About GCPay

GCPay is a payment management solution that helps construction enterprises manage calculations, payment applications, remittances and lien waivers via a unified portal. It offers a host of features such as document storage, remote access, role-based permissions, contact management and more.

The application lets teams create automated workflows, handle contractor/subcontractor payments, and reject or approve applications in real-time. It enables administrators to notify subcontractors about payment applications via email reminders and automatically collects compliance documents before the submission of applications and send alerts about the expiry of documents to subcontractors.

GCPay supports integration with various third-party ERP applications such as Sage, CMiC and Viewpoint. Additionally, supervisors can generate billing summary, monitor approved/pending applications and export reports for further reference.

My experience with GCPay has been exceptionally positive, as the platform offers a robust, enterprise-grade solution for managing the complexities of construction billing and subcontractor management. GCPay transforms the traditionally chaotic construction billing process into a streamlined, digital workflow that effectively eliminates the "paperwork chase." By automating the creation and submission of AIA-type progress billings, the platform ensures mathematical accuracy and consistency, significantly reducing the back-and-forth typically caused by manual entry errors or formatting issues. Communication is equally frictionless, as the platform acts as a centralized hub where general contractors and subcontractors can exchange lien waivers, compliance documents, and approvals in real-time. Cons:

Nothing! Everything flows so well. One thing I would like to mention would be if general contractors would notify of and waiver changes via email.

Good, Not Great

It's a great tool that allows everything from schedule of values to monthly billing to lien waivers to be in the same spot. However, the payment times have been an issue since most contracts are pay when paid and GCPay sits on the money to gain free interest before sending it out to the subcontractors.

Pros:

This is a great way to eliminate the hassle of chasing down lien waivers and has all pertinent information all housed in one centralized location. This has also eliminated any chance of fraud as payment is direct deposited with no chance of lost/stolen check. And the support, when needed, is available and helpful.

Cons:

Payment turnaround times leave a little to be desired as there are 3 steps from the GC hitting send, to payment being recognized as submitted, then there is a lag time for processing until finally payment is sent to the subcontractors.

Direct deposit allows us to eliminate the threat of stolen checks.

The support team is amazing. Whether helping with issues with vendors, or by helping us backfill legacy projects.

Cons:

We've been waiting on an API for several years, but due to other priorities, this standard functionality continues to get overlooked.

GC Pay Applications

As a GC, using GCPAY is easy to learn and efficient. While I do hope for future rollout of being able to edit applications, I really appreciate the waivers feature that makes my life a million times better.

Pros:

Easy to view and sort through multiple pay applications as a GC. Love the waivers feature makes our lives a million times easier.

Cons:

GC cannot edit or create pay applications on behalf of a subcontractor like in Procore. (it's just needed sometimes.)

Reasons for switching to GCPay

Procore was too expensive and clunky. It did not integrate into out API very well either.

Overall it has been pretty satisfactory, the cost is somewhat high but it is nice having one platform that speaks to another, and handles all subcontractor issues. The learning curve was light since they help a lot during setup and support has been great after that.

How it keeps subcontractors in line with out me having to constantly check on them. It's easier to tell them that GC pay requires it rather than explain all of the nuanced details of the why.

Cons:

The restrictions on getting somethings done, but customer service has been outstanding in getting stuff fixed

Smooth Pay Application Process

Overall, working with GCPay has been a good experience. Accounts receivable runs much smoother with GCPay.

Pay application processing is much easier as revisions and monthly roll-overs are completed automatically. Also, having all jobs listed in the same software increases productivity.

Cons:

Notifications that change order documents have been created are sent by email, but the change order document is not visible and must be sent through DocuSign or another program.

Great, it's a good product that makes invoicing easy. The customer service is always helpful and efficient.

The functionality is great, making the product easy to navigate. When you do have issues, the customer service is outstanding!

Cons:

GCPay needs to work through how the mapping gets completed. If there are multiple cost lines on a contract, it's difficult to work through the billing of that, especially with change orders.

It wasn't me that made the switch but we needed something that took compliance into account and made accounting's lives easier.

Cons:

Wish that Contractor Certificate of Insurance and Lien Waivers would sync to Autodesk to make it easier and not having to upload it.

GC Pay Review

Overall I think the transition was pretty easy. Not many complaints with GC Pay so far. The chat response is always super quick. Subs seems to like it from their end, not getting too many complaints.

Pros:

Automating the waiver process and the ease of attaching backup. Stored materials, insurance certs, etc.

Cons:

The way owner change orders show up on Pay Apps is confusing/hard to explain to the bank inspectors. Making small edits, like period to dates is out of my hands as a PM so sometimes there's a bunch of back and forth to get things fully approved.

Accounting made the switch and PM's were just notified after it was done.
