certain settings are hard to find. It would be nice to have them all in one tab called "settings" with tabs within that to separate payments, memberships etc.

Excellent for managing a karate school

When we first started implementing Gymdesk, we took advantage of the ability to ask questions via a Zoom consultation, which answered many of our initial questions regarding set-up and integration. After two months up and running our school, it has proven to be well worth the investment! We have had an excellent experience thus far and anticipate continuing to enjoy this interface for years to come!

Gymdesk was easy to learn and implement. We enjoy having an all-in-one solution for managing our member lists, program registrations, payment processing automations, check ins and attendance tracker. Managing our school calendar in the Gym Schedule section has worked well and integrated well into our external website.
Cons:
The only frustrations we have consistently encountered are from parents desiring to sign up more than one student member at a time. Having to do the entire registration process separately for each of their kids is time consuming and has an high time cost. They have also expressed a desire to have a parental non-member account to manage their karate students’ memberships from, as opposed to designating an arbitrary child to be the Primary family member account.

Basic Software with Industry Trailing Features and Customer Service

We first started using Gym Desk at the end of 2024. In January 2025, we fully switched from a previous CRM (Zen Planner) to using Gym Desk full-time for managing our martial arts school of ~350 members. By every account, we switched to Gym Desk at precisely the worst time. The company has changed in all the wrong ways (acquired by private equity), causing both gym [sensitive content hidden] and members to suffer from this transition. If you are looking for a basic CRM that can process automated monthly payments, Gym Desk is a suitable option. If you require any additional functionality, such as using a schedule, booking, attendance, private lessons, financial reporting, etc. I'd avoid this platform. It just cannot keep up with tasks beyond member sign-up and automated billing. The quality of customer service has declined so fast, even in the short time we've been clients. You will wait a week for a reply that doesn't even solve a problem or answer a question.

I was drawn to Gym Desk because they employ what I perceived to be trustworthy business practices, including integration with third-party payment processing, transparent pricing, and no contracts for using their software.
Cons:
- Weak reporting and bulk action capacity. You can only view/select a maximum of 100 members at once, and the bulk actions are extremely limited, forcing many changes to be made in each individual membership. For example, there is no option to bulk upgrade student belt rankings or even filter by age or unsigned documents. - Customer service is only available via email, and it can be quite slow. - Poor design flow navigating within the platform - the system flashes to different windows with stark appearance changes when you click around settings and navigate different tabs. - Limited customization for email notifications and automations. - No ability to book "appointments" aka private lessons without adding memberships and pre-scheduled timeslots. - Duplicate workflows with varying "features" instead of a single optimized approach. For example, the key features for calendar management: booking students, cancelling bookings, and checking in are not available in the same spot/workflow. - No staff app = no effective approach for tracking accurate attendance.

Zen Planner offered proprietary payment processing with no access to data or reporting.

I want to like it more than I do

GymDesk is overall a really simple software and offers a lot of potential to be one of the better ones out there. I've used a lot of different gym CRMs, and no software has ever offered everything I needed; GymDesk is in the top 5. I think the best feature of the system is the member management, specifically because we have multiple age groups, programs, and rankings. We can customize all sorts of rank and program requirements and associate those to belt testing and grading, etc. There are apparently updates on the way to improve their event management side, allowing for variant pricing options. Until then, the only option is to make every event free, and then charge appropriately in the POS, but then the rosters are not connected. The Growth charts are a nice touch but the details are not adjustable and running custom reports is not really a function, despite being told you can filter lists...not enough. Lead management gets the job done, and the automation section has a lot of potential but is limited in scope. I really want to like this software and I've been patient for updates to improve the little things but it tends to be almost great at a lot of things, yet not great enough at most.

member profile management is thorough, rank and program management is great, contract setup is really simple, and the interface is easy to navigate. Customer Service is friendly and has good response time.
Cons:
Reporting is extremely limited and not entirely clear with the information it presents. Event management is poor.

I used Spark previously and wanted to try GymDesk as an alternative but I should have gone back to Spark with the way things have been thus far.

Gymdesk is Best!

We just opened our academy, had a lot going on especially moving our lives interstate. Gymdesk was recommended by a few other gyms when I was tossing up different softwares. I researched it, and I loved the features. It's straight forward and super easy to use. Makes my admin life a whole lot simpler

We love everything about it other than the website builder. Managing leads, students, emails, waivers, pretty much whatever has been super easy..
Cons:
Our only issue with website builder is that it downgrades our quality of photos and images don’t fit properly and are not scale able to fit.
