Vault eTMF helps life science companies manage clinical trial operations. Vault Submissions creates a single space for regulatory documents from contributors, partners, and affiliates.

Veeva RIM provides users with an authoritative source for submission of documents, publishing dossiers, managing authority interactions, and registrations. Vault RIM also allows users to plan, manage, and track product registrations.

Vault PromoMats combines internal and external messages and creates marketing for new and existing stakeholders. Vault MedComms provides a common repository that integrates global medical communication content from all communication channels and geographies.

Finally, Vault Investigator Portal helps sponsors and clinical research organizations maintain audit-ready eTMFs.

    Veeva Vault has good features that are standard across the board, but they also integrate well with each other and allow a lot of extra features through customization.
    Cons:
    It can be a bit expensive for companies that are just starting off or are small - and there are alternatives out there that are good enough or can suffice for the time being. Also, if someone is not trained well, they can definitely make major issues in the system and support from Veeva may take too long to fix certain large issues.

    Marketing experiences with Veeva Vault

    Overall, its probably the best system I have used for document management. Veeva have thought of everything. You can pay less for other systems, but on the surface they seem to do the same, but when you start using them, the finer details and features are lacking with other systems. Stability is also very good. It doesn't freeze when managing large documents. It doesn't crash. This might sound basic, but other systems freeze and crash on a weekly basis, wasting time. I have used 4 of these systems at large international pharmaceutical companies, and this is my preferred system.

    Pros:
    As job creator, it is easy to upload documents, link documents as references, and send virtual job bags to a team for review and sign-off. It date stamps each action, which covers you, if project run late, it objectively demonstrates where bottle necks are in an organisations 'sign-off' team. As a reviewer, the exact text in a substantiating reference to a claims made in documents are shown, saving time looking for exactly the right text in a reference. It is intuitive to use, if have experience using other review and approval systems. It is reliable and doesn't crash like other systems. In 2 years I have never needed to call their Support team. It can handle different media types for review, such as pdf, video, etc very well, better than predecessor systems.
    Cons:
    As a job creator, it takes time linking references to a document, unless you like repetitive tasks. If you upload a new amended version after 1st review of a document, it can loose the linked references. Which if its a 10 page document with 30 references is frustrating. There is a copy references, button, which does take the references into a new document, but it can drop links to which text the references are substantiating. As a reviewer, it has no Cons.

    Hard to tell how much of my experience is related to my companies configuration or implementation. But generally, the tool never impresses me. There's enough UI bugs that lead me to believe that much of my frustration is Veeva's responsibility.

    Seems to be mostly stable and no unhandled bugs. It is usually quite snappy/responsive.
    Cons:
    Poor search functionality; for a content management solution search functionality is vital. If it fails on this, it's dead in the water. Veeva seems to be aware of this deficiency, and had documented their way out of it. They should just fix it. There's other issue/UI bugs that I would expect to be caught during beta testing. Some examples: if text is entered in the search box, and an item is hovered over, the hovered item is returned when pressing enter, the search text is not executed. There are drag areas for files that do not always work. The main search bar does not search everything; by default is searches documents, pasting/searching a change control ID in this state does not return the record.

    A good choice for life science

    Overall experience Veeva Vault is a strong choice for organizations operating under strict Life Sciences regulations that need a unified, validated platform for content and quality processes. Its biggest strengths are compliance readiness and configurable workflows. Conversely, projects that under-resource configuration often face usability issues and disappointing search/results.

    Cons:
    If content is poorly tagged, search efficacy drops. Automated classification is improving but still requires process discipline.

    Vault was made for our industry. I like that integrated audit logs as well as GxP compliant. Controlled documents, such as batch records and labels are easier to manage than ever.
    Cons:
    It’s not expensive, and admittedly had a steep learning curve for non-regulatory or seasonal professionals.

    Document management across different sites

    Overall this has been great for sharing documents between sites such that all employees are kept up to date with latest document releases. This includes protocols, updated announcements on inspection, and even safety announcements. Users must acknowledge and e-sign to show that they have read and understood the contents, which is then tracked and sent to managers for compliance. The workflow is very streamlined and aside from slight confusion when logging in, it otherwise seems to work wonderfully.

    We use this application to manage training materials and documents that we need to share across sites and ensure all employees read and acknowledge. Veeva allows for version control between different drafts of the document, as well as the option to share the document between multiple owners, which is great for when you're working across state lines and time zones. There is also a date control for retiring the document upon expiration so that you no longer need to manage expiration for GMP (or just time sensitive) related files.
    Cons:
    The login process to view the document has caused some headache on our team. Veeva seems to be only somewhat incorporated into the company workframe, meaning users have to sign in with a different username and password than what they would do to log in to other company resources using company credentials.

    I used Veeva Vault, specifically the PromoMats app, at one of my previous jobs. It was a huge step above EMC Documentum on-prem implementations for dealing with 2253 Forms. If you are an end user, Veeva Vault has a really intuitive user experience, and their annotations tools (ex. different color annotations, highlights, etc.) make dealing with promotional materials a breeze.
    Cons:
    From an administration and configuration standpoint, especially for lifecycles and workflows, Veeva Vault can be quite complex. Guess that's why they offer really expensive certification... which I'm fine with b.c work paid for it. The admin interface and the process of validating whether or not your workflow will actually work is not the most intuitive.

    As a medical reviewer of documentation that is provided externally, it's an absolutely joy to work within Veeva Vault. It is easy to operate, upload, and review documents. There is an interactive means by which comments can be added and responded to on the relevant document. It's also a great place simply to organize content, and to make it available for applications for CRM. The software is continuously being updated and they are very receptive to feedback. Takes no time to set up and is easy to train new users on.
    Cons:
    This may be specifically an admin problem, but I've noticed some problems with action items, where 'Approve for use' will appear twice. Seems like these things do get fixed quite quickly once escalated.
