Pros and cons of RFPIO

Overall experience with RFPIO have been quite well as it has fulfilled our current requirements of task management and workflow management.

Pros:

RFPIO is the amazing tool for task management as well as for workflow management as we in our team has multiple tasks that are assigned independently to other resources and these tasks can be automatically monitored by team lead.Similarly workflow management helped us to follow the pipeline that we built for each iteration of task.

Cons:

E-signature feature of this tool is not upto the mark also it don't provide more varieties of docs in customised documents section but we can create different instances of the same using valid methods.

Reasons for choosing Responsive

As per our current requirements we were looking for a tool with best task management and workflow management tool and RFPIO tick all the boxes.

Reasons for switching to Responsive

The workflow management features of these tools were not as smooth as that of RFPIO tool.

Extreme Time Saver

Responsive has helped increase my job efficiency greatly. With the platform, I'm able to easily add and remove Q/A pairings as well as leverage the current pairings we have in the database with ease. The ability to filter for certain things using the tags or collections feature helps me find things a lot quicker and remove any irrelevant items, ensuring the answers always pertain to exactly what I'm looking for. The only critiques I have with it are small ones which can be fixed or a new feature could be added to mitigate the problem. Overall, it's a very helpful platform that I encourage others in the industry to use, to help fill out questionnaires, as it has saved my team and I countless hours a year with the answering process.

- Very user friendly - Smooth transitions between tabs and sections - Lots of options for sorting and filtering - "Collections" feature is extremely helpful

Cons:

- Copy and paste function sometimes doesn't work properly - When I'm in a Q/A pair, I'm unable to see what (if any) collection the pair is a part of. You can see this with the tags, so I'd like to see it with collections as well

Reasons for choosing Responsive

I wasn't a part of the decision-making process, however, my team told me that Responsive seemed easier to use and had a more robust database storage system in place.

Pros:

It's very detailed in providing the answers to the different type of questions. The chatbot can be telled how detailed to be in writing the answer. It's also very simple to use.

Cons:

The automated tool to fill out excel files is not yet perfect, in particular the export of the output file is not working properly

A user-friendly tool to handle RFx's

Responsive is a very effective and user-friendly tool in many ways if you work with Excel-sheets. If it comes to other formats, the tool has its shortcomings which the user has to solve. The reuse of reliable and up-to-date content from previous projects is a very clever idea (known also in other branches like e.g. the translation industry).

> Supporting team collaboration through clear assignment of sections/questions/tasks > Clear dashboard function that shows the tasks, progress and status of each question > The export function helps to create bid documents with a uniform look/formatting.

Cons:

It is not possible to - search for possible Q/A-pairs in all completed projects (that are not part of the Answer Library) - reliably update the source file - to import read-only word/pdf-files with preset text-boxes to fill It is difficult to collaborate with clients and/or vendors on an RFP, if they have more than one question to answer.

Very pleased Pre-Sales Team user of Responsive!

9/10, the only reason I'm not giving it 10 is because I'm not fully leveraging all the functionality as of yet (especially the Auto-Respond and GenAI capabilities to save me time and increase efficiency).

Pros:

The collaboration features, the Auto Respond feature, the mapping of projects and easy export into the source document.

Cons:

Not a con as such, perhaps an inherent limitation of source files, but I would like some more accommodation of trickier source documents that e.g. have conditional questions (e.g. if Yes, reply to next question, if Not, do not) or documents that show or hide questions depending on how you previously answered to the questions above. Not sure if something could be enhanced in the tool to accommodate this, or other non-user-friendly types of RFx source files.

Many options for content organization

I use this every day as part of my job and I am overall satisfied with the use of the tool and its many features. I am currently sorting out our thousands of pieces of content and I find the process enjoyable.

Pros:

There are many options for organizing the Content Library, from tags, to collections, to multiple responses to a question, and more. The project management feature is also useful, especially the option to invite guests to collaborate and not require them to make an account.

Cons:

There are many minor glitches, which after contacting the support team, usually get fixed in a timely manner, but after a while I don't want to report every little thing and wished that the QA team would catch them before going into production. Also the customer care team is hit and miss, and we faced some communication issues when it came to billing.

Cons:

I understand that the AI references the Content Library, but I would also like it to include responses based on information from documents uploaded to the tool.
