About Microsoft SharePoint

Microsoft Sharepoint is a knowledge and content management system (CMS). The product also provides collaboration tool capabilities. The solution offers typical CMS features like document and digital asset management, case and contract management and reporting and analytics. All these combined features enable users to create, manage, and review various content types from one central location.

SharePoint enables organizations to manage documents and other file types throughout their publishing lifecycle. Users can also leverage its interactive dashboards and scorecards to create content reports. These reports can help users pinpoint and build solutions for content and publishing needs.

Sharepoint’s CMS system also includes website content management capabilities. It features capabilities for managing both published content on websites, as well as unpublished content. Sharepoint has content support capability for both external sites as well as internal intranet sites.

Sharepoint offers both on-premises and cloud-based options. Pricing structures are different depending on the chosen deployment options.

Easy to access and have all the information readily available for all who have access. It is also good for storing the information for use at a later date.
Cons:
still cannot be used offline so if you do not have stable internet or are working in a remote part of the world then it makes it difficult to connect.

SharePoint Does A Lot, But Can Be Frustrating

SharePoint is a great singular application that can take care of many needs. This can lead to the application being bloated, but also very useful. Permissions are hard to get right, but this just means taking extra time upfront. In addition, support for SharePoint is very good, with a good amount of documentation available.

SharePoint does document management, intranet, and a low-code platform all-in-one. This makes it a one-stop shop for your organization to have their sites, files, and documents in a single location.
Cons:
The permission system can be a nightmare to get right. Permissions are not always inherited properly with group permissions and individual permissions being difficult to manage. In addition, you have to deal with M365 groups vs SharePoint groups.

Reasons for choosing Microsoft SharePoint

It was cheaper to go with SharePoint as a single, integrated solution. While it may not be the best at everything, it is much easier than needing multiple platforms to achieve the same goals.

Microsoft SharePoint is great for virtual teams to interact with each other on a daily basis. It’s easy to upload files and share them quickly.
Cons:
The newer Microsoft Teams seems to be able to do everything Microsoft SharePoint can do. While our virtual team still uses SharePoint for filing and sharing files, we started using Teams more.

The infinite space to store data, documents, folders, images, and hour or longer videos. The ability to securely share large files.
Cons:
Lack of training for all the tools they provide. It should be more advertised so that it is more widely used.

Reasons for switching to Microsoft SharePoint

Ability to sync and store larger files and larger amounts of data. Integrated seamlessly with all of our other tools and applications. Much cheaper.

It is easy to share files with others and to track versions. I also like the calendar feature, making it easy to share appointments with others.
Cons:
Navigating it can be confusing, but that may be how our IT department configured it. There used to be a feature that let you copy documents to another folder and have any changes to the original sync to the copy. I cannot find this feature now.

The ability to expand our library without hassle. The ability to add more SharePoint sites for each team, and keeping each teams responsibilities separate.
Cons:
The OneDrive connection to the File Explorer constantly is having issues and not fully syncing. If there is a small period of time that the connection struggles, we are taking way too long to catch up.

Decent for sending & accessing files via shared links... but a massive pain to FIND files

It is absolutely one of the weaker offings from Microsoft. Their product messaging is also very confusing. Even after being in the 365 ecosystem for nearly a decade, I'm honestly still not completely sure of the difference between SharePoint and OneDrive... IS there a difference?

Since my company already uses most of the other products in the Microsoft 365 ecosystem, SharePoint provides a basic way of sharing files across the different apps and between coworkers/teams.
Cons:
While using it for sharing a file at a time is a decent experience, using SharePoint as a true cloud file management system is kind of a nightmare. Going right into SharePoint to find a specific file you know exists is sort of like trying to find a needle in a giant, poorly managed, unorganized thrift store full of assorted junk.

We love using SharePoint to collaborate with different directors and it makes it easy to share documents without having to email or track them down!
Cons:
I would say that the only thing is that sometimes when opening Microsoft apps through SharePoint, such as Powerpoint and Word, they don't always transfer over nicely, so be sure to download your work!
