Good value board portal

Our board has transitioned from a paper-based board pack to using the OCH portal for repository of documents, meeting agenda, minutes and access to the board pack online. We issued a notebook to every board member to help with this. There are more features that our board could use, but we are on a journey and hopefully will increase our use of features into the future.

Pros:

OCH has a good range of features for the price. We looked at a number of other board portals and while some were more feature rich, they were exceedingly more expensive. The new owners have done a lot to provide a reliable and functional system.

Cons:

More integration with Office would be good. e.g. if an email sent out from OCH through the discussion board could be responded to by email with that response being loaded back into OCH - that would be very handy.

Thanks for helping our charity help others!

We have been able to populate key information pertaining to individuals, events etc that are relevant to the operation of our charity. Furthermore, it helps with reporting as we are able to revisit previous data entries and collate information as required.

Pros:

It serves as a suitable platform where there are so many stakeholders involved. It also ensures transparency and ethical governance as all correspondence are imported onto the software.

Cons:

Further down the track, it might be good for the software to provide prompts for anyone who would like to unsubscribe from the notifications from the get-go. Raph had assisted with some information on how to do so, however, by that stage, we noticed that due to the volume of notifications, some members who are less active ended up checking out entirely or missed important votes as they assumed everything was an update notification.

Excellent online Board management system

They are very responsive to questions and online help and in person help is always available. The fact that Board members can go back and search the records rather than contacting the CEO or minute secretary is brilliant. Also great that all the policies and documents can be stored online.

Ease of use and access to old documents including minutes of meetings and all meeting papers.

Cons:

Only the meeting organiser can set up meetings. In some ways this is good but in other ways it can be a nuisance.

In terms of setting up meetings...while the meeting creator can setup and manage meetings, there are other roles within Our Cat Herder that can do this as well. It might be worth reviewing the access permission PDF in our help documents to make sure that you have the right people assigned the correct permissions (of course our team can certainly assist you with this). However, it also seems like we have work to do to ensure that this functionality is communicated clearly to our users so that there is no confusion.

Use of Our Cat Herder

It has made the whole process of Board meeting so much easier. It is a cost effective way of organising, running and recording the board meeting. Everything is in the one place. Board members have immediate access to important documents such as the constitution etc without having to have paper copies or remember which file they have stored them in.

The software is easy to use. It records and stores all the information required. It has great aspects such as group chat and decision making for proposals.

Cons:

Nothing at this stage. We have been using the software for over 15mths now and the board initially agreed to trial it then give it 12mths. We will continue to use this great tool.
