OWL EHR – Started Strong, Declined Significantly Over Time

OWL EHR was good in the beginning, but it has declined to the point where it is no longer reliable or cost-effective for a group practice. They recently made changes with their clearinghouse without notifying providers in advance, which caused a wave of rejected and denied claims. We had to spend hours updating addresses, PO Boxes, and resubmitting claims, all because of changes they never communicated. Customer service is another major issue. It often takes a couple of days to get a response, and when they do reply, the instructions are extremely basic, things any user already knows. It feels like they’re buying time while practices absorb the financial impact of their mistakes. Meanwhile, we end up manually fixing claims one by one, costing time and revenue. The reporting features are essentially useless for a group practice. There are no meaningful reports by diagnosis, by clinician caseload, or by active vs. inactive clients. You can technically pull this information, but only by downloading raw lists and manually cleaning them every single time, which completely defeats the purpose of having an EHR. The financial reports are inaccurate and unhelpful. They don’t separate actual profit from insurance denials, write-offs, rejections, or pending claims, so you never get a true picture of revenue. For a group practice, this is a major limitation. Reviewing associate notes is also inefficient—you can’t send a note back for revision inside the system. Instead, you have to email the clinician separately to request changes, which is a ridiculous workaround for something that should be built in. The workflow has become so inefficient that I now have to submit some claims through OWL, others through the Blue Shield provider portal, others through Availity for Anthem, and Optum’s provider portal for that insurance. This completely defeats the purpose of paying for an EHR with billing capabilities. They also submit only one claim per CMS-1500 form, instead of batching six claims per page. At $0.25 per sheet, this may seem small, but with 10 clinicians and 100+ clients, it becomes expensive very quickly. It also creates eligibility checks and charges you for that every time. The copay is then deleted when this happens, and I have to go one by one to charge the copay for every client. They been "working" on this fix since May 2025. Add to that the growing amount of manual work, and the cost savings of OWL disappear fast. Telehealth is another frustration, the system frequently doesn’t work, forcing us to use Zoom or Google Meet instead. The platform also requires excessive clicking for basic tasks, slowing down workflows even more. Overall, OWL might be fine for a solo provider, but for a group practice, it is not worth the time, stress, or hidden costs. We are actively looking at other options, and frankly, paying a little more for a system that actually works will end up costing far less in admin time, lost revenue, and repeated claim issues.

It took me a long time to set it up and feel like I had a handle on things. For main functions, it works, but when I need to make deeper changes (like services with different fees, changing details within a client profile), I'm always floundering.

Integrated secure video function, which turned out to be less quality than using Zoom (which I didn't realize would be secure enough for confidential therapy). Now I use Zoom exclusively. I also use Jane for another clinic I work with, and appreciate the flow and aesthetic. I also appreciate the integration of credit card payments with automatic receipts mailed to the client.

Bait and Switch

It started well, but I find Owl's business practices unethical as they use bait and switch tactics, offering services at a lower fee and then taking them away and charging more for them by including them only in higher packages. We are not impressed.

Can forgive the technical issues, can't forgive the terrible service.Because of the dearth of technical issues, we spend dozens of additional hours a month manually resolving issues to ensure our claims are paid, our accounting is accurate, and our financial obligations under insured contracting are met.Despite repeated attempts at working with Sr. Leadership to coordinate and resolve issues, we are left in the dark without real progress. The front-line service folks do their best, but leadership fails to deliver on commitments and makes no effort at proactive communication. The corporate culture of communication is silence.

I love using Owl, and I have had a pretty decent experience. The occasional glitch and things going down are really inconvenient- but understandable. I really HATE that I can't call Owl, but that they you have to email them and then wait for them to call you back- only if you request it. This needs improvement for sure!
