    Efficient, Logical, and Ready to Elevate Reporting

    Datarails has significantly improved our financial reporting process, making it faster and more structured. The platform’s logic and ease of generating Flash Reports provide excellent visibility, especially compared to Netsuite’s limitations. While there are some technical quirks—like extra steps for certain reports and version control challenges—the overall benefits far outweigh these issues. It’s a powerful tool that helps us deliver accurate insights quickly, and I’m excited to explore more advanced features like charts and custom reports.

    I really appreciate the structure and logic built into the platform. In my opinion, this solution is excellent, especially considering that Netsuite is not the most user-friendly ERP when it comes to reporting. This tool has truly opened up new possibilities for visibility in reporting. What I like most is how easy it is to generate a Flash Report of the financials and how quickly we can dive into specific details.
    Cons:
    I’ve noticed a few technical challenges. Some reports require downloading and refreshing in Excel or recalculating on the platform, which adds extra steps and validations. Collaboration can also be difficult—when multiple users work on the same Excel file, managing updates becomes cumbersome. Additionally, the need to frequently download files creates multiple versions, making it harder to maintain consistency.

    From Skeptic to Believer

    As an overall natural skeptic, Datarails has given me a new perspective on my financial tech stack. As an ASC with BI coming from multiple sources, we needed a platform that could truly integrate everything, not just promise it. Datarails centralizes our disparate systems, connects them to historical financials, and is on its way to becoming a single source of truth for budgeting and forecasting. It's eliminated the manual visual build-out headaches and freed up time for actual FP&A discussions, making it easier to keep leadership aligned without building custom reports from scratch.

    The platform's ability to centralize multiple data sources seamlessly. We integrated two EHR/ERP systems, Paycom for HCM, and two other applications, and Datarails was able to crosswalk our chart of accounts historically to connect financials and aggregate data without losing anything. For those of us who still live in Excel, it remains flexible for ad-hoc reporting. The dashboards have simplified executive visibility into key clinical and operational metrics. And the customer service team follows a servant-leadership model, is highly responsive, and is always willing to help.
    Cons:
    The Storyboards narrative tool can sometimes glitch if you don't size or format the visuals to the board's native resolution.

    Datarails Improved our Financial Reporting

    Overall the Datarials product is everything we needed to empower our Finance team to perform efficient and effective FP&A. The product is great, but ran into some hiccups during implementation. From the beginning we were very clear on wanting to be able to link our GL to other data sources and tried to gauge how much of this we needed to do versus changing our GL posting processes to include said details. It took weeks/months into the implementation of asking and eventually getting a new more experienced implementer to show us this process (which wasn't as easy as we were hoping). We also ran into issues with our Excel Add-in not working properly because our PCs had both the Mac and Windows Add-in. The troubleshooting and back and forths on this issue persisted for months until it got identified and resolved. At times it felt like we were driving the ship not knowing exactly what the next steps were in the implementation when there were plenty of things to do. Overall, Datarails wants what is best for their customers, but their lack of internal communication and turnover in their organization made the implementation experience drag on.

    The data mapping functionality is a really great way to get your data into a structured table setup that you can access anywhere in Datarails or Excel. We were able to update our GL posting processes to include more detailed descriptions and map those descriptions split by delimiter to the fields we wanted in datarails. We now can instantaneously report on all of our expenses by vendor when that could not easily be done before because of the data being segregated and in different formats.
    Cons:
    There needs to be an easier way to make sure signage is consistent across data sources. Datarails should be clear on setting a standard convention of signage for the data inputs and alert you when that is not the case when setting up a new data source. Datarails should then make it easy for outputs (reports/dashboards) to flip signage as necessary. For instance, we wanted to show Revenues as positive and Expenses as negative in all of our reports. We mapped all of our data so this was standardized, but had hiccups as dealing with multiple sources of data where signages weren't consistent required intentionality to change signs and make them consistent within the data mappers. Then when creating dashboards there wasn't an easy way to toggle the graphs to show expenses increasing left to right above the axis. The solution is to create another amount field that converts expenses to positive values. This isn't ideal.

    The speed at which you can pull data and slice and dice it from our financial system is impressive. It’s given us the ability to create reports and roll-ups that would have been a distant dream in the past. It did take us a while to get used to, and we’ve been using it while also building our budget within it, but now I KNOW it’s going to make our day-to-day so much easier going forward. I also LOVE that you can drill into balances to get transactional-level detail, rather than having to go back to our system to analyse it. WIN WIN! Our implementation provider Mihir was excellent and so helpful at taking our dilemmas about how to do something in Datarails and giving us a practical method
    Cons:
    It’s quite annoying that Datarails is so sensitive to capitalization and lowercase. I wish it could simply default the parameters to one or the other, so I don’t have to worry about case differences.

    So far, so good

    It’s been good. Once fully implemented I expect it to be great. We are about 25% implemented. The remaining plans are much easier to build and roll out now that the foundation has been set up.

    The Excel plug in is fantastic. The fast syncs and data visualizations have been very helpful. We implemented a workflow for our budget development process and it saved us a lot of time.
    Cons:
    It was very long set up before we were able to start working on outputs like dashboards, reports, and forecasts.

    The product is still being implemented, but we are already very impressed and excited for the platform to ease our month end reporting process. I love the infrastructure and capabilities.
    Cons:
    Having to always connect when using the Excel add-in. I also am not a fan of my boss having to share reports with me.

    A Flexible BI Solution for Growing Teams

    I really like the Excel add-in features. The ability to create graphs, data tables, and widgets in Excel and publish them to a dashboard with auto-refresh allows complex calculations to be performed in a refreshable manner. I also like the version control and data storage features, which let us roll back to previous versions and review historical data.
    Cons:
    The custom functions inside the Data Mapper can be finicky and difficult to use. Additionally, the ability to apply aggregate functions within a dataset is very limited compared to Power BI and Tableau.

    Useful Aggregation and Reporting Tool

    The tool is useful for aggregation of financial data and creating financial reporting. Response times and customer service from my implementation manager [sensitive content hidden] have been fantastic. Use of the product certainly reduces manual manipulation of data to aggregate from different ERPs, however, by solving this problem there are other areas that require investment such as communication with the Datarails team to stay on the same page about data sources and calculations. Use of the product requires getting up to speed on the environment and features in Excel. I think these areas are intuitive enough for a finance person but potentially a little steep for a casual user outside of FP&A (even if just using in Excel). The product does its job well, if you are lacking in top notch Excel talent or data sources are unwieldly this software can provide significant value at the fraction of what it would cost to make a new hire with the requisite skills.
