About EventPilot

If you are managing medical meetings or scientific conferences or any kind of academic or technical event, then EventPilot is designed for you.

A user-friendly Content Management System (CMS) allows any event professional to get started quickly. Projects are available as either DIY or Pro with a project manager guiding you along the way. A free event app trial is available to test functionality. Sessions, speakers, exhibitors, and abstracts can be imported from different Abstract Management Systems via API integrations. Alternatively, meeting planners can use spreadsheets or manually enter the information in the CMS.

The paperless event program is published either into a shell conference app or your own branded event app that our team submits for you to the Apple App Store or Google Play store. A desktop itinerary planner is available for your remote event attendees or users who prefer to build their schedules on a computer.

You conference attendees can easily build their schedule, boolean search, filter, network with others, navigate the convention center, receive alerts and notifications, view exhibitors, participate in ScanHunt gamification, and more.

EventPilot: one of (if not) the best Conference Apps out there

EventPilot has reduced our paper usage by several TONS of programs and we also can make changes in real-time quickly and easily. Our attendees love the depth of features and cross-linking of content, which EP also makes very easy to do.

Pros:

Easy for event planners to use and configure. Can use their CMS, Google Sheets, or direct database integration to populate. Tons of features included in base price. Support from the company is top tier..

Cons:

Not much. To our mind, a couple of built-in items could be redesigned to stand out better, but almost everything is controlled by the client so for the most part you only have yourself to blame.

Reasons for switching to EventPilot

In 2011-2012 we attempted to build our own cross-platform app for conference planning/calendaring and it was kind of a disaster. We had an app, but no one liked it. We went back to EventPilot's proposal, used them for the 2013 meeting and the experience was nothing short of magical/transformative.

Pros:

Easy to implement, develop and easy for users. Integrations and team that executes are unmatched across the industry. For medical shows, don't think there is another app that can execute as well.

Cons:

We have discussed some specifics with the team, but would love to see the ability to expand/contract the session details in future years in development. Also some specific features around show/hide data based on other triggers in our data.

EventPilot makes us look Good!

EventPilot is highly professional, responsive, creative, cost effective, and they keep their finger on the pulse of the latest and greatest features and technology! Having a very small staff with a lean budget, I greatly appreciated how they made us look so good!! Being able to quickly pivot and develop 5 virtual conferences in the course of 1.5 years was only possible for us because of their products and the great work they do.

Pros:

We have always been happy with EventPilot but most especially since March 2020, when we had the ability to utilize our existing EventPilot mobile app/planner to quickly pivot to Virtual Events. ATIV allowed us to use our existing platform to support the new meeting format without having to reinvent the wheel or waste our initial investment. We successfully ran 5 Virtual Conferences on our EP Platform in the last 1.5 years.

Cons:

There were no major issues with the software or data integration. EventPilot was creatively able to develop workarounds to address any unusual issues or special requests required to support our events.

Reasons for switching to EventPilot

The previous provider was not a good fit for a scientific conference running multiple parallel sessions.
