Accurate, responsive, and reasonably priced for PII discovery and reporting

Overall, PII Tools did exactly what we needed. We needed to identify where our PII was located so we could focus on cleanup and migration. It was reliable, accurate, and easy to work with. The ability to export results to Excel was invaluable for analysis and reporting, and the reporting options were highly configurable. Radim personally assisted us with several complex queries that matched specific use cases, and his support made a significant difference. The product consistently performed as promised and delivered clear value, enabling us to take meaningful steps toward improved data hygiene and compliance. Value for Money A strong value - The annual cost delivered far more than expected compared to similar tools that were three to five times the price. Customer Support - Support was fast, technical, collaborative, and genuinely relationship-based. Radim went out of his way to help us, even working outside his time zone to accommodate our schedule. That level of personal attention is rare and very much appreciated. Ease of Use - Radim remoted in and guided us through the initial setup, letting us drive while he navigated. Configuration is technical, but regarding usage, one of our CPAs was able to log in and use the product without difficulty. When help was needed, responses were quick, and I do not recall any technical problems. Data Management - Integration with our file servers was smooth. We deployed agents on relevant servers, and the setup was straightforward. When servers rebooted, we just verified that the agent was running again, which we monitored easily through PRTG. Having admin access to the underlying Linux OS allowed us to apply firewall rules and install our endpoint security without affecting performance. That flexibility was essential for compliance and provided an added layer of confidence.

Pros:

The accuracy of its PII detection and the quality of the reports were excellent. It helped us locate sensitive data across millions of files and prioritize what needed to be migrated to our secure document system. The vendor’s responsiveness was also exceptional. They built and released a custom feature for us within 30–45 days, which is rare in this market.

Cons:

It is not a real-time monitoring solution, but that is by design. Scans are scheduled and can take several days to complete on large datasets. It does not show who deleted, created, or modified files, because that function belongs in a different class of product, such as a SIEM. This is more a matter of user expectations than a product flaw. I could compare it to owning a Subaru Outback. It’s dependable and does exactly what it’s built to do, but it won’t fly coast to coast. It’s not a plane.

Reasons for choosing PII Tools

We selected PII Tools because it offered the best balance of functionality, accuracy, and value. Competing products such as Varonis, ManageEngine, and BigID included SIEM-style monitoring and real-time logging, but those features came at a much higher cost and were not aligned with our primary goal at the time, which was to locate and classify PII for data cleanup and migration. PII Tools provided high-quality detection, customizable reporting, and exceptional support at a fraction of the cost of enterprise platforms. The vendor’s responsiveness also stood out — they developed and released a custom feature for us within about 30–45 days. It did exactly what we needed and performed reliably across millions of files, making it the right fit for our use case and budget.

A fantastic tool for managing PII across enterprises of all sizes. Highly recommended.

Excellent tool for detecting and controlling PII, especially across diverse containers like databases, filesystems, cloud drives, etc.

Pros:

The quality of the product and more importantly the quality and speed of support. As it was a new genre of tools in our organization, it was a learning experience, but thanks to the quality of the tool and the support from the team at PII Tools, we were able to go into production quickly and kept on adding features and strengthening our governance around PII.

Cons:

Nothing to dislike. I've seen the product grow over time and am sure that new features will keep on coming and make the product even better than it is.

Reasons for choosing PII Tools

Air-gapped, doesn't send data outside the organization. Easy to deploy. Low cost of ownership. Vast list of data sources that can be scanned, including local drives.

Great Data Governance software

Our overall experience with PII Tools has been great. When we first started using it, we were amazed at how much PII was actually out there. Initially, we focused on scanning Exchange mailboxes, but since then, we've expanded our use to cover additional areas, making it an even more valuable tool for our organization.

Pros:

What we like most about PII Tools is how it continues to improve with every version, each update brings new and enhanced features. We also value that all data remains within our environment, ensuring it stays secure at all times.

Cons:

Over the years, the software has evolved significantly, and based on the way we use it, we honestly can't think of any major cons. Full organization-wide scans do take some time, but that's expected given the scope, and part of that is tied to the resources allocated to the server.

Reasons for choosing PII Tools

Varonis & ManageEngine did not give us the insite we needed into the emails themselves.
