About Practice Mate

Practice Mate is a cloud-based medical practice management solution offered by Office Ally, designed to meet the needs of healthcare providers across all specialties. OFFICE ALLY, a comprehensive medical practice solution

Practice mate is great, we have used it in our medical practice for over 10 years.

Pros:

Office ally is great because the practice mate is free. They will charge you nominal rates if you use some of the extra features like submitting claims, EHR, billing invoices, and a number of services that may be beneficial to a variety of different practices. Also their customer service is excellent, as well as their tutorial videos and they offer training one on one.

Cons:

There are some things that could be improved on the software, but they are always improving and upgrading the software.

Very satisifed long time user

I would recommend Practice Mate to anyone running a small practice. My colleagues also use it some as long as 18 years.

Pros:

Our office has been using Practice Mate for nearly 8 years. It is easy to learn. Office Ally continues to update their security to avoid hacking. It is still the least expensive and most effective product for a small practice. We submit claims, track authorization, and prepare patients' bills. Office Ally is quick to combat system issues.

Cons:

While Practice Mate has grown, their customer service could use more training on trouble shooting problems brought to their attention.

Reasons for choosing Practice Mate

Price and familiarity were the reasons. No reason to switch if we are getting everything we need in one place with nearly no complaints. System issues are a reality of any platform.

Pros:

It's real easy to do billing here. Everything is well organized and I love how it connects to EHR. It makes it easy to look up patients information and uploads without having to switch over to EHR.

Cons:

Sometimes I still get lost here. A better layout for all the tabs and functions could be implemented, but the way it is right now isn't too bad.

Poor Customer Service and Antiquated

The on-boarding process offers much support, but then customer service becomes poor to non-existent. Reporting and benefits check features are antiquated and time-consuming. You would need to hire another staff to manage claims payments, which defeats the purpose of using an inexpensive software. Overall, they need to step out of the 2000s and into 2025.

Pros:

Intuitive, user-friendly. Ironically, their antiquated interface makes it easier to use without all the confusing bells and whistles.

Cons:

Poor customer service. Lack robust reporting features. The reporting is so poor that a practice owner cannot know know which claims are being paid. He needs to log into the insurance companies system to view them. This is quite time consuming and labor intensive and not scalable when you're expanding your practice.

Too difficult to use. Too many bells and whistles.

Pros:

Practice Mate is very user-friendly! If there is any confusion at all, the Customer Service Team at Office Ally clears it up, swiftly.

Cons:

Sometimes the transition between screens lags, and other times an insurance claim will go through more than once. This results in claims being rejected as "Duplicates," when in fact, they were inputted only once.

I feel the Secondary claim process is a little tricky to understand and it is often challenging to get someone on the phone quickly

Very very easy to use and efficient. There is a minimal learning curve, but once you do learn you realize how much is available to work with.

Cons:

I haven't had a negative experience thus far and I've used this for quite a few years. I think the only thing I like least about practice mate is when the password expires there's no warning and if you're somewhere and can't remember your password you're in trouble.

I found practice mate to be more cost-effective and user-friendly.

Why I love my billing mate

So far the best option out there for me for over a decade

Very very positive, got lots of guidance while learning, never felt that reps were frustrated with me questions or calls.

Pros:

Easier to learn that most other systems I’ve used. There is a little bit of a learning curve with any new system but for me most of the system made sense immediately and the other 20% I had the hang of within 8 wks of using it. Theres a reason why I’ve been using them for the last decade. The phone support is amazing and not only helps you resolve any challenges you’re having but helps you learn how to avoid it repeating. The template for diagnosis, CPT codes, POS and modifiers are very easy to set up and saves a lot of time. No other system has been as efficient in this area. They’ve added a video library that can help you not only learn how to use the software but it’s there 24/7 when you do need to fix a mistake you made. That is a time saver as well.

Cons:

The non par list of insurance companies can be pricy depending on how many non par insurance companies you bill.

I would definitely recommend this to any small practice

This is an outstanding product. Cost-wise, amount of features and how often Office Ally is looking to improve its product.

Pros:

We've been using Practice Mate for 6 years. While it started off free, they kept it free for as long as they could. Eventually it had to change and it's still very affordable. Customer support hasn't been top notch but I believe Office Ally is working on that. Technology has it's hiccups but we rarely have any issues. Our claims are generally seamless with an occasional issue because of the way payers change their standards. The features make it easy to customize the way we use them with being able to bring reports into Excel! Patients' billing statements, especially are user friendly. All in all, Office Ally's Practice Mate seems to have outstanding security with no issues that I'm aware of.

Cons:

Practice Mate has so-so customer support as of late. The past they were much better. Lately, the people answering the requests aren't as thorough to troubleshoot questions.
