needs to be designed/ organized by a roofer and not a computer engineer. Dataformas on-boarding staff did a poor job in follow up. It would have been nice to have a consultant that we have found that understood the users need and could assist you with gaining more useful / practical help from the system.

at the time we liked the salesman more. Had i known he would be leaving the company shortly after our purchase we would have chosen FCS.

Don’t Dataforma

From the start I was not a fan of this app. It just didn’t function easily and was very difficult for employees to use

The amount of data is can collect, in the 2+ years I used Dataforma I couldn’t find much about the app or desktop version I liked or was easy to use.

Cons:

Poor customer support, not intuitive, price

All In One System

Dataforma helped us get control over the entire process. It helped to streamline what it takes to go full circle. Keeps everyone in the know and has been a lifesaver in regards to being able to jump in anytime anywhere.

Pros:

Dataforma allows you to track work on long term projects and quick projects (work orders) with ease. It is very similar to other products out there but Dataforma allows you to build invoices directly from the work order that the field personnel create. This drastically cuts down on double entry and eliminates errors from double entry.

Cons:

The overall size and complexity of the software is daunting at first. Once you play around with all of the features, you begin to understand how everything is tied together and is dependent on each other.

The ability to save important customer information to the cloud and access remotely.

Cons:

The software is not user friendly and is very detailed. It takes new users a long time to understand how to input new information correctly. The way things are broken apart-building, company, customer, etc is too much. It makes it very difficult to make changes to companies as a whole. The additional cost for templates is unfair at best.

Many other products. We thought its detail would be beneficial, but it has proved to be cumbersome .

The thing I like most about the software is that I am able to log into the software online. This is great since I typically work remotely and/or on the field.

Cons:

The thing I like least is the layout. Since I am typically work remotely and/or on the field, I need to get info fast and wish I didn't have to click on too many tabs to get my info. It would be nice if there is away to save favorite tabs and get info quickly that way.

It works if you make it work for you

We needed a way to track where we have been with roofing repairs in the past and where money is being spent by our clients. The software allows for reports to be built extremely quickly and with the cloud integration adding photos to repair invoices is very simple.

The software is very powerful and useful once the foundation is built and then added to over time. If you want the software to really be productive historical input is key.

It can be a little repetitive when adding new information but this is because of checks and balances.

It has allowed for a lot of transparency about what people are doing and allows for everyone to be on the same page for the different work orders and projects that we have going on at one time.

Cons:

Not very user friendly in the beginning, the learning curve is steep however, training and customer service is great to help out with issues.

Pros:

Dataforma is easy to use, it has all the functionality required to quote service jobs, track them , and then bill them when you're done.

Cons:

Some of the reports are difficult to run and very large. if they could be set to run with one button instead of loading this and setting up that it would be easier.
