Each p...

roduct line addresses specific aspects of workplace management, from visitor check-ins to employee desk booking and property management. Understanding the nuances of each plan is crucial for making an informed decision that optimizes both functionality and cost-effectiveness. **Envoy Visitors** **Free plan** The Envoy Visitors Free plan is a forever-free offering designed for small workplaces with minimal visitor management needs. It provides fundamental visitor check-in capabilities without any financial commitment. Key features include unlimited visitors and host notifications. **Pros:** - **Zero cost barrier:** The free plan allows organizations to implement visitor management without budget concerns. - **Unlimited visitors:** No restrictions on the number of visitors you can check in, providing flexibility for varying traffic volumes. - **Essential notifications:** Host notifications ensure team members are promptly alerted when their visitors arrive. **Cons:** - **Limited functionality:** Lacks advanced features like badge printing and document signing that may be necessary for security compliance. - **Basic customization:** Minimal options for branding and personalizing the visitor experience. - **Restricted integrations:** Limited ability to connect with other workplace systems and tools. **Standard plan** The Envoy Visitors Standard plan, priced at $109 per location per month (billed annually) or $131 per location per month (billed monthly), offers additional security and compliance features. It adds essential badge printing and legal document management functionality to the feature set offered in the free plan. **Pros:** - **Enhanced security:** Badge printing capabilities improve visitor identification and workplace security. - **Legal compliance:** Document signing features help ensure visitors acknowledge and agree to necessary policies. - **Flexible billing options:** Choice between monthly and annual billing to accommodate different budget cycles. **Cons:** - **Multi-location cost burden:** Costs multiply with each additional location, which may be challenging for multi-site organizations. - **Limited analytics:** Lacks the robust reporting and analytics available in higher-tier plans. - **Basic branding:** Minimal customization options for creating a branded visitor experience. **Premium plan** The Envoy Visitors Premium plan, at $329 per location per month (billed annually) or $395 per location per month (billed monthly), is Envoy's most popular visitor management offering. It includes all Standard features plus customized branding, visitor photos, analytics, and integrations with SSO and directory services. Notably, it also includes Envoy’s Virtual Front Desk product, which can also be purchased as a standalone solution for $199 per location per month (billed annually). This provides video intercom functionality through the Envoy Mobile app and iPad kiosk, multi-channel staff notifications, call logs, transcripts, after-hours coverage, and backup contact routing. **Pros:** - **Comprehensive branding:** Create a professional, on-brand experience that reinforces your company identity to visitors. - **Enhanced security features:** Visitor photos add an additional layer of identification and security. - **Built-in virtual reception:** Includes Envoy’s Virtual Front Desk product, offering video intercom and after-hours visitor management at no additional cost. **Cons:** - **Significant price jump:** Considerably more expensive than the Standard plan, which may be difficult to justify for smaller organizations. - **Complex implementation:** More features mean a potentially steeper learning curve for administrators. - **Missing advanced security:** Lacks some enterprise-level security features like ID scanning available in the Enterprise tier. **Enterprise plan** The Enterprise Plan offers a customized pricing structure and includes all Premium features, including the Virtual Front Desk product, plus advanced security capabilities like a block list, ID scanning, guest Wi-Fi integrations, access control integrations, scheduled email reports, emergency notifications, and customizable analytics. **Pros:** - **Advanced security controls:** ID scanning and block list features provide enhanced security screening for visitors. - **Seamless integrations:** Connect with access control and Wi-Fi systems for a unified security approach. - **Emergency preparedness:** Multi-channel emergency notifications ensure visitors can be contacted during critical situations. **Cons:** - **Opaque pricing:** Custom pricing model makes it difficult to budget without contacting sales. - **Implementation complexity:** Advanced features may require significant IT resources to configure and maintain. - **Potential feature overload:** Some organizations may not utilize all the advanced capabilities, leading to unnecessary complexity. **Envoy Workplace** **Standard plan** The Envoy Workplace Standard plan, priced at $3 per active user per month (billed annually), focuses on employee workplace experience. It includes workplace maps, scheduling, package tracking, ticketing integrations, notifications, and mobile app integrations. **Pros:** - **Affordable per-user pricing:** Cost-effective solution that scales with actual usage rather than total employee count. - **Comprehensive mobile integration:** Seamless experience across mobile devices, Slack, Teams, and calendar applications. - **Practical workplace tools:** Essential features for managing hybrid work environments and improving employee experience. **Cons:** - **Annual billing only:** No monthly billing option, requiring an upfront annual commitment. - **Limited booking capabilities:** Lacks desk and room booking features available in higher tiers. - **Basic analytics:** Minimal reporting capabilities for workplace utilization and trends. **Premium plan** The Envoy Workplace Premium plan, at $5 per active user per month (billed annually), enhances the Standard offering with health and safety controls, auto check-in via access control and Wi-Fi, conference room and desk booking, occupancy analytics, and SSO directory sync. **Pros:** - **Comprehensive space management:** Room and desk booking capabilities optimize workplace utilization. - **Valuable analytics:** Space usage insights help organizations make data-driven decisions about office layouts and policies. - **Enhanced automation:** Auto check-in features streamline the employee arrival experience. **Cons:** - **Higher per-user cost:** 67% price increase from Standard Plan may be significant for larger organizations. - **Annual commitment required:** No monthly billing option available for more flexible budgeting. - **Complex configuration:** Advanced features may require significant setup and ongoing management. **Premium Plus plan** The Envoy Workplace Premium Plus plan, priced at $7 per active user per month (billed annually), includes all Premium features plus emergency notifications, customizable analytics dashboards, SCIM sync for user management, custom admin roles, and DKIM email validation. **Pros:** - **Enhanced security controls:** Custom admin roles and SCIM sync provide granular access management. - **Emergency communication:** Multi-channel notifications ensure all employees can be reached during critical situations. - **Advanced analytics:** Customizable dashboards allow organizations to focus on metrics that matter most to them. **Cons:** - **Premium pricing:** Highest per-user cost in the Workplace product line. - **No free trial:** Requires contacting sales to evaluate the platform. - **Annual billing only:** No monthly option for organizations that prefer more flexible payment terms. **Envoy Connect** **Enterprise plan** The Envoy Connect Enterprise plan, with custom pricing, is designed for property managers and owners. It includes property, tenant, and suite management, two-way sync between owner and tenant accounts, property-wide visitor logs and block lists, walk-up sign-in, access control integrations, and portfolio-level analytics. **Pros:** - **Comprehensive property management:** Unified system for managing multiple tenants and properties. - **Portfolio-wide security:** Centralized visitor logs and block lists enhance security across entire properties. - **Advanced analytics:** Property-level foot traffic analysis provides valuable insights for space optimization. **Cons:** - **Custom pricing only:** No transparent pricing makes budgeting difficult without contacting sales. - **Complex implementation:** Likely requires significant setup and configuration across multiple stakeholders. - **No free trial:** Requires engaging with sales team to evaluate the platform. **Conclusion** Envoy’s pricing structure supports a wide range of workplace needs, from basic visitor sign-in to complex hybrid workplace coordination and property management. Its tiered offerings across Visitors, Workplace, and Connect give organizations flexibility to choose plans that reflect their size, complexity, and goals. **For small teams and offices:** The Envoy Visitors Free plan offers a solid starting point with unlimited check-ins and host notifications. It’s best suited for businesses with light foot traffic and minimal compliance needs. **For growing organizations with moderate to high visitor traffic:** The Visitors Standard or Premium plans strike a balance between cost and functionality. These plans add badge printing, document signing, branding, and even virtual front desk capabilities for offices seeking a polished, secure front-desk experience. **For hybrid or flexible workplaces:** The Envoy Workplace Premium or Premium Plus plans are ideal for companies coordinating room booking, desk usage, and occupancy analytics. They also offer valuable automation and employee-focused features to streamline daily operations across distributed teams. **For large enterprises and property managers:** The Visitors Enterprise and Connect Enterprise plans offer advanced security tools (e.g., ID scanning, access control), portfolio-level analytics, and tenant management. These are designed for multi-site corporations and property teams managing complex access and compliance requirements. When evaluating Envoy’s plans, consider not just your current team size or office setup—but also how you expect those needs to evolve. From simple check-ins to enterprise-grade workplace coordination, Envoy’s modular approach makes it possible to scale up without overcommitting upfront. Most plans reward annual billing with lower rates, which may be appealing for organizations planning long-term use.

Pros:
The only product I researched that had preregistration functionality that could still be segmented for privacy. Preregistration tracking is key to managing some of our guest access policies.
Cons:
Launch was a little rough because of an account setup glitch. It was easily fixed within a day, however, and it has worked perfectly since. I don't love the new service model without an assigned contact. The service staff are very responsive, but I prefer an account manager who knows the whole story of what we need.

Reasons for choosing Envoy

I might have actually gone with SwipedOn if they had prereg. Extremely cost effective and good demo. Ultimately, they did not, so we went with Envoy. I had also used it at a previous workplace. Sign In did not have privacy controls we needed. Proxyclick was exorbitantly expensive because of our setup.

Envoy has become an integral part of our environment. With connections to Active Directory, Teams, and OneDrive we have streamlined the visitor notification and NDA process. We are able to pre-register visitors to speed up their check-in time using the Outlook add-in. Using the Deliveries feature saves our receptionist and mail room additional time, while letting employees know immediately when something arrives for them. In addition to the portal record of all visitors, along with their picture, the Teams notifications give our employees a record of their visitors to refer back to when needed. It's also helpful now that all visitors have a badge to be able to glance down at it if you forget their name ;-).

Pros:
Envoy is very well designed for corporate environments. Our initial goal was simply a system that allows us to record and badge all visitors primarily for security reasons. We chose Envoy for the ability to notify users of visitors using email/Skype/Teams, which saves our receptionist time trying to track people down, and the ability to ask visitors to digitally sign an NDA.
Cons:
The integration was not difficult for our IT team, and the features and integrations have expanded significantly since we started using it in 2017. My only gripe would be the annual premium subscription and label rolls are a bit pricey for an organization of our size, but it is not excessive compared to other options.

Reasons for choosing Envoy

Range of features, simplified pricing, feedback from industry contacts.

We did not know about ENVOY when we laid off our receptionist, but I'm very glad that I found ENVOY a few months later, because - despite the fact that NOTHING is as good as a well trained human being at the front end of a customer visit - ENVOY makes the very best of the situation.

Pros:
Ease of use , for both Users and System Administrators. ENVOY is superior to Traction Guest, the other system that we used on trial.
Cons:
Integration could be easier to select, setup, implement and use. It might be because of the nature of the product, but of all the aspects of the User Interface on ENVOY, Integration is a problem for us. Our IT department continually asks me for assistance, and I'm not the IT expert. They ask me because I'm the closest to ENVOY, so I understand why they ask me, but this part of your UI needs improvement. If I knew exactly what to improve, I would write it here, but I'm not sure what it needs to make it as good as the rest of ENVOY.

Reasons for choosing Envoy

Ease of use, and finally, ENVOY matched the lower price that Traction Guest offered us. If it were not for the reduction in price of the ENTERPRISE system, we would still be using Traction Guest, because the price was that far apart.

Pros:
Health Check - Regardless of vaccinations, COVID-19 is continuing to stay with variants and spikes throughout the states and countries. The safety of our Associates and visitors is important. We have an onsite RN who has been providing service since March of 2020 and he truly appreciates Envoy. By including Envoy into our daily routine, we've been able to ease the mind of associates and visitors. The program is easy to learn/use and the best part is "the Bot" and if the "bot" doesn't answer the question, we are immediately directed to a "live" person. This is definitely huge. There are many other safety or security programs that take 24-48 hours to respond. Kiosk Multi language is a great success and we hope to see more languages, i.e. Vietnamese, etc.
Cons:
Side bar, when we view Protect and want to verify "employees expected" it jumps to Visitors. That has been the most confusing to many Executives , Managers, etc. Dashboard "Employee Registration" tab should only be available for viewing to Global Access Administrators and No one else! Settings is under Visitor tab and Settings should be on it's own tab.

Reasons for choosing Envoy

Envoy Protect! the Health Check, Analytics was exactly what we were looking for during COVID-19.
