Affordable, comprehensive platform with superior admin / user support

Hundreds of hours saved in responding to questionnaires and RFPs. RFPIO offers very competitive cost savings over most of the larger RFP software providers. The same functionality at a fraction of the cost of the big guys. Customer support is top notch - all questions or requests for help are addressed within the same day (or within 24 hours at most). Great, direct support from the management team - no call centers, no outsourced product support. You get assistance from people who helped build the product.

Pros:
RFPIO's answer library is a miracle with great features. The library provides a way to assign different owners and keep individual Q&A pairs updated in real. Access to our stock answers saves our users and SMEs hundreds of hours each quarter and affords them more time to devote to their primary job functions while spending less time on researching technical responses.
Cons:
RFPIO is great for small to moderate sized teams. For larger organizations who complete 20 or more RFPs per month with multiple RFP teams working at the same time, multiple, parallel instances of RFPIO may be needed to best suit those needs on a grand scale.

An extremely powerful content management system for RFPs and Sales content.

It's been a great experience. A huge step up from our previous platform. The power of the platform is a clear win...the flexibility and options to manage and review content is second to none. Once familiar with the platform, it offers amazing flexibility to a power user.

The rich feature set and flexibility around managing content is excellent. While it's a little intimidating at first, the amount of functionality is one of Responsive's strong points.
Cons:
Occasionally there's bugs and glitches. I think the downside of having so many features and functionality is the risk that code clashes sometimes and bugs are present. Responsive is very errr...responsive with bugs and addressing support tickets which is a plus, however, it would be good if bugs weren't present in the first place of course.

RFPIO New to our Organizaion

Overall I didn't mind using RFPIO, but did feel it had several issues. The last RFP I had I ended up manually saving after every line as I didn't trust that the information would still be there the next time I looked and sure enough, I required my bid leader to find all the information that I typed as it all disappeared. Thankfully I saved all the time so didn't lose much. The AI was getting better as we were increasing the RFP Data base. I am sorry to say though where there are several things I liked about RFPIO,, at this time I would not recommend it as I want more control over the document.

Cons:
1. Limited view of RFP or the difficulty to reviewing the document 2. Garbage in is garbage out and if there isn't enough responses for a particular question then no data 3. Difficulty of editing, undoing to adding special type functionality 4. Requires automatic save as the solution seemed to consistently delete material and very difficult or impossible to retrieve it. 5. Difficult inserting pictures or cutting and pasting information from other sources.

Responsive is the best tool I've used so far and I've tried a couple. It's intuitive, clean, and they are always adding features that are easy to learn and enhance user experience vs. takeaway. I have also enjoyed their new certification program. It has really helped me to utilize the tool better for myself and company.
Cons:
Price, but the sales team is a pleasure to work with and have been very helpful in meeting us where we are.

Mainly the project management capabilities of the product. The first step of vetting an RFP always takes time, but with Responsive your hard work is rewarded with automation after you get the ball rolling.
Cons:
Building the database wasn't as intuitive as I would have liked, though the custom fields being able to be facets alongside tags is a great feature for those who are used to a traditional folder structure.

It was a close race, we liked the project management of Responsive better. Some of our team had experience with RFPIO as well.

I like how seamless most things are, I like the review workflow, I like that many things are customizable for the organization
Cons:
While most things are seamless, there are still some issues with linking the modules. We often try to find projects in the Recommended search that should be in our archive but these two entities are separate. Also there are spacing issues and formatting issues upon export. Merge tags also seem to add random spaces or make adding text around the merge tag difficult and time consuming. I've tried to float some of these issues to responsive but often they have just let me know that that is a known function of the software.

Reasons for switching to Responsive

Ombud was not innovating at all and we could never get any movement on the bugs we experienced. I will admit that sometimes we miss Ombud for exporting and formatting, as Responsive tends to add errors to the final product, but the management tools in Responsive make the switch worth it for us still. We're also hopeful that Responsive will continue to keep our feedback in mind and improve on the product, which was something we were not confident about with Ombud.

Responsive is one of the best RFP tool I have worked on. Any functionality from RFPIO is top notch be it a UI, export functionality, AI response. I will say RFPIO is the best tool for RFP responses.
Cons:
Some time import of Ariba file doesnt work as it fail to take drop done. Also word template for response also some time create issues.

Responsive has an easy to use and easy to learn UI, which makes it easier to onboard new members/teams to the tool. It provides us an opportunity to create and leverage an answer library and collaborate with multiple teams at the same time, helping save a lot of time. Another great aspect is the value for money that the tool provides, compared to similar tools available in the market. Lastly, the account management team is very helpful and responsive (pun intended) and it is always a pleasure to work with them.
Cons:
The answer suggestions that the tool provides while working on a questionnaire are incorrect a lot of times because sometimes the tool does a simple keyword match and because of the nature of questions, although the keywords may match, the answers suggested do not match the question at all. During such times, we rely on the human expertise and experience to search for the correct answers in the library.
