About Condo Manager

Condo Manager is an HOA solution designed to serve condo, homeowner associations and self-managed communities. The solution includes integrated modules for financial accounting, reporting, budgeting, task scheduling, billing and other management activities.

Condo Manager can store detailed profiles of owners, tenants, vendors, units, and associations. Accounting tools include check scanners and lockbox processing capabilities, with support for an unlimited number of different bank accounts. In addition, financial statements can be generated and customized with intuitive visual development tools. In addition, the system’s database can track the activity of owners, tenants, board members, vendors and other entities.

Condo Manager is available in a number of different versions, including PRO, PRO+, and Condo Manager Live. All three versions support Windows OS and can be hosted either on local servers or on a cloud for remote connectivity. There are also optional modules which include utility billing, payment processing, violation tracking and work order tracking, that can be acquired as needed.

    We were new to property management and reviewed many systems before we decided on Condo Manager. Since the initial contact with them, they have been very supportive. Our company is growing and we are happy they are along side us. In order to be successful you need a fantastic CRM system. I feel we lucked out, Condo Manager is a hidden gem and can't believe more companies in Canada are not using them.

    The customer support is amazing and very patient. They are very affordable. It is a simple enough system to learn, even if you do not have an accounting back ground. It can pretty much do anything you want it to do. I really like he 'practice' mode of the system. They want you to succeed.
    Cons:
    The online manual/help content is hard to follow. I have made mistakes and instead of bothering support have tried to look at the manual in how to fix it. It is almost impossible.

    We were provided a demo that we could look through. The other companies wanted to go through it with us, which we did that too. Compared to other companies it looked so straight forward and to someone who didn't really know what they were looking for, that is big.

    Our HOA management company has been family owned for over 20 years. When I took over several years ago, we were using another software system (I'll leave their name out). There are several reasons that drove us to look for new software: out dated technology, poor customer service, no flexibility, bugs in the accounting system, and a lot of manual processes for data entry. We manage homeowners associations, townhome and condo associations, patio homes, and several master planned developments. Our old system just could not support what we were doing. After countless unfulfilled promises from the old software company, we decided to start looking. After evaluating several products from other companies, we selected Condo Manager PRO, and I couldn't be any happier. Their software helps us manage everything in ONE system - no spreadsheets, no access data files, no unorganized file folders. We use their paperless document manager to store invoices, files, photos, legal documents, etc. Everything we need for our clients is available at the click of a button. There were a few "glitches" in the data conversion process, but that could be because all of our data was in an OLD database format. The support staff at Condo Manager was very helpful in getting everything converted to their system. They provided direct training for our staff and walked us through the entire learning process. Condo Manager is extremely user friendly. PROS -Stores data and tracks everything in one screen -User friendly, easy to learn -Helps track owner information, violations, delinquencies, maintenance issues, -Provides vendor management capabilities -Email statements, letters, and reports directly from the software (no added cost, one system we tried charges for this feature!) -Quick, flexible reporting -Works with bank lockbox and ACH functions -Owners can access their accounts online -Create custom letter templates for CC&R violations, ACC requests, and late notices for owners. This saves us a LOT of time! CONS -Comes with a default chart of accounts for associations. This can be customized, but please make sure you talk to your rep about any changes you want to make before you convert. -No cash basis accounting (we prefer accrual and report everything for the associations on accrual, but some board members just don't 'get it.') -This is very minor, but there is no spell check in their word processor. (Type your documents in MS Word and then import them in CM)

    They were great in the beginning

    I really loved this program in the beginning. It wasnt perfect but it was pretty good and it offered features that I couldnt find elsewhere. It seems that lately they have had more and more issues and its harder and harder to get help from support. Our "tech guy" is often on vacation. We have been sitting here for close to two weeks unable to bill our single family subdivisions for 2018 because we cant get support to fix whatever issue they have thats preventing it.

    Perfect system for managing associations

    We have been using this system since 2009. We have been very happy with our experience. Support has always been good and they have always worked with us if we run into issues or bugs.

    Condo Manager provides all the tools needed for managing homeowner associations and condo groups. Reports are customizable and easy to generate. Homeowners can access their information online without having to call the office for basic requests. Features are made for HOAs and condos - not rental properties. Everything is stored in one central location rather than tracking things in Quickbooks, Excel, file folders, etc.
    Cons:
    Data conversions can be a little tricky when we take on a new association. We have to copy and paste the data into an Excel template. After doing it a few times it's pretty straight forward.

    We had 4 1-hour training sessions over the phone and were able to master the basics of how the software was setup. This gave us enough confidence to explore the our possible uses for our POA.

    We are a Property Owners Association and needed the ability to create a directory of homeowners, tract annual dues payments and maintain financials against annual budgets. Condo Manager allows us to do all that and more. We have been able to track applications to our architectural control committee and violation of DCCR restrictions by lot number and address. It has been a very useful tool managing our POA.
    Cons:
    Condo Manager has so many capabilities, more than we will ever use, such as assigned parking, maintaining a rental database, etc. that sometimes the extra capability can add to the confusion and understanding the use of the software.

    It is very comprehensive and is much easier than maintaining 5 spreadsheets to accomplish some of the same functions. I like how it all ties together and the integration between modules. The ability to tack so many things and tie it all back to the property and owner. Support has been very good. I have only been a user for 2 months and still learning but I have been very pleased so far. Be aware that there are many pieces that have to be built from scratch but they have many defaults and templates that can be used. It is better to use those and maybe changes some of your processes than to customize the system to your current processes.
    Cons:
    The ability not to spell check and not having a more robust word processing module. I would like to seen them upgrade from Word 97 to a more recent version of Word and include more of the functions. While I believe the people doing the training are excellent and extremely knowledgeable I think training should be more extensive. The speed of the training and the fact that the trainer takes control of the computer to show how to do the processes and explain the different modules, it sometimes moves so fast that you can't comprehend everything and see what they are clicking on so you can't follow what they are saying. I feel like this has eaten up my training hours because I have had to go back to the trainer to clarify things and make corrections.

    Attractive user interface. When it is not frozen it operates fairly quickly. - It does allow us to respond to owner inquiries rapidly
    Cons:
    Frequent freeze ups. Poor customer support. Insulting or almost alway partial answers to our questions. VERY poor FAQ's help. Nonlogical flow of business processes (the interface is nice, just not logical). Web sites for each HOA are not updated effectively each month. (We are not confident yet that we can tell our owners to use them.

    I feel that Condo Manager as a company is understaffed and the support staff is overwhelmed. The staff themselves are very friendly and extremely knowledgeable. However, the brightest support tech in the world can't help a client if we can't get a hold of them when we need to. I am so frustrated by this I left this review. As a rule, I don't review anyone unless I can say something positive. However, this is such a problem for our company.....a make it or break it moment...and they just aren't there for us.

    Condo manager has amazing features that would benefit any company. Be sure going in that you ask more questions about the company...how many staff, how many are assigned to support and how many clients they have. I believe there is a big problem with sufficient staffing.
    Cons:
    There is no customer support readily available. You cannot call for support, only email. I you call Condo Manager for support, you get directed to an overseas answering service who can only take a message. You can email support, and the turnaround time is at least a day apart between asking a question and receiving an answer. Having a follow up question takes another business day to get an answer and so forth and so on. We have been working on getting condo manager set up and it is taking weeks and weeks to get the information uploaded and we cannot get our questions answered easily because we can only communicate through hurried and short back and forth emails with days between response time.

    A pro to this is that you don't have to back up your information and they keep records for you. Other than that, right now I don't have any other.
    Cons:
    The support team in not responsive to your needs and respond when they want. They don't care if you have work to do. They are not available after hours or on weekends so I guess they don't think anybody works other hours. I guess they forgot that managers work is never an 8-5 job.

    Everything is at your fingertips regarding units/owners/renter, etc. Our office manager finds the program very easy to use and is a timesaver for her. Their accounting department has been an excellent source of help in regards to accounting entries and questions. The CEO of the company has also been a great help. We made a few suggestions for the front office and the accounting department, which Condo Manager implemented.
    Cons:
    There's no right-click on the mouse; there needs to be a way for recurring payments/receivables to be easily entered. Also, on the accounting end, there needs to be a master look-up, where by just entering a name or unit number, you get the correct info. Their sales department needs to be more forthcoming about what and how much of your data will be converted by Condo Manager.
