Artwork Archive has certainly grown on me. I find it most useful for not only documenting artworks, but also archiving published documents as well. I use AA as a secondary publishing source for my Titan Contemporary Journal essays on the News section of my profile. Probably my personal favorite tool is that I can keep track of the detailed exhibition history of individual works of art, keeping that information organized and on hand can be very useful down the road. All this is on top of the benefit that I can post calls for entry for my publisher Aedra Fine Arts. I would highly recommend the service to any artist, art writer, collector, art administrator, or professional working in the art field to sign up for Artwork Archive.

[sensitive content hidden] and his team at Artwork Archive helped us transition our extensive artwork inventory database from our previous DAM software. We would have liked a field for the old invientory numbers but [sensitive content hidden] helped us through by designating an unused field for it.

We wouldn't be able to run a successful art collection the size of ours without the software and support that Artwork Archive has provided over the last few years. Their team is exceptional and they genuinely care about their users both great and small.

Pros:
Keeping track of your art business, inventory and collection is complex and time-consuming. Artwork Archive takes the pain out of art business management and makes your non-art business interactions look like a million dollars. It's simple and easy to use and will grow with your career. Customer support is second to none. The founders often reach out and have conversations with their users.
Cons:
Customizable fields and definitions. Better integration with personal websites not using embed codes. A plan and functionality for estate collection managment.

It has so many features that make maintaining inventory and creating /selecting work for events and shows so much easier. It is a great tool for managing inventory locations and sales!
Cons:
Having already had a large inventory and needing to enter data initially was a huge project. I'm really glad I did it though. It is so worth it. I just made it a part of my routine to enter a few each day or so. While existing files can be entered as a batch it all depends on your existing (antiquated software, in my case) as to just how much that will work for you.

Reasons for switching to Artwork Archive

The software I was using was no longer being upgraded and it was gradually becoming obsolete. When I bought a new computer it would not transfer.

There's a place for everything and Artwork Archive is the place!

Overall, since using AA, I can now appreciate the breadth and depth of what I've been able to achieve in my art practice. I credit that to entering the information into the archive and seeing it reflected back. I still have hundreds of pieces to enter, but I'm happy with what I've been able to acheive thanks to the introductory webinar and the excellent help of the staff.

I'm thrilled that I am able to store so much information from size and price of a work, to the location and the expenses occurred along the way. It didn't take long to learn how to create a "piece" record for an individual artwork, but it took several days for me to appreciate the amount of data I could enter! I'm excited to begin the new year charting all of my expenses and income on AA and happy that I no longer have to spend minutes searching my computer for whatever file holds the information I'm looking. I'm also grateful that the staff of AA respond quickly - important as sometimes transactions with art are fast moving. Overall a great value.
Cons:
I think that the public profiles on AA could be more aesthetically pleasing. In comparison to the website templates on a site like SquareSpace, the visuals are a bit stiff and the way in which the art populates the portfolio appears crowded.

Recommended over Past Perfect

As a former museum curator and more recently a hospital art collection manager, I think Artwork Archive beats Past Perfect for ease of use and value for money. It can be used as a one-stop database for artworks, locations, donors, artists, organization members, etc.

Artwork Archive delivers great value for the money. As a collection management tool, it offers everything you need - the categories for data management line up perfectly with everything you need to record. It's also very easy to master.
Cons:
I've been using the Artwork Archive for 10 years as a collection management tool. My experience post-dates my museum work, so I can't speak to how a current museum would find it for their public databases.

The staff are SUPER responsive, helpful, and really try to see your point of view. They also carefully consider every request or need from any user and VERY helpful with instruction when there is an aspect that I did not understand or know to use. I would panic without having Artwork Archive to use.

At this point I believe Artwork Archive is the perfect tool for an artist just the way it is! I have asked for stupid things in the past, like offer websites and such, but have grown to realize (read: learned to use) Artwork Archive that it is the most helpful thing in my life. I recently rebuilt a new website on a new service (Squarespace) and so many options are open now it's almost overwhelming.
Cons:
After years of use, still nothing, no "cons" at all! They produce helpful videos, host helpful webinars, and are quick to offer friendly assistance in every jam. If that's the worst thing I can say as a grouchy, critical human being, then the choice for you is obvious- subscribe to Artwork Archive!

Artwork Archive in an Integral Part of my Arts Organization!

Artwork Archive is an integral part of our program and we would be crippled without it. Pros:
We love how Artwork Archive allows us to manage our art and track it through the seven locations we have. This tool has become an integral part of our daily routine for our sales and inventory.
Cons:
The reports for all the artwork do not have the location history, but the locations do. We could use it for all artwork.

You'll find it listed as "Export" next to the Location History section in the artwork record. This came from user feedback last year and we were happy to implement the change.
