About SmartProcess

SmartProcess is a cloud-based business process management (BPM) suite that helps companies to manage the workflow of their employees. The software provides tools for resource modelling, process optimization and publication of processes and documents.

Users can create process maps to identify key management processes so that all employees have access to business structures and dependencies. Process modeling can be completed using BPMN notation. The symbols display feature allows users to represent elements such as documents, standards, key data, risks and roles using symbols as part of the modeling process.

The software provides automated workflow management tools that help manage reviews, approvals and publications. The program also features graphical representations of changes users have made to process workflows. The document management system allows users to note when they have reviewed, modified and exited a document.

The software is available with a one-time license fee.

Smartprocess in small companies

System is good and easy to implement. So far we are very pleased to the system and we are looking forward to develop more functionalities by workflows.

Pros:

The system is easy to use and very well supports process modeling with documentation control. The system also has workflows that make it easy to manage processes. One big advantage of the system is the local system administrator and the possibility to modify workflows, forms, etc. without having to contact the system supplier every time. A big success with CWA is their support function, which works really well and most of the times you get a response within a couple of hours.

Cons:

There are some weaknesses in system to allow users filter their tasks in home page to show only the tasks where instant actions are required. Now Filtering can be done in cases, but filter doesn´t apply to home page. Other weakness what causes sometimes a lot of wasting time when creating new forms in workflows. When there is fields with same name it is really difficult to select correct one. This causes forms to not working at all or even crash the workflow totally This weakness could be fixed with visible field codes which are unique, then it is easy to use same source field in all places without temporary naming.

Reasons for choosing SmartProcess

Smartprocess was able to meet most of our requirements and the system seemed easy to use. Smartprocess also had configurable workflows, which was a huge advantage for the future development of the system. The pricing was also at the right level that the company could afford, if the system had been more expensive, we would not have been able to invest in it.

Ich bin begeistert!!!

Wenn man sich mit dem Programm beschäftigt, ist es auch ohne Schulung möglich sich ein tolles QMS aufzubauen. Besonders die Dokumentenfunktionen gefallen mir und erleichtern die Routine ungemein. Kein langes Suchen mehr und alles auf einem Blick und an einem Ort. Das System erinnert einen daran wenn eine Gültigkeit abläuft.

Anwenderfreundliches und selbsterklärendes Programm. Flexibel und für alle Branchen nutzbar. Man kann sich mit ein wenig Übung alles so gestalten wie es für das Unternehmen passt.

Cons:

Die Flexibilität und die fehlenden Vorgaben gefallen vielleicht nicht jedem, da man sich damit intensiv beschäftigen muss.

Pros:

I like the new front-end that came along with the update in June 2018. Especially the document management system is very handy and simplifies my job in the quality department.

Cons:

There are periods when the software is somewhat slowly. A few features are missing, like some field functions to readout ALL information you want into your documents.

Hervorragendes Tool zum Prozess- und Workflowmanagement

Guter Kundenservice. Auf Anfragen wird zeitnah reagiert. Der direkte Betreuer versucht bei Problemen praktikable Lösungen zu finden.

Pros:

Man kann fast alles selbst konfigurieren. Das Tool ist vielseitig einsetzbar. Die Hilfe bietet einen umfangreichen Einblick, ebenso die Videos.

Cons:

Schnittstellen sollten erweitert werden. Direkt zu SAP oder PowerBI. Bei Prozessen muss jedes Feld übersetzt werden, was mühselig ist.

Vielen Dank für die tolle Bewertung. Ab der nächsten Version ca. im Oktober ist auch eine Funktion enthalten, mit der man mit der Deepl-Integration ganze Prozesse und Workflows inkl. der Felder auf einmal übersetzen kann.

TOP Anwendung, die ihren Namen verdient

Wird hauptsächlich als Prozessdokumentation verwendet. Letzter Zeit vermehrt als Datenmanagement und Workflow, was Anwendungsbereich sehr effektiv erweitert.

1. Intuitive Bedingung! 2. Alles funktioniert, wie erwartet. 3. Guter Funktionsumfang. 4 4. Möglichkeit der Selbstgestaltung der Startseite sowie automatisierte Vorlagen, Workflows, etc.. 5. Mehrere Sprachen können angelegt werden 6. Super schneller und effizienter Support bei Problem oder Fragen - wirklich außerordentlich!!!

Cons:

1. Keine Möglichkeit Unterschriften in die Dokumente bei der Freigabe zu setzten. 2. Kataloge kann man nur einsprachig anlegen (Problem bei der Sichtbarkeit, wenn andere Sprache ausgewählt ist)

Im ganzen eigentlich zufrieden

Es werden seit längerem immer nur die gleichen Schulungsmodule angeboten. Produkt ist aber nach wie vor sehr gut.

Pros:

Prozessmodelling und Dokumentenverwaltung sind top. Mittlerweile gibt es einige Zusatzmodule und Funktionalitäten, diese sollten mehr aktiv angeboten werden. Videoclips.

Cons:

Organigrammausgestaltung ist zwar fuer das Prozessmodell tauglich aber nicht genügend um vorzuzeigen. (nicht Praesentationstauglich). Nicht Mandantenfähig.

Effiziente Prozessautomatisierung und Transparenz im QMS

Auf dem ersten Blick war ich etwas erschlagen. Man findet sich aber sehr gut in das System ein. Wir haben begonnen mit Smartprocess unser QM-System von Grund auf neu zu gestalteten. Bzw. mussten wir es neu aufbauen. Mit den Prozessmodellierer, dem Dokumentenmanagement und dem Workflow-Editor war es uns möglich ein super übersichtliches und verständliches QMS aufzubauen. Und dadurch das im System alles miteinander verknüpft ist, ist auch hier die Transparenz und Übersichtlichkeit auf einem sehr hohen und gutem Level. Smartprocess ist der perfekte Begleiter für dein QMS und perfekt für Audits :)

Pros:

Übersichtlichkeit und Anpassungsfähigkeit. Durch den Workflow-Editor kann man vorhandene Prozesse perfekt (teil-)automatisieren.

Cons:

Einige Funktionen sind noch nicht ganz ausgereift. Es ist aber nichts weltbewegendes. Es wird ja auch nach und nach geupdated. Fehlende REST-API um noch mehr mit dem System machen. (Ich bin mir bewusst dass es eine gibt, aber nur für Katalog-Einträge)

Vielen Dank für die Bewertung. Wir haben uns sehr darüber gefreut. Wir haben jetzt auch die Rest Api ausgebaut, so dass man die Rest Api auch für Workflows bzw. für die Vorgangsbearbeitung nutzen kann.

A game changer! The perfect tool to support our goal of standardising and aligning all our business activities.

Great service and support. The system keeps on opening up new opportunities for the business with regards to digitising processes, forms and workflows etc.

Pros:

The system is user friendly and the available functions allow us to create many workflows that support our business processes. Our processes are clear and transparent to the whole business for each user at every level. The reporting function is very beneficial for monitoring and managing.

Cons:

External persons (supplier/customer) not being able to save a form sent from SmartProcess, to send at a later date. As this means the user must complete the form in one go, which can be challenging when the forms are lengthy.

Reasons for choosing SmartProcess

SmartProcess offered many functions that are relevant to our business at a reasonable cost. The system is very user friendly and the service provided has been brilliant. We were also provided access to a demo system so that we could trial out the functions for a number of weeks before deciding whether to purchase.

Our tool for business process management

CWA SmartProcess is our tool for knowledge management focussing on business processes. All our processes are mapped in this tool, it is a key part of our Quality management system and is esential for our ISO 9001 certification including the recent transition to the newest standard.

The tool is very flexible, easy to use and pretty straightforward. It can easily be customized and provides a very good overview about all our processes.

Cons:

Some users were struggling a bit when using the process explorer to design processes, but this could be solved rather quick.

Pros:

The process modelling is intuitive and helpful in both the design period and for users. The customisation options give a plenty of flexibility. Document management options are easy to use and great for organising controlled documents.

Cons:

It is not always easy to find the correct settings that you need to change and the workflow management takes time to get used to.
